View Activity List

Activities are permanent entries tracking actions taken for a customer. The activity grouping feature allows you to associate related activities together so that all actions within a specific event (renewal, claim, audit, etc) can be retrieved and viewed easily. Use the View Activity List form to see activities for a selected group.

To help you quickly find a specific activity within a large list, use shortcut key CTRL + F. Internet Explorer will pop up a Find window. Enter a key word which might be part of the Activity Description. Explorer will search the page you are viewing for that word, highlighting as it finds a match.

  1. Open any Center (except Home).
  2. Select and open an entity with the center (such as a customer, bank, broker, employee, or vendor).
  3. On the Views menu, click Activities.
  4. For an activity in the list, click the link in the Group column (if a group is assigned) to open a list of activities for that group.

The following menus are available in a data entry form. Click each menu item to see detailed information. Note that the available menus vary depending on the form.

View Activity List Grid

Activities sort in descending order by activity transaction Date (default). You can sort on any column in the Activities grid by clicking the header of the column you want to use for sorting.

Group/FieldWhat is this?

Select

Check box to select an activity to change or remove it's group assignment. See Change Group Assignment below.

Attachments

If the activity has an attachment, a paper clip appears in the Attachment column.

Date

Click the Date link in the desired activity row. The Activity opens in view mode only. An activity cannot be edited or deleted.

By

The person that created the activity.

Policy

The policy the activity is attached to.

Effective

The effective date of the policy.

Transaction

The policy transaction (e.g., New Business, Renewal).

Claim

Any claims against the policy.

Action

The action taken on this activity (e.g., Appointment, Fax, Mail In/Out).

Group

If the activity has been assigned to a group, the group name appears. Click the Group link to view the list of all activities associated to that group.

Description

The description of the activity when it was entered.

Center

The Center Assignment of the activity when it was entered.

Change Group Assignment

Group Type

Select a new or different Group Type for the activity you have checked in the activity list.

Group

Select a new of different Group for the activity you have checked in the activity list.

Group Setup

Click Group Setup if you do not find an appropriate Group Type or Group for the activity assignment.

Group Setup is a secured function. If you do not have authorization for this function, the option will not appear.

Update Group

Click Update Group after you select a new of different Group Type and/or Group to refresh the activity list.

New Activity

To enter a new activity, click the New Activity link. The Activity/Suspense data entry form opens.

Activity up to __ Days Old

Enter the number of days old. AMS360 displays activities from the current system date back to the number of days old you have entered.

Date Range From/To

Enter the date range in the From and To fields. AMS360 displays activities that are equal to or between the From and To dates.

Description SearchType in a keyword or the entire description, click "Apply View," and the Activities will be filtered with the text that was written into the text box.

Action

Select an Action to display only activities assigned that action.

Center

Enter the center from which you believe the activity(s) you want to see were entered.

  • Customer
  • Employee
  • Vendor

Name

Select a Name to display activities for only that entities name (e.g., Customer, Bank, Vendor)

If you are searching for a customer, click Search to find the name. The Customer Search form opens.

If a Firm Name exists, it fills the Name field.

If a firm name does not exist, the Name field fills with the First, Middle, and Last name.

Policy

Select a policy to display only activities for that policy. Select the policy from the list.

To view activities for all of the customer's policies, select All (default).

Effective Date

Select an Effective Date to display activities for a specific policy transaction effective date for a customer

To view all activities for the selected customer and policy, select All (default).

Type of Business

Select the Type of Business to limit the activities returned.

Claim

Select a Claim to display only activities for that claim. Click Search. The Find Claim form opens.

Group Type

Select a Group Type to display only activities for that Group Type.

Group

Select a Group to display only activities for that Group.

Include only activity with attachments

If checked, this option causes only activities with one or more attachments to display in the grid.

Include only claim related activity

If checked, this option causes only activities associated with a claim to display in the grid.

Refresh List

Click Refresh List to display activities based on your selected criteria.

Description Preview

This shows you the description of the activity selected from the activity list.

Open an Activity in view mode by clicking the Date in the grid.

 

A paper clip icon indicates that the Activity includes one or more Attachments.

  1. Open the View Attachments section at the bottom of the screen by clicking it. A list of Attachments appears.

    If a paperclip appears in the Activity grid (before opening) it means that the attachment is an email message containing multiple files. Click on the paperclip to see a list of the files.

 

MSG Attachment types are Email messages saved in the same format as they appear in MS Outlook. These file types embed any attachments in the MSG format. A setting in DOC 360 Setup allows you to save the copy of the attachment as a separate file. If you choose to save the attachment separately, the attachment is available for viewing from within the MSG file and from the Activity Attachment grid.

  1. Click the File Name to open the attached document using its associated application.
 

If you attempt to view a file type that is not associated with an application, you will receive the following message (see Windows Explorer Help for information on how to associate file types): Unable to open the attachment: No application is associated with the specified file for this operation. ClickOK.

If your agency has enabled Doc360 features for third-party vendor imaging, then the File Name link opens the document using the third-party application,. See Doc360 Setup > Doc360 Setup Sections > Third-party Integration Setup for more information.
