Data Schedule Export

The Data Schedule Export feature allows you to export lists of items, such as vehicles, drivers, certificate holders, Worker's Compensation classification codes, and subjects of insurance for commercial property policies into a .csv file. You can send the exported file to your insured for review and revision. For an overview, see Workflow: Use the AMS360 Data Schedule Import Export Feature.

Fields in Data Schedule Export

The fields on the upper portion of the Data Schedule Export data entry screen change depending on where you select the import. The fields available as well as the differences are noted in the following table:

Policy/Line of Business

Appears only when importing locations, vehicles, and drivers.

For display only. If the Data Schedule Import form is invoked from a policy, "policy" appears. If this form is invoked from a line of business, the name of the line of business appears.

Group Name

Appears only when importing certificate holders.

Names of previously set up certificate holder groups appear in the list.

The choices available in the Data Schedule list are determined by where you select Data Schedule Import.

Export Data Schedule Template with Data

Selecting this option exports the Template column names to a .csv file, along with the data specified in the Data Schedule field. This is the default option. Instruction text, setup with the template, is also sent with the .csv file to your customer.

Export Data Schedule Template only

Selecting this option exports the Template column definitions only to a .csv file. Instruction text, setup with the template, is also sent with the .csv file to your customer.

This option is designed for a new policy that does not have any data. An empty .csv file, with column names only, is sent to your customer for completion.

Template

Select a Template from the list. The Template list is based on your selection in the Data Schedule field.

The permanent templates and the templates you create are all assigned a Data Schedule

New

New appears when there is no Template selected or a permanent template is selected. Clicking New opens the Data Schedule Template form where you can create a new template.

Edit

Edit appears when you have selected a non-permanent template. Clicking Edit opens the Data Schedule Template form where you can modify the template.

Preview

Opens the Data Schedule Preview form to preview the column names and data that will be exported.

Include Template name in Exported File

This box is selected by default. The template name is inserted in the first row of the exported .csv file. The column names subsequently begin in the second row.

If not selected, the columns names are in the first row of the .csv file.

Export

Opens the Save As dialog box.

Default location: <user>Local Settings\Temp\AMS\Data Schedules\Export Files folder.

Default file name: <Policy No> <LOB> <Data Schedule>_<Date>.CSV

Opens the Contacts form for you to select the emails recipients for Data Schedule distribution.

The default email subject line is: "Please review the attached schedule".

The Data Schedule.csv file and the Data Format Instructions.txt file are attachments to this email. The Data Format Instructions is a guide on how to complete the Data Schedule file.

Cancel

Closes the Data Schedule Export form without saving changes.

Microsoft Excel auto formats numbers that exceed 11 digits to a scientific notation. We recommend you format all cells to Text or Number before entering data. See Microsoft Excel Help for more information.

Export Reference Number	This is the number AMS360 assigns to each exported certificate holder. It is used to match updates and deletions to holders when the list is imported back into AMS360. It is critical that the number not be changed or deleted for existing holders, unless the holder is no longer needed. For new holders the field can be left blank. Vertafore recommends hiding the Export Reference Number column in the spreadsheet so it is not inadvertently modified. Use the following steps to do this: Locate the exported file. The default location is C:\Documents and Settings\(username of the person logged into the workstation)\Local Settings\Temp\AMS\Data Schedules\Export Files. Double-click the name of the file to open it in Microsoft Excel. Select the Reference Number column by clicking on the column letter. Click Format > Column > Hide. The column is no longer visible. Save the file as an Excel Spreadsheet file (.xls). You can now email the file to your customer. When the customer returns the file, open it again and unhide the column.
