Workflow: Set up a Signature for an Employee
In AMS360 you can add a signature (graphic) for licensed employees that can be used as the signature on forms in eForms Manager. The following information guides you through the process to setting up the signature.
- Have the employee write their signature using a black pen, such as a Sharpie, on a white piece of paper.
- Scan the signature, saving it as a .bmp file type.
- Open the signature file in Windows Paint.
- Using the Rectangle Select tool, point, click, and drag the select tool so only the signature is highlighted.
- Click Image > Crop to Selection. This eliminates the white space around the signature.

Select the Group (Business Unit) selection under the Signatures and Signature Setup sections to filter the employees that are returned.
- Choose Image > Resize and enter the following settings:
- Pixel Size Height - 64 pixels
- The Width should change, too. Verify that the width is in the range of 256 and 512 pixels.
When preparing the signature in Paint or some other editor, use the maximum height of 64 pixels and a width in the range of 256 and 512 pixels (clear the Maintain aspect ratio check box) to avoid having the signature resized and potentially distorted when adding a signature to certificates via the new Viewer. |
- Click Ok.
- Click File > Save As, give the file a logical name so you can find it in Employee Setup, choose .BMP for Save as type, and click Save.
- Other requirements to note:
- Maximum resolution - 150 dpi
- Maximum file size - 64 kb
To assign the signature to the appropriate employee, you need to have Administrator Group rights or Employee setup rights.
- In the AMS360 Employee Center, locate and select the Employee who want to add the signature for.
- From the Sidebar Menu click Employee Overview.
- Click Edit Employee.
- Expand License Information and verify the Licensed box is marked. (Only signatures for licensed agents can be used on forms.)
- Expand the Signature Setup section.
- Click Browse.
- Using the location where you saved the signature bmp file, navigate, select the signature file, and then click Open.
- In the grid, select one or more employees who can use this signature.
- When you have finished, click Save & Close from the toolbar.
If the file size is too big, do the following:
- You can check the file size in Windows Explorer before importing it to avoid any errors. If the file is larger than 64k, use an image editing software such as Paint to reduce the size.
- Open the file in Paint.
- Click Image > Resize and reduce the size until the signature is just inside the frame.
- Save the file.
