Accounting Flags

Use this page to configure certain Accounting features. The navigation path to this page is: Other > Personalization > System.

Invoice Section

Use this section to enable or disable options on the Invoices to Clients page:

Automatically Copy Policy Multi Information on Renewal, Rewrite or Remarket?

The settings for this option determine whether policy multi information automatically copies to new policies for renewals, rewrites, or remarketed policies. Multi policy information includes multiple bill to, insurers, payees, producers, or transaction data.

Select Yes to copy policy-level multi information whenever you renew, rewrite, or remarket a policy that includes multi data. Yes is the default setting.

Select No to allow users to copy policy multi information individually by policy. When this setting is disabled (set to No), users are presented with the following prompt: (2689) Renewed Policy contained Multi Info. Copy Info to this recd?

when saving the policy record for a renewal, rewrite, or remarketed policy in which the original policy had multi data. Users can then respond to the prompt.

Copy Policy Multi Information on Automatic Renewals in Download?

The settings for this option determine whether policy multi information automatically copies to new policies for renewals, rewrites, or remarketed policies as part of the automatic renewal process in download. Multi policy information includes multiple bill to, insurer, payee, producer, or transaction data.

Select Yes to copy policy-level multi information as part of the automatic renewal process in download. Yes is the default option.

Select No to prevent copying multi information during automatic renewal.

Company Bill Invoice Servicer pre-fill.

This option determines whose user codes to be identified in Servicer fields when users invoice company-bill policies.

Select User for the system to automatically prefill the user signed on and processing.

Select Policy Servicer for the system to automatically prefill the policy servicer.

Agency Bill Invoice Servicer pre-fill.

This option determines whose user codes to be identified in Servicer fields when users invoice agency-bill policies.

Select User for the system to automatically prefill the user signed on and processing.

Select Policy Servicer for the system to automatically prefill the policy servicer.

Always check off the  USE box on the Multi Tab?

This setting determines whether the USE field on the Multi tab is checked(the check mark always appears).

Select Yes to always enable the USE option on the Multi tab. The USE option indicates whether or not to create the invoice with multi-accounting information. When the box is checked, the invoice includes multi-accounting data. If you set this option to Yes, users can disable the USE box for individual invoices by unchecking it.

Select No to prevent the system from enabling the USE option on the Multi tab. Users can override this setting and manually check the USE option individually. This action creates an invoice that will include multi-accounting—multiple Bill To, multiple producers, or multiple transaction) information.

Automatically Pre-fill Producer Percentages on Policy Multi?

This setting determines whether the system automatically prefills producer commission percentages based on Staff Code Maintenance Commissions personalization page settings. The system uses the staff code entered in the Multiple Producer Information section of the Policy Multi BillTo/Ins./Prod page.

Select Yes to automatically prefill the New% and Renew% commission percentages based on the producer staff code. Note that when the Automatically Copy Policy Multi Information on Renewal, Rewrite or Remarket option is set to Yes, the producer percentages will prefill from the producer’s Staff Codes and not from the previous term values.

Select No to have the New % and Renew% fields to remain blank. Users can then manually input percentages. Note that when the Automatically Copy Policy Multi Information on Renewal, Rewrite or Remarket is set to Yes, the producer percentages will pre-fill from the previous term’s values.

Enable Production Credit?

This setting determines whether Production Credit is enabled for an agency.

Selecting Yes makes the Production Credit fields on the Multi screens mandatory and performs calculations based on the Producer Type as set in personalization.

Selecting No makes the fields optional and does not perform any calculations. Invoicing will pre-fill with the amount 0.00.

COA/DOA Division pre-fill on Cash Receipts and Accounts Receivable Disbursements

This setting determines whether the system will automatically populate and then use a division derived from the bank or client when applying and distributing cash for client accounts.

  • Select B to automatically use the bank division on the Cash Receipts and Accounts Receivable Disbursements pages. The bank division will be used when applying cash for a client or when disbursing money on behalf of a client.
  • Select C to automatically use the client division on the Cash Receipts and Accounts Receivable Disbursements pages. The client division will be used when applying cash for a client or when disbursing money on behalf of a client.

Pre-fill Batch Number with the staff code for the User ID on Cash Receipts and Accounts Receivable Adjustments

This setting determines whether the system will automatically populate and use staff codes for cash receipts and accounts receivable adjustments.

Select Yes to have the system automatically populate the staff codes as the User ID in the Batch Number field on the Cash Receipts and Accounts Receivable Adjustments pages. Users can change the prefilled text on the page when needed.

No – turns this option OFF. If you select No, the system the system will not pre-fill the staff code for the User ID to the Batch Number field on the Cash Receipts and Accounts Receivable Adjustments pages so the field will be blank.

Allow Only PRD Vendor Type to Producer Fields?

This setting determines whether to allow only a vendor type of PRD when entering values into Producer Fields.

The field defaults to Blank (or No). Blank or No indicates that any type of vendor can be entered.

When the flag is set to Yes, a Search on the Producer field will display only Staff Codes with Vendor Type set to PRD. If the flag is set to Yes (allow PRD only), and there are Producer fields on your system already filled with non-PRD type vendors, those producers remain in place, and no error occurs when the page is accessed.

If your agency uses SOAP Web Services to insert and update clients, policies, agency bill invoices, or direct bill commission statements, when the PRD-only flag is set to Yes, these transactions will fail when a non-PRD vendor code is sent in any of the producer fields. The item will not be added or updated.

Reports that include filtering against Producers are not affected by this personalization.

Default Create Agency Bill Producer Payables on PRD Vendor to No?

This setting determines if the flag, Create Agency Bill Producer Payables on Vendor Codes automatically defaults to Yes or No when the vendor code is created automatically when adding a staff code.

Options for this field are blank, Yes, and No. Blank and No continue the current behavior.

When the flag is set to

  • No, the flag on Vendor Codes will continue to default to Yes when a staff code is created

  • Yes, the flag on Vendor Codes will default to No when a staff code is created

Non-Client Cash Receipt Payee Code is Mandatory

This setting determines if the field, Payee Code on Cash Receipts is a mandatory field for a non-client cash receipt.

Options for this field are blank, Yes, and No.

When the flag is set to

  • No or blank, the Payee Code field on a non-client cash receipt is not mandatory

  • Yes, the Payee Code field on a non-client cash receipt is mandatory and will not allow the user to update unless the field is filled out.

Display Finance Tab?

This setting determines whether the system displays the Finance tab on the Invoices to Clients page and who gets to see it. The setting has three parts. First you choose whether to use the option, then determine whether you want to individually identify who will see the Finance tab. If you have just a few users that require the tab out of many, then you can use the Include feature in combination with the Staff Lookup box to identify the users to exclude. If you have just a few users to exclude out of many, choose the Exclude option and then use the Staff Lookup box to identify the users to exclude.

  1. Choose either Yes to display the Finance tab or No if you don't want to display the Finance tab.
  2. If you selected Yes, then choose either Include or Exclude from the drop-down list.
  3. Use the Staff Lookup box to select individual users by staff code.



    Or, if you leave the staff code box empty in conjunction with the Include option as shown below,
    all users will see the Finance tab.

Display A/R Tab?

This setting determines whether the system displays the A/R tab on the Invoices to Clients page and who gets to see it. The setting has three parts. First you choose whether to use the option, then determine whether you want to individually identify who will see the A/R tab. If you have just a few users that require the tab out of many, then you can use the Include feature in combination with the Staff Lookup box to identify the users to exclude. If you have just a few users to exclude out of many, choose the Exclude option and then use the Staff Lookup box to identify the users to exclude.

  1. Choose either Yes to display the A/R tab or No if you don't want to display the A/R tab.
  2. If you selected Yes, then choose either Include or Exclude from the drop-down list.
  3. Use the Staff Lookup box to select individual users by staff code as shown below.



    Or, if you leave the Staff Lookup box empty in conjunction with the Include option as shown below,
    all users will see the A/R tab.

Vendor Section

Use the Vendor section to set the Temporary Address Display Options flag.

Temporary Address Display Options

Use this setting to set how much, if any, of a temporary address should be displayed.

  • Select Choose Do Not Display to prevent the option from displaying.
  • Select Display Address Only to only display the address portion.
  • Select Display Name and Address to display the entire temporary Vendor name and address.

Dunning Letter Section

Use this section of the Accounting Flags personalization page to enable the Dunning Letters feature.

Enable Dunning Letters

Use this setting to enable the Dunning Letter feature.

  • Select Yes to enable the Dunning Letters feature for your agency.
  • Select No or leave this option unselected to  make Dunning pages accessible to users in enabled roles but without processing capabilities. The following error message displays when this flag is set to No:

# Days Dunning Letter 1

Enter the number of days past an invoice due date to make a receivable qualify for Dunning Letter 1.

# Days Dunning Letter 2

Enter the number of days past an invoice due date to make a receivable qualify for Dunning Letter 2.

# Days Payment Remittance

Enter the number of days to add to a current date to create a payment due date. Your calculated date does not display on Dunning pages; it is used behind the scenes by your ASD server and templates.

Excluded Client Status

Optional setting to enter a Status code. When a Status code is entered, receivables for any Client or Bill To with that status will be suppressed from the Dunning process. New codes can be created in the Generic Code maintenance program, file name STATUSES.

Store Letters on ASD Server?

Enter Yes to enable the Dunning Letter Reprint feature.

Enter No and Dunning Letter batches will not be retained.

Memo Distribution To

Optional setting to select for whom a memo/activity should generate. Options are User, Policy Primary Producer, Policy Servicer or Policy Producers and Servicers. If no selection is made, memos will not be created.

Taxes and Fees Section

Use the Taxes and Fees section to set the Automatically Prefill Taxes and Fees flag on Policy Multi for Surplus Lines.

Automatically Prefill Taxes and Fees on Policy Multi

  • Select Yes to prefill taxes and fees on Policy Multi

  • Select No to not prefill taxes and fee on Policy Multi



Exit the page when ready:

  • Click Save to preserve your settings on the Accounting Flags Maintenance page.
  • Click Quit to exit the Accounting Flags Maintenance page without processing any changes
