AR Adjustments Page

Use the AR Adjustments page to:

  • Apply open debit and credit balances on a client's account.
  • Write off an invoice balance (for example, a bad debt or small balance.)
  • Correct an item if the receipt was not applied correctly (for example, to the wrong client or invoice.)
  • Record a check returned for insufficient funds.

How to access this page

To access the AR Adjustments page:

  1. From the Sagitta Home Page, click Accounting > Accounts Receivable > Adjustments.
  2. Select AR Adjustments.

Completing this page

The AR Adjustments page includes the following sections and grids.

  • Use the top section to enter information about the accounts receivable transaction you are adjusting. Fields in this section include: Division, Reference, YE Adjustment, Adjustment Date, Period End Date.
  • Use the Apply Specific Invoices grid to apply Accounts Receivable adjustments by posting specific invoices. Use this grid to apply debit and credit items to selected client (s).
  • Use the Apply Multiple Invoices grid to apply Accounts Receivable adjustments by posting multiple invoice items. Use this grid to apply debit and credit items to selected client (s).
  • Use the General Ledger Adjustments grid to enter any General Ledger adjustments. For example, complete this grid to adjust a small balance from a client's account by moving the amount into a balance write-off account.

Field Descriptions

Division - the division number for this adjustment. This field pre-fills based on the user's staff code. You can change this field to another valid division. This field includes a Search feature that lets you select a valid division.

Reference - the adjustment sequence number. For a new transaction: pre-fills with the next available adjustment reference number when you click Load. To access a previous transaction: you can enter an existing Reference number from the Adjustments file and click Load.

YE Adjustment - used to indicate if this is a fiscal year-end adjustment. pre-fills with No. Click the drop-down list to select Yes if you are entering a fiscal year-end adjustment.

Adjustment Date - the calendar date of the adjustment. pre-fills with the current system date. This field includes a Search feature that lets you select a date from the calendar.

Period End Date - a protected field that pre-fills with the last day of the accounting period that includes the Adjustment Date.

Batch Number – a free form field used for assigning a batch number if needed. If personalized, the staff code for the User ID will pre-fill and can be overridden or added to.

Client Code - the system code associated with the client for whom you are entering this adjustment. This field is required if you are using the Apply Specific Invoices or Apply Multiple Invoices grids. You can use the Search feature to select the client code.

You can enter multiple client codes in the Apply Multiple Invoices grid.

Include Closed Items - use if you enter a Client Code under the Apply Multiple Invoices grid. This is not required on a new transaction. If you leave this field blank, the system default is No.

  • Use this field to indicate if you want to view both open and closed accounts receivable items for the client. Click the drop-down list to select No if you want to exclude closed accounts receivable items. Select Yes if you want to include closed accounts receivable items.

Sort By - required if you enter a Client Code. Determines the order in which a client's Accounts Receivable items appear in the grid. The options for this field are:

  • Invoice Number
  • Client Code

Buttons

The Save, Quit, and Delete buttons appear at the top of the AR Adjustments page.

The Load button appears after the Reference No field.

The Select button appears in the Apply Multiple Invoices grid.

The Apply and Pay All buttons also appear in the Apply Multiple Invoices grid..

Click

To

Save or ALT + S

store the adjustment transaction after you complete the page and the A/R and GL post grids equal zero (0.)

Quit or ALT + Q

exit the current transaction. If this is a new transaction, the system does not save the data input.

Delete

remove a previously input accounts receivable adjustment transaction.

Note You can use the Delete button only if the transaction you are currently accessing has not been updated.

Load

assign a reference number to a new adjustment, or select an existing adjustment.

Select

The selected client's open receivables appear, based on your selection criteria.

Note Use this button with the Apply Multiple Invoices grid.

Apply

apply the adjustment to the highlighted item (s).

Pay All

apply the adjustment to the selected client's oldest open receivables (debit or credit).

Grid Options

The Apply Specific Invoices, Apply Multiple Invoices, and General Ledger Adjustment grids include the following buttons.

add a line to the grid.

Edit

change any pre-filled data on a line in the existing table. You must first select the line by clicking it.

Delete

remove a line of data from the existing grid. You must first select the line by clicking it.

Excel export a copy of the data grid.

Print

print a copy of the data grid.
