Working with Holders Schedules Overview
You can export and import holder data.
Personalization
Before you can import or export schedule data, your agency must enter information on the Import/Export Personalization page. For more information, see Personalizing the System for Importing and Exporting Schedule Data.
Your agency can personalize an individual schedule type, such as the Holders schedule, for export. For example, your agency can set the system to not export specific fields and/or line item sets when you export the schedule. For more information, see Personalizing Schedules for Export.
Personalization specific to importing holders
The system is pre-set to add imported holders to the database as new records. Your agency can change this setting to instruct the system to match imported holders to existing holder records. If your agency elects to have the system match holders, matching is done on the Holder Name (first 25 characters only), State, and City fields. For more information, see Personalizing the System for Importing Holders.
Exporting
You can export a schedule of holders associated with a client to an Excel spreadsheet file. You can then view and edit the schedule in Excel before sending it to the client. For more information, see Exporting a Holders Schedule.
Importing
When you receive an electronic spreadsheet file containing holder data from a client, you can import the data into Sagitta.
The spreadsheet file from which you are importing the data must be in XML spreadsheet format, include columns for the required fields Holder Name, City, and State, and have the correct XML name definition for each column. You can ensure that these conditions are met by providing the client with an Excel spreadsheet template for Holders to complete and return.
- You can access an Excel spreadsheet template for Holders from the Utilities page in Sagitta. Save the template to your local or network drive.

- You can export a Holders Schedule to Excel and use that as the spreadsheet template.
You can modify the spreadsheet template before sending it to the client, provided you do not delete the required Holder Name, City, or State columns.
