Exporting a Report

(This topic is a continuation of Processing a Report.)

If you have an older version of Microsoft Excel or another spreadsheet program loaded on your workstations, you can use Comma Separated Value (CSV) text file format to export Sagitta XML reports to Microsoft Excel and other programs, including other spreadsheet programs. You must personalize the system to use this feature. For information, see Personalizing for Reports CSV Output.

You can change the Yes default value on the Printed Forms Maintenance page's Export? field to No if you do not want the Export feature to appear for a specific report. Refer to the Printed Forms Maintenance page topic for additional information.

  1. Mouse over the Export option.
  2. Choose one of the following options from the Export mouse-over list.
    • Immediate - to export the report instantly.
    • Overnight - to export the report as part of Overnight Report Processing.
Overnight reports appear under Processed Reports on the Sagitta Home Page. Reports set up for export as part of the Overnight Report Process appear with an XML icon before the report name. If you attempt to combine XML with any other reports (XML or Adobe), the error message You may not include XML reports when combining appears. Click OK and then uncheck the XML report or uncheck the other reports.
    • Batch - to add the report export to the Batch Processing Page.

The Overnight, Batch, and Export options are not available for all reports. If these options are not available for the report you are running, only the Immediate option appears in the mouse-over list.

If the system does not find any records that meet the selection criteria, the Report Selections page appears with the message "No Items Selected." You can revise the selection criteria and process again.

The system automatically saves the Report Selections. If the processing takes more than a few moments, you see the message "Processing - Please Stand By."

The report's processing begins. When processing is complete, the program creates an XML file. The program uses the path set up on the Import/Export Personalization Page to determine the program to which it sends the report's file (for example, a folder on the user's C drive).

Notes on Options for Export a Report

If there is no personalization established for the specific report or for the generic BROWSER.RECORD.TOXML record, the error message  Import/Export Personalization has not been set up for this process appears. You will need to set up the appropriate personalization and then try the Export process again.

If the personalization is set up incorrectly, the error message  Path Not Found/Unable to Execute appears. You will need to correct the personalization settings and then try the Export process again.

Users included on the Report Distribution list will see the distributed report (s) under Processed Reports on the Sagitta Home Page. See the Print Options bar topic for additional information about the Report Distribution option.

  1. Select an existing file name or type a new file name. If you select an existing file name, the system prompts you to replace it. Click Yes.
  1. Click Save. If the program destination is an application, the application will open automatically.
  2. The prompt Please select how you would like to open this file appears. Choose As an XML list and click OK.
  3. The message The specified XML source does not refer to a schema appears. Excel will create a schema based on the XML source data. Select the check box In the future, do not show this message and click OK.

Notes on Exporting a Report

  • The report export to XML does not include the report's cover page. If you need to include a cover page, select Adobe or Screen as your report Output Option.
  • The report export to XML does not include any Grand Totals. If you need Grand Totals calculations, you will need to set up a formula in your spreadsheet program.
  • The XML output captures only the report's rows and column data and eliminates non-essential data such as page breaks.
  • Code descriptions appear on the XML report. You can delete these descriptions if you do not need them.
  • If you export to Excel, the program checks personalization to determine whether the information should be converted from XML to CSV. Be sure Personalization is complete. See Personalizing for Reports CSV Output.
  • Unlike XML format, in CSV format, columns are not automatically adjusted when you open the spreadsheet in CSV format. You may need to adjust the column widths manually.
  • The Division and Department numbers, which have leading zeros in XML format, are preceded by the circumflex (^) character in CSV. You can leave the circumflex as is, or change it. To change the circumflex, you must highlight the numbers in the column and change the cell format to text to manually remove the circumflex.

Helpful Hints on Exporting a Report

  • When exporting to Excel, for example, a Losses Report, you may see ##### across the entire description column for that specific claim. Expanding the column to a reasonable size may not resolve the issue. Try these helpful hints:
  • Wrap the text - Select the cell or column by clicking it, then right click and select Format Cells > Alignment  > Text Control. Select the Wrap Text option.
  • Excel has a 1024 character length limit for a cell, and the data may exceed this limit - Click the cell. The data will show in the Formula Bar. Edit the data in the Formula Bar to less than 1024 characters.
