Work with Process Dashboard

Process Dashboard is a management tool used to track live tasks as they move through your organization. Most users of WorkSmart do not have access to this tool, but managers in your organization will find it highly useful.

With this powerful tool you can:

  • Easily see how work is distributed across users and groups or workflows so you can:
    • Balance work more effectively.
    • Identify opportunities for training.
  • Monitor tasks with real-time data
  • Pinpoint delays
  • Ensure you are properly staffed to meet the demands of your workload
  • Ensure you are meeting the performance service levels that you define.

Process Dashboard is a licensed component of Agency Platform. If you don't see the option to open Process Dashboard, please contact your Vertafore Account Manager to acquire the appropriate license.

Before you can use Process Dashboard, your system administrator needs to grant you access in Enterprise Management Console.

In Agency Platform, clicking displays the Capabilities menu which includes the ImageRight command. Clicking ImageRight launches the ImageRight Browser Client in a separate browser window. It is necessary to launch ImageRight Browser Client to use Process Dashboard.

In Browser Client, clicking opens Process Dashboard. Clicking it again closes Process Dashboard.

As you work in Process Dashboard, you can create dashboards and even set dashboards to as your default view when Process Dashboard opens. Depending on the panel you are viewing, Process Dashboard shows a view of active tasks broken down by groups, users, workflows, or steps. A total number of all unique tasks is shown above the graph.

The number of unique tasks may differ from the total number show in the graph. This is because some users may be members of multiple groups and the graph shows the number of tasks assigned to users within each group. For example, a task is assigned to Henry; Henry is part of the Life Customer Service group as well as the Life group. That task appears in the bar graph counts for both groups. However, as an individual task, it is only counted once in the unique task count shown above the graph.

Group names are shown along the left side of the graph, that is the Y axis, with data about the number and age of tasks shown moving across the graph's X axis. At the bottom of the graph, along the X axis, the number of tasks is defined in increments of 100.

The bars are color coded to provide a means of distinguishing tasks by age. A color key of task age is shown below the graph.

You can click to filter the panel when applicable.

You can click the panel label or to view the task list based on the panel you are viewing. The top 1000 tasks are shown.

Clicking a bar for a group opens a panel view for that group. For example, if you click the Life group, the panel view changes to view a user's panel for that group where you can view tasks counts and ages by user. We discuss this in more detail in the Navigating in Process Dashboard topic.

Scrolling down reveals the Service Levels (SLA) graph which gives you a view of the service levels you have defined for your organization.

The number of unique critical tasks are shown above the graph.

Your defined service levels are shown along the Y axis of the graph with the number of tasks defined below the graph along the X axis.

You can hover over an SLA bar to view the number of tasks and the service levels.

The bars in the graph are color coded to indicate where they fall within your organization's defined service levels. A color key shown below the graph provides context for the color codes. Additionally, you can click the service level tags in the color key to toggle them on and off.

You can right-click any bar in a dashboard or SLA to reveal the following options:

  • View tasks in bar graph
  • View/Export task list

You can click to define service levels (see Define Service Levels).
