New York Auto ID Cards

If you insure New York state registered or garaged vehicles and want to use the NY State Insurance ID Card software, you must visit the New York State Insurance Department Licensing Bureau at https://www.dfs.ny.gov/apps_and_licensing/property_insurers/iies_instructions to:

1. Obtain a private electronic key (KEY) and a personal identification number (PIN).
2. Download the NY State Insurance ID Card software version 1.2 or higher (required for integration with AMS360).

Once you successfully download the NY State Insurance ID Card software, you are ready to install it.

1. Locate and double-click the file iicgen12.exe. The ID Card Generate Program Wizard leads you through the installation process.
2. Answer No if asked, "Do you want to install Microsoft’s XML Parser 3.0 and Microsoft Windows Installer?"
3. You are prompted for a directory for installation during the NY State Insurance ID Card software installation. Vertafore Support suggests using C:\Program Files\NYSDMV\IDCardGenerate. Using this directory causes the software to install to the local workstation. Therefore, the software must be installed and configured on each workstation that will use the program to issue NY State ID cards.
   
   You can choose to install the NY State Auto ID Card software to a network or shared drive, although this is not recommended. If you do install to a shared drive, keep the following in mind:
4. The setup screens (i.e., Company Codes, User Login - Issuer ID and Key Code) you complete within the NY State Insurance ID Card software are set once for all users. If these are changed at any point, they change for all users.

You have only one set of printer alignment values. So, if you use different types of printers, you may have to adjust the alignment before each printing.

You can only access the NY State Insurance ID Card software in AMS360 from eForms Manager.

Do the following to open eForms Manager:

• On the 360 Toolbox menu, click eForms. Select and search for a customer to open eForms Manager, and then from the eForms menu click AutoId Cards.
• Open the customer for whom you want to create Auto ID Cards in the Customer Center, and then from the sidebar menu select eForms > Auto ID Card.

Do the following to access the NY State Insurance ID Card software from eForms Manager:

1. From the menu in eForms Manager , click eForms > AutoId > New. The Auto ID Cards data selection form appears in the right pane of the window.
2. Select the vehicle(s) that you want to create the ID cards for and choose the optional information. In Form Selection choose NY as the State and NY Auto ID Card, 50, 01/1998 as the Form.
   
   If you want to create ID cards for vehicles garaged in different states, select and print the cards in groups by state.
3. When you have made your selections for the ID Card, click Create. The Login Information dialog box for the NY State Insurance Auto ID Card software appears.
4. Enter your Issuer License Number (Insurer ID) and PIN number and click OK. The Insurance ID Card Generator (NY State Insurance Auto ID Card software) appears. For help on these dialog boxes, select Help on the menu bar of the software.

Auto ID Cards printed using the NY State Insurance ID Card software do not appear in the AMS360 eForms Manager Customer/Policy Transaction/Form Tree.

The following data is exported from AMS360 to the NY State Insurance ID Card software. The information is grouped by the tab on which you can find it.

Group/Field Where does this data pull from in AMS360? Company Code If the DMV (located in the Vehicle selection grid) or the Company Name matches the list provided in the NY State Insurance Auto ID Card software, the name appears. If the name does not match, the field is blank. Paper Selection Not found in AMS360, the default selection is BS - (Blank Stock). Document Type Not found in AMS360, the default selection is FS-20. Effective Date Information defaults from Basic Policy. Edits to these fields are exported from AMS360. Expiration Date Policy Number Type of Registrant This field is based on the Personal or Commercial check box in the Vehicle selection grid in the Auto ID Card form in eForms Manager.

The information that appears in these fields is based on the Insured Name selection you made on the Auto ID Card form in eForms Manager. Group/Field Where does this data pull from in AMS360? First Name (1) Insured Name selected or typed in the drop down will appear in these fields.  Unless Primary Driver is checked. Primary Driver: The first driver found where the usage is greater than or equal to 50% appears. No information from AMS360 pulls to the Name Suffix field at this time. Middle Init/Nam Last Name Name Suffix NYS Driver's Lic/ID# The driver's license number for the person listed appears. If no match found, the field is blank. First Name (2) No information from AMS360 populates these fields at this time. Middle Init/Nam Last Name Name Suffix NYS Driver's Lic/ID#
Organization	If Commercial was checked for any selected vehicle the following will plug. The information that appears in these fields is based on the Insured Name selection you made on the Auto ID Card form in eForms Manager. Group/Field Where does this data pull from in AMS360? (Line 1) Insured Name selected or typed in the drop down will appear in these fields.  Unless Primary Driver is checked. Primary Driver: The first driver found with the greatest Percent Use of the first selected vehicle. (Line 2) No information from AMS360 pulls to this field at this time. FEIN This plugs based on the FEIN found in the 125, 130 Applicant Information/Locations section on the Policy.
Address	The information that appears in these fields is based on the Insured Address selection you made on the Auto ID Card form in eForms Manager. Field From AMS360... Street Customer: The address from the Auto ID Card UI appears.   The Customer Address defaults in the Auto ID Card UI when the Customer option button is selected, but you can change the address and this is what will be sent to the NY Auto ID Card Software. First Named Insured: The Applicant address appears. Garaging Address: The garage address for the first vehicle selected in the list appears. If a garage address does not exist, then the Customer address will appear. City State Zip Code

A limit of 100 vehicles can be exported from AMS360 to the NY State Insurance ID Card software at a time for printing.
