Custom Export to File

Custom Export to File allows you to easily select parameters and export your the data in these file formats: Excel, XML, TXT, and CSV.

Custom Export to File is an "add-on" custom feature it is accessible only if you have purchased the custom license. For more information, please contact the Custom Programming Group at profsvcscustom@vertafore.com or call (800) 243-6205, ext. 6555.

The following information explains the installation, use, and features of this tool.

Using Custom Export to File

The Custom Export to File feature allows you to create a file from a pre-defined set of customer and policy data. Use this form to narrow your search of the custom data by selecting from the parameters listed.

Vertafore Professional Services can create custom queries to pull data sets from your AMS360 database. For more information, please contact your agency’s account manager.

Choosing the Data Parameters

Select from the available parameters to identify the data for your export file. The exported data must meet all the parameters you select. Therefore, the more selections you make the smaller the export file will be. The selections are as follows:

Customer

Use to select all or one customer. To select a specific customer click Search to open the customer search form.

The default is all customers.

From Date

Enter a date range or use the Date Picker to select from and to dates.

To Date

Customer

Include customers based on the following criteria entered in the customer form:

Group/Field	What is this?
Executive	The default is blank (any Executive/Representative/Broker). You can choose one or more executives/representatives/brokers. To select multiples click Select Multiple... The Selections form opens. Check the box next to each name you want to include, and click OK when you are done.
Representative
Broker
Status	Choose Active or Inactive customers or leave blank to get both status types.
Notation	Choose a specific notation or leave blank to get blank or any notation.
Business with Agency	Choose from the following Business with Agency criteria entered in Customer information. Customer records with the corresponding flag selected are returned. All (one or more Business With Agency flags marked) Commercial Lines Financial Services Health Life Non Property & Casualty Personal Lines
Additional Personnel	If you want to create an export file based on Additional Personnel entered on the Customer Information screen, make your selection in this field. Leaving the field blank ignores additional personnel when querying the database.
City	Enter a city/state to limit the returned data to a specific city/state.
State
Business Unit	Choose from the following business Unit criteria entered in Customer information: Division, Branch, Dept (department), or Group.

Policy

Choose from the following parameters from information entered on the Policy data entry from:

Group/Field	What is this?
View Date	Defaults to the current date. You can choose policies where the view date is equal to the selected date.
Include Future Policies	Choose this option to include policies where the effective date is later than the selected view date.
Executive	You can choose one or more executives/representatives/brokers. To select multiples click Select Multiple. The Selections form opens. Check the box next to each name you want to include, and click OK when you are done. The default is blank (any Executive/Representative/Broker).

Company Type	Choose a specific type of company or leave blank to include policies with any type of company.
Parent Company	Choose a specific parent/writing company or leave blank to include policies with any parent or writing company.
Writing Company
Type of Business	Choose from the following Types of Business, which appear on the Policy data entry form. Customer records with the corresponding flag selected are returned. All (any type of policy business ) Commercial Lines Financial Services Health Life Non Property & Casualty Personal Lines
Line of Business	You can choose one or more lines of business. To select multiples click Select Multiple... The Selections form opens. Mark the box next to each name you want to include, and click OK when you are done. The default is blank (any line of business).
Transaction Type	Use this option to limit the exported data to one or more transactions - New, Renewal, Endorsement, etc. To choose multiple transaction types, click Select Multiple... The Selections form opens. Check the box next to each name you want to include, and click OK when you are done. The default is blank (any transaction type).
Notation	To create a list of customers whose policies contain a specific notation, select the appropriate notation. The default is blank (any notation).
Business Unit	Select from the following Business Unit criteria entered on the policy data entry form: Division, Branch, Dept (department), or Group.

Setting the Exported Data File Options

After you select the data parameters, choose from the setting for the exported data file. The options include the following:

Select Application/ File Type

Choose the output file type from the options below:

File Type	What is this?
Excel	The Excel format allows for data formatting, which can be saved. As well as other options. This format is typically used for reports. To use the Auto Fit option, you must choose this file type. This is the default file type. The default file extension for this file type is CSV. Do not change the extension as it can cause the data to export incorrectly.
CSV	A standard file type for importing and exporting data into different applications. This file type does allow for editing of the base data, but cannot include formatting.
TXT	A standard file type that can be open and edited in most text editors such as Notepad, Word, etc.
XML	A standard mark-up language file format used in many web applications.

Auto Fit

Available for the Excel file type only. Use this option to have Excel adjust the size of the columns to fit the exported data.

Destination Directory and File Name

Enter or browse to the location for the exported file, as well as enter a name for it.

The default file name and location is: C:\Documents and Settings\...\My Documents\AMSCustom\CustomExportToFile.csv. This is the document and setting directory for the user currently logged onto the workstation.

Export

When you have finished making your parameter and export file selections, click Export to create and save the file to disk.
