Workflow: Offset an Invoice Balance to a Different Customer AR

Use this feature to offset the entire or part of an invoice balance from one customer to another customer's accounts receivable. This may be necessary if a receipt is applied to the wrong account or if one check covers invoices from multiple customers.

 

The JE action button used to access this form is enabled only for users with the proper security level.

  1. Open the Customer Register for the desired customer.
  2. Expand the policy header row that contains the invoice you want to offset, and click the journal entry action button for that invoice.
  3. The Customer Journal Entry form displays:
    • The Division assigned to the selected invoice defaults, and cannot be changed.
    • The Journal Date defaults to the current system date, and can be changed.
    • Invoice information (policy number, invoice number, invoice effective date, and invoice balance). This cannot be changed.
    • A Journal Memo based on the default Action option. This can be changed.
    • Select the Action option Offset Invoice Balance to a different customer AR. The Accounts Receivable section displays.
  4. Search for and Select the customer to which the offset is to be applied.
  5. Select an existing AR grid row to apply the offset to or click Add on Account on the section menu to place the offset On Account for the customer.
  6. Enter the Amount of the adjustment to be made to the invoice.
  7. Change the Description if desired.
  8. Click Post.
