Renewal Management: Out of Office Assistant
The Out of Office tool allows you to designate a backup employee to handle your renewal lists and/or expiring policies when you are on leave.
If you are a manager or department head, you can use Out of Office to designate a backup for an employee who is absent.
Assign Backup for your Renewal Lists or Expiring Policies
- To access your own Out of Office tool under your logged-in user ID, on the 360 Toolbox menu, click Out of Office Assistant. The Out of Office form opens.
- In the Renewal Management Options section, select the Active check box for the renewal list backup, the expiring policies backup, or both.
- From the Backup Assignment list, select the name of your backup employee for the renewal lists, the expiring policies, or both.
- To enable the tool, select the check box "I am currently Out of Office" at the top of the form.
- Click OK.
When you return to the office, you can retain your selections but disable the tool by clicking the "I am currently Out of Office" check box again to remove the check mark.
Assign a Backup for Another Employee
You must have security access to Employee setup to access another employee's out-of-office status. By default, Owner and Administrator security groups have access to Out of Office setup for other employees.
- To assign backups and out-of-office status for another employee, open the Employee setup form; under the Name & Address section, click Out of Office Assistant. The Out of Office form opens.
- In the Renewal Management Options section, select the Active check box to enable the renewal list backup, the expiring policies backup, or both.
- From the Backup Assignment list, select the name of the backup employee for the renewal lists, the expiring policies, or both.
- To enable the tool, select the "Employee is Out of Office" check box at the top of the form.
- Click OK.
When you return to the office, you can retain your selections but disable the tool by clicking the "Employee is Out of Office" check box again to remove the check mark.
