Voiding a Journal Entry

The Journal Entry Void form allows you to void a posted journal entry. You may need to void a journal entry if one or more of the voucher detail lines on a journal entry was posted to the wrong general ledger account.

    ClosedVoiding Posted Journal Entries

Journal Entries with a type of IJE cannot be voided. These journal entries are system generated when a cash receipt is posted to a bank in a different division from the invoice. You must void the receipt to reverse these types of journal entries.

    ClosedVoiding a Journal Entry from a Center Register View

  1. Open the appropriate center and find the specific customer, company, employee or vendor associated with the journal entry.

  2. Click the Register tab, if not already selected. In the customer register, expand the header row containing the journal entry to be voided or click Expand All and scroll to the desired row. For other registers, locate the journal entry in the register, adjusting View Options, if necessary.

  3. Click the Void icon .

  4. Complete the Journal Entry Void form, as appropriate.

  5. Click Post making sure the status bar indicates satisfactory completion. Click Cancel if you opened this form in error or desire to take no action.

  1. Open the Financial Center.

  2. If not already open, click the Journal Entries tab.

  3. Locate the journal entry to be voided.

  4. Click the Void icon .

  5. Complete the Journal Entry Void form, as appropriate.

  6. Click Post making sure the status bar indicates satisfactory completion. Click Cancel if you opened this form in error or desire to take no action.

    ClosedGeneral Information and Voucher Sections

The General Information section of the Journal Entry Void form displays the journal entry posting date, reference number assigned, name of the person who made the original entry, and any journal entry memo information for the original journal entry.

The Vouchers section displays all voucher rows in the original entry. Review this information to confirm you opened the correct journal entry. These fields cannot be modified.

Void Date

Choose the desired date from the date picker. The default is the current system date.

Make void date equal original journal entry date.

Check this box to change the Void Date to the same date as the original journal entry.

If the date of the original journal entry is in a closed period, you must have the security rights to backdate to a closed period to see this option.

Void Reason

Enter a description as to why the journal entry is being voided (Ex: Void JE #86, posted to wrong fiscal period).

Voided By

Displays the name of the logged in user. Cannot be changed.

    ClosedPosting a Void Journal Entry - Statement Attached

If the journal entry being voided is attached to an Account Current Statement or to a Commission Statement, posting the Journal Entry Void form displays a message asking if you want to create a copy of the statement set to "Ready to Pay" status. Click OK if you need a copy of the statement to attach to a different transaction. Clicking Cancel means that no copy of the statement is created.

If you answer Cancel to the message, the invoices are still available to be included when building another statement but the statement is not automatically created for you.
