Printing, Previewing, and Exporting a Report

The AMS360 reporting system allows you to preview and print all reports. When you export a report, you are sending that report to another program. Depending upon the report, you can export from the Selection Screen or from the Report Viewer.

Click Print Preview from the File menu to open and view your report in the Report Viewer.

Quick Reports

Some quick reports run immediately (no selection screen) and preview in the Report Viewer. Print the report by clicking on the Printer Icon.

ClosedCreating a CSV File

To analyze your AMS360 data beyond the actual report, create a CSV file, and send (export) it to the application of your choice.

  1. Microsoft Windows defaults the CSV file extension to associate with Microsoft Excel. This means when you create a CSV file in AMS360, it automatically exports your data to Excel. If you want to export your data to a program other than Excel, you need to change the File Association in Windows.

    If you are unsure how to do this, click Start > Help and search under the phrase Associating Files or File Association.

  1. AMS360 defaults the CSV File Path to the C:\Temp\AMS\Reports directory and provides a file Name similar to the report name. In addition, the Run Application checkbox is checked. In other words, when you select to Create CSV from the Reports - All form, or from a specific report's selection form, AMS 360 automatically exports the report to the Temp directory on your hard drive (C:\) and opens the associated program.

  1. Creating the CSV File.

  2. For reports with a selectionform, click the Report link to open the selection form, and make your selections. Then, from the File menu, select Create CSV. If this option is disabled, the report cannot be exported.

  3. For reports without a selection form (ex: list reports), select the row (click any place on the row except the link) of the report you wish to export in the Reports - All form. Then, from the File menu, select Create CSV. If this option is disabled, the report cannot be exported.

Once the report is previewed in Crystal Reports, you can format (export) it in one of the applications below.

  1. From Crystal Reports, click the Export Report icon.

  2. Select the directory where you want to save the report, from the Save in list box.

  3. Type or select a name for your new report, in the File name box.

  4. Select the type of file you want to create in the Save as type list box. You can save as the following types of files:

Crystal Reports

.rpt

Exports the report in the Crystal Reports format. You can use Crystal Reports Viewer to see the report or use the Crystal Report software to modify the report data for your specific needs.

Adobe Acrobat PDF

.pdf

The Portable Document Format (pdf) has become a standard for documents attached to an email or for document archiving. This is largely due to the availability of the free Adobe Reader software. Use this format to attach the report to an email message.

Microsoft Excel

.xls

Exports the report in the format you see in the viewer. Includes headings, column alignments, and all other formatting. Use this exported report to add additional information or notes to the report before printing or publishing.

Microsoft Excel Data Only

.xls

Exports the report data only, eliminating formats. The report still includes report title, date, and column headings. You can use this report for alternate calculations or to customize the format.

Microsoft Word

.doc

The report exports to Word in the exact layout you see in the Report Preview. You can add graphics, combine multiple reports into one document, or modify the report in any way you want using the features of Word.

Rich Text Format

.rtf

This report format allows you to edit the report in any software that can read a rich text file. This type of file contains limited formatting information. You can use this type of file in a desktop publishing program, for example, to create an annual report.

  1. Click Save.

When a report is exported via the Report Viewer, it is not the same as creating a CSV file. For extended analysis data, AMS recommends using the Create CSV method.
