Create Task on Selected

Suppose you find a claim in a file that has not been processed but should be. You could use the Create Task on Selected command to create a task in a workflow so that the claim will be processed. You can create a task on the items in the ImageRight Desktop file structure and define the workflow, step, priority, and assign the task to a person.

  1. Open the file in which you would like to create the task.
  2. Select the level (file, folder, document, or page) at which you would like to create the task, page in our example.
  3. On the Task menu, click Create Task on Selected to open the Create Task dialog box. As an alternative, you can right click Tasks in the navigation pane and click the command on the menu.

  1. On the Flow tab, enter the following information:
    1. Available on – date and time the task will be available in the to do list. Select the date value to be changed and type the new value, or click the arrow and pick the date from the calendar. Select the time value to be changed and enter the new time or use the arrows to select a time. For tasks scheduled for a future date, the time at which the task becomes available defaults to 12:00 A.M.
    2. Description – identifiable description of the task, which typically explains the work to be done. You can click the arrow and select from the available descriptions.
    3. Workflow – name of workflow in which the task will be created.
    4. Step – name of the step in which the task will be created, typically the Start step.
    5. Assign to – name of the person, group, or role to which the task will be assigned.
    6. Priority – level of importance (0 – highest to 9 – lowest) assigned to the task.
    7. Attributes (not shown) – task attributes, customized information like state or agent, used by your organization.
  2. Select these options at the bottom of the dialog box as needed.
    1. Lock task – The task will be locked when you click Create.
    2. Debug task – The task can be used for testing workflow changes. This option is typically used by the person who maintains your organization's workflows. Tasks can be processed without affecting actual production workflow tasks, reporting, etc.

  1. You can add a note (optional) to the task if needed.
    1. Click the Task Note tab or click Next.
    2. Type the text of the note in the Note Text pane.
  2. Click Create to complete the task. Click Cancel to dismiss the dialog box and return without creating the task.

You can confirm that the task was created by reviewing the count or number of tasks displayed in the navigation pane. The task can now be locked and processed.

You can identify locked tasks with a quick look at Desktop. You will notice these changes.

  • A lock appears next to the task description in the navigation pane.
  • The file information pane is green.
  • The level, page in our example, with which the task is associated has a green highlight.
