AMS360 Document Integration with WorkSmart
This topic applies to integration between AMS360 and WorkSmart before the 7.5 release of AMS360 and the 5.6 SP1release of WorkSmart. For an overview of the new integration see AMS360 and WorkSmart Integration Overview.

WorkSmart works with Document Management and when set up in AMS360, is available from the Document Management (DocManagement) menu. You can also view WorkSmart documents from the Documents view within the Customer Center. The following information describes how to add WorkSmart to AMS360 Doc360 set up and use WorkSmart features within AMS360.

- Open Administration Center.
- On the General menu, click Doc360 Setup. The Doc360 Setup data entry form opens.
You must have security rights to access Doc360 Setup. See the Security Group Setup form for more information about employee security groups. |
- Open the Third-party Integration Setup section and select the Enable Third-party Document Management Integration check box.
- In the Application Program Directory and Program Name fields browse and select the WorkSmart directory and program name.
- Choose an Icon Image for Application and Web Page Tabs.
- In the Third-party Menu Text enter the text you want to appear on the Doc360 menu.
- When you have made your selections, click the Save & Close icon.

You can launch WorkSmart from its own link in the footer.
This does not have the same drag and drop functionality as the Doc360 hotspot. |
To display the WorkSmart logo in the footer:
- Access Agency Setup from the Administration Center. On the Agency Overview toolbar, click Edit Agency.
- Expand the System Configuration Options section.
- Select WorkSmart in the Center Banner— Integration Options group box.
- Click the Save and Close icon.
- exit AMS360 and back in to refresh the Web page.

Aside from accessing WorkSmart from the AMS360 center footer, the following integration points are also available:

To use WorkSmart for a customer do the following:
- In AMS360 open the customer you want to use with WorkSmart.
- From the footer click WorkSmart.
- Click Open to view the customer's existing file, or Save to create new client file for this customer.
- The WorkSmart Desktop opens.

Each WorkSmart customer record can have one or more AMS360 policies associated with it. To create this association or link with an AMS360 policy and an WorkSmart policy folder do the following:
- In WorkSmart, open the customer and policy folder for which you want to create the link.
- In AMS360, open the customer with the policy to associate.
- From the Policy view right-click the policy, click WorkSmart, and then click Save. The Policy folder is updated with the ID number for the policy.
To open a policy with a WorkSmart association:
- In AMS360 open the customer with the policy.
- In the Policy view right-click the policy to select it.
- From the footer click WorkSmart.
- The WorkSmart/AMS 360 Integration dialog box opens. Click Open to open the WorkSmart Desktop to the first folder occurrence in the customer file with the unique policyID for the selected policy.
- Check Run Document Search and click Open to open the Desktop Document Search window with the search criteria set to the unique folder attribute policyID for the selected policy. This method allows you to search for all documents that are a part of the policy.

Document level integration creates virtual documents or "document pointers" in AMS360 that link to the physical document file stored in WorkSmart. To create the link between a document in WorkSmart and an Activity in AMS360 do the following:
- In WorkSmart, highlight the document you want to attach to an Activity in AMS360.
- In AMS360, open the customer and create a new Activity by selecting New > Activity from the sidebar. Enter the Activity information as desired and choose an Action, then click Attachments.
- The Attachments data entry form appears. Click Create Attachment(s) to create the AMS360 attachment pointer and name it appropriately in AMS360.
- Click Link to Doc Vendor. Doing so sends the attachment metadata information to WorkSmart.
Before you click Link to Doc Vendor, be sure you have the document you want bound to the AMS360 attachment open and selected in WorkSmart.
When an Activity Attachment is saved in WorkSmart and linked in AMS360 you can view it from the Documents view in the Customer Center. Click the file name to view the document.

Use the following steps to import an eForm or document into WorkSmart using the WorkSmart Printer.
- In WorkSmart, open the customer and folder where you want to save the document.
- In AMS360, print the eForm or document selecting WorkSmart Printer instead of a physical printer.
- The Import from Print Driver window opens. Navigate to the appropriate folder and click Import.
