Creating Verify Files for User-Defined Pages and Fields

On the User-Defined Setup page, in the grid to create fields, when certain formats are selected, a Verify File field displays. Selecting a verify file for the new field will cause any data entered in the field to be verified against the data in the selected file. Data entered in the field that is not in the verify file would cause an error to display.  The user can resolve the error by searching the field and selecting the correct value. For example, a field was created as a State field and the STATES file was selected as the Verify file. If you enter CY instead of CT for Connecticut an error will display that CY is not in the STATES file.

Your agency can create verify files. This is a two part process; the file itself will be created using the User-Defined Data Setup Page, and the codes in it will be added via Adding or Updating Generic Code Maintenance Tables.

First steps to create an agency specific file to use as a verify file

  1. On the User-Defined Data Setup page, enter an Agency File ID. The system will add the ACD. prefix when you tab through the field.

  1. From the Page Level field select Other and enter a File Description. The Page Description, the Single/Multi field, the ACORD forms related fields and the Disable Page/Section View field will disappear as they are not needed.

  1. If nothing is being added to this file other than codes nothing else needs to be done on this page.

  2. This is similar to maintenance files that currently exist where there is only a code and a description (for example, ACORD.AOI.NATR.CODES).

  3. When you save the page a line item is automatically added as each code must have a description field that displays when the code is selected. This serves as the description field label for the first field after the code on Generic Code Maintenance. The Field Description field pre-fills with the file description previously entered in the File Description field.

  4. This can be accessed and overridden.

  5. A Date Off field will automatically display in Generic Codes Maintenance.

  1. If other fields are desired in addition to the code and description, click Add in the Database Fields grid.

  2. Fields that would not apply to entering codes on Generic Codes Maintenance (which is not an agency defined page) are hidden on the User-Defined Data Setup page when a verify file (select Other on the Page Level field) is being created.

  3. Remaining files will not be lined up because the other fields have not been removed. They are hidden.

  4. Display Options, Default Value and the Secure? check box are the hidden fields.

  5. For the Web Page format, the Default Value field is removed so the field will not pre-fill with http://

  6. Today or Now are no longer options since the Default Value was removed.

  7. The created fields are for use on the Generic Code Maintenance page which is not an agency defined page and is meant to be a maintenance page only. Field formats behave differently than they would on an Agency Defined page or an Agency Defined field on an existing page.

  8. Alpha and alphanumeric formats will strip non alpha and alphanumeric characters from the field when tabbing from the field.

  9. Currency and Numeric format when tabbing from the field rather than on the page save.

  10. Date is now a Sagitta field so a partial date can be entered and the year will pre-fill.

  11. Drop-down - if you enter the word Null it displays as an option, however, as the first item is not a default, Null is not necessary.

  12. Email will not make the field label link to Email.

  13. Multiline Text will not recognize a carriage return; a carriage return is removed when tabbing from the field and the data on the subsequent lines are moved up.

  14. SSN formats without the dashes having to be entered manually.

  15. Time will not accept a space and displays an error. If a valid time is entered with am or pm in uppercase it will change to lower case.

  16. Web page will not make the field label a link to the url.

The Second step is to add the codes to the verify file

  1. Access the Generic Code Maintenance page.

  2. Enter the File Name as created on the User-Defined Data Setup page including the ACD. prefix or search for it from the lookup.

  3. Do one of the following:

    If fields were:

    Enter

    Not created and only the Code, Description field and Date Off fields display...

    The Code and Description field and Save the page. Add all codes as needed.

    Created for the verify file, they will display on the page after the Code and Description fields.

    The Code, Description fields and complete the desired fields. Save the page and add codes as needed.

  1. Click Adobe with the File Name entered or with the File Name and Code to print a list of all the items that were added to this file.

To use this file as a verify file on a field for an agency specific page or an agency specific field added to an existing page, select the desired page on the User-Defined Data Setup page.
