Dating Off a Record

You can "date off" certain types of records. Dating off makes the record inactive as of the date you enter in the Date Off field.

Where does the Date Off field appear?

The Date Off field appears on pages in many areas of the system. For example, it appears on most policy detail pages, allowing you to date off a driver, location, vehicle, contractor, scheduled property item, coverage, etc. It also appears on the Certificate Holder page, allowing you to date off a holder name.

Important points to remember

When dating off a policy-related item, you must record an endorsement or maintenance transaction on the policy. You must also enter the Transaction Effective Date in the Date Off field.

When you date off a unit at risk (such as a Location, Vehicle, Driver, Additional Interest, or Scheduled Property), the system gives you the option of automatically dating off (or otherwise removing) associated data from coverage and underwriting records. If you are dating off a unit at risk, also see Using Automatic Date Off.

Inactive items drop to the end of the grid. For example, when you date off a driver, the driver's name moves to the end of the Drivers list in the Drivers grid. (You can elect to see only active records in the grid. For more information, see Sagitta Browser Options page.)

When you renew a policy, only active items move forward to the new policy term. Inactive items remain with the policy term in which they were active. You can use History to look up information about previous policy terms.

Date Off example

Client Jim Babson has a 1985 Chevrolet and a 1999 Ford on the same auto policy. He decides to take the old, 1985 Chevrolet off the road and cancel coverage on it. This is the general workflow you would use to date off the Chevrolet:

  1. Look up and load the client. The Client Details page appears, with the Policies grid displayed.

  1. In the Policies grid, double-click the policy.

  2. On the Policy Detail page, click the Vehicles option.

  3. In the Vehicles grid, double-click the 1985 Chevrolet. The Vehicle page for the 1985 Chevrolet appears.

  4. On the Vehicle page, click Endorse.

  5. In the Endorsement Transaction dialog box, type "Remove 1985 Chevrolet" in the Description field and enter the endorsement effective date in the Effective Date field.

  6. Click Next.

  7. On the Vehicles page, click the Date Off field, then enter the endorsement effective date. (Entering any other date results in an error.)

  8. Click Save to preserve changes to the page.

    Because you are dating off a unit at risk, the system prompts you to use Automatic Date Off (Yes/No). Automatic Date Off gives you the option of automatically dating off (or otherwise removing) associated data in the coverage and underwriting records. The 1985 Chevrolet becomes inactive as of the Date Off date. It drops to the end of the Vehicles list in the Vehicles grid. When you renew the policy, only the 1999 Ford comes forward to the new policy term. You can, however, view information about the 1985 Chevrolet by using History to look up the vehicle records for the old policy term.
