Campaign Activities Page

Use the Campaign Activities page to determine the Marketing Campaigns with which a client is associated, and to manage campaign activities for that client. From this page, you can:

  • view a list of the Activities associated with a specific Marketing campaign;

  • view one of the Campaign activities;

  • add, change (edit), or delete one of the Campaign Activities;

  • add the client to a Marketing campaign;

  • create, open, or close activities (memos) for a producer or staff member; and

  • view the Next or Previous list of Campaign activities for the client.

How to access this page

  1. From the Client Primary Navigation click Attach > Marketing Campaigns.

  2. Select a Campaign and click View.

Title Bar Menu

When you access the Campaign Activities page for a specific campaign, the following items are available in the Title Bar Menu.

Save or ALT+S

save the changes you made to the client's marketing campaign record.

Quit or ALT+Q

exit the page without saving changes.

Previous or ALT+P

display Campaign Activities for the previous Marketing Campaign for the client. The campaigns are displayed in the order in which they appear on the Marketing Campaigns grid.

Next or ALT+N

display Campaign Activities for the next Marketing Campaign for the client. The campaigns are displayed in the order in which they appear on the Marketing Campaigns grid.

Adobe

print a schedule of Marketing activity.

Add

add a new campaign activity record for the client.

Edit

change information for an existing marketing activity record for the client. You can either highlight the activity record and click Edit, or double-click the activity record to open and edit it.

Delete

delete a campaign activity. A system message prompts you to complete the deletion.

Print

print a list of the activities in the grid.

Marketing Activity Record information

Once you highlight a Marketing Activity record and click Edit or double-click a specific marketing activity campaign record, the Marketing Activity information appears.

Activity Code (Required) -- a code assigned to a staff member as part of the Marketing campaign. Enter an Activity Code or use the Search icon to find a valid code. Activity Codes included with your system are:

You can create Activity Codes that meet your agency's needs by adding them to the MKTG.ACTIVITIES file using theGeneric Code Maintenance Page. Access this page directly by clicking the Search icon.

From this page, you can also associate an action such as CLDI (Client Diary) or

Entry Date  -- the date you added or updated this Campaign activity.

Action -- a system-generated, programmed event. Enter an Action Code or use the Search icon to find a valid code.  Action Codes included with your system are:

DIAR

creates a Staff memo (Activity Log item\"To Do" List item) for the assigned staff member.

TELE

sends the list of clients to the Telemarketing page for the assigned staff member.

CLDI

creates a Memo record for the client listed on the campaign. For example, you might use this code to track who received a mass mailing.

You can create Action codes that meet your agency needs by adding them to the MKTG.ACTIONS file using the Generic Code Maintenance Page. Actions are programmed events that occur automatically as a result of scheduling a marketing activity and executing the marketing campaign.

Action Date (Required) -- the calendar date on which the activity should take place. Use Search to select a date from the calendar.

The Action Date on the Campaign Activity record for the client determines the date used for the Follow Up Date on the Activity Log (Memo) record. If the Action Code entered in the Campaign Activity record has a set number of follow-up days on the Marketing Actions Maintenance page, then the number of follow-up days is added to the Action Date to determine the Follow Up Date on the Activity (Memo) record.

Staff -- the staff code for the staff member assigned to complete the activity.

Producer -- enter the producer code or select a producer code from the Staff Codes dialog box.

Memo # -- a hyperlink to the Activity (Memo) record in the Activity Log for the Campaign Activity. This field is ten (10) characters in length and is a display-only field.

Completion Date -- thedate the Activity was completed. If the activity is not completed, this field is blank, and Complete Memo check box appears at the end of the line. Completion Date is a display-only field.

Contact --enter the name of the contact for this activity.

Memo Check Box -- one of the three possible check boxes, depending on the situation, as follows:

Create Memo check box

appears when no memo exists for an Activity because no action code was entered or

the Create Staff Diary? option on the Marketing Actions Maintenance page is set to "No".

Complete Memo check box

appears when a memo (activity) is open. Complete the memo by:

  • by checking off the box or

  • accessing the memo on the Activities page.

Open Memo check box

appears when a memo (activity) is completed. Select the check box to schedule the memo.

Result -- the out come of the Campaign action. UseSearch to find the Result code, or type the code. Result Codes included with the system are:

If you enter NOIN as the Result Code for the first activity, you might want to delete all remaining campaign activities for the client.

You can create Result Codes that meet your agency's unique needs, adding codes to the MKTG.RESULTS file using theGeneric Code Maintenance Page. Access this page directly by clicking the Search icon. When the

From this page, you can also enter a description for the code, a "date off" date and Date Off Remarks for the code.

Scheduled/Completed -- indicates whether this activity is pending or done.

Estimated Premium -- a free-form field where you can enter up to 13 numbers for the premium amount quoted as part of the campaign activity.

Coverage -- use Search to select an existing Coverage code, such as BM (Boiler Machinery) or

Insurer -- use Search to select an existing Insurer code, such as CNA, or type the code. If the code entered does not exist in the Insurer file, an error message appears and the field turns pink.

Prior Premium -- indicate the prior premium.

Expiration Date -- prior expiration date.

Prior Insurer -- use Search to select an existing prior insurer code or type the code. If the code entered does not exist in the Prior Insurer file, an error message appears and the field turns pink.

Remarks -- use this field to enter any comments pertinent to the Campaign activity. These remarks appear on the Diary Memo.

The Campaign Name appears automatically in the Memo (diary) record. You do not need to enter it in the Remarks field.
