Certificates / EPI Page

You can also control access to Certificates and Evidence of Property forms using Role-Based Security. For more information, see Role Based Security Maintenance Page.

 

Use the Certificates/EPI's personalization page to set options that help determine how Certificates of Insurance and Evidence of Property Insurance (EPI) forms are created. The entries you make on this page determine what you and others can do while working with Certificates of Insurance and Evidence of Property Insurance forms.

Some of the options set on this page are displayed on the ACORD Certificate Policy Selections Page - Policies Tab, if you choose to display them. If they are displayed, users can then decide whether to clear these options when creating a Certificate or Evidence of Property form.

The entries made on this page determine:

  • Whether Supplemental Names can be selected for Certificates and EPI forms; whether they are included in the Description of Operations; and whether all Supplemental Names linked to AOIs and Holders are used to create Certificates;
  • Whether the Cancellation Amendment? option is displayed on ACORD 25 Certificate Preview page so users can decide whether to cross out text on the Certificate of Insurance (Cancellation Section);
  • Whether users can select from applications, binders, and cancelled or expired policies on the Policy Selections grid on the Policies Tab of the Certificate Wizard;
  • What information pre-fills to the Description of Operations section of Certificates or EPIs; and
  • Which users or roles can access an option, even though Display this Option? is set to Yes.

To access the Certificate of Insurance/Evidence of Property Personalization page:

  1. From the Sagitta Home Page, click Other.
  2. Click Personalization > System > Certificates/EPI Personalization.

Supplemental Names Section

The options in this section determine how Supplemental Names are processed when you issue Certificates or Evidence of Property forms.

Allow Supplemental Names selection for Certificate Insured? - Yes is the default selection. Selecting Yes lets users replace the name in the Insured section of the certificate with a Supplemental name from the Supplemental Name Selection List when they print the form.

If you select No, the Supplemental Name Tab is not displayed. Therefore, the user cannot replace the name in the Insured section of the certificate with a Supplemental name from the Supplemental Name Selection List when they print the form.

Allow Supplemental Names selection for Evidence of Property? - Yes is the default selection. Selecting Yes allows users to replace the name in the Insured section of the EPI with a Supplemental name from the Supplemental Name Selection List when they print the form.

If you select No, the Supplemental Name Tab is not displayed. Therefore, the user cannot replace the name in the Insured section of the EPI with a Supplemental name from the Supplemental Name Selection list when s/he prints the form.

Include Supplemental Names from Policies in Description of Operations?

Your response to this question determines whether all associated Supplemental Names information for the Certificate or EPI pre-fills to the Description of Operations section of the Certificate or EPI Preview tab of the Certificate or EPI Wizard.

If you leave the default selection of Yes, all associated Supplemental Names information for the Certificate or EPI pre-fills to the Description of Operations section of the Certificate or EPI Preview tab of the Certificate or EPI Wizard.

If you select No, associated Supplemental Names information for the Certificate or EPI does not pre-fill to the Description of Operations section of the Certificate or EPI Preview tab of the Certificate or EPI Wizard.

Display this Field?

The entry you select here determines whether the corresponding Supplemental Names checkbox is displayed in the "Include on the Certificate Description of Operations" section on the Policies Tab of the Wizard.

If you leave the default selection of No, this option does not appear on the Policies tab, and the user cannot make changes to the Supplemental Names. If you select Yes, this option is displayed, and because it is, the user may change it.

Use Selected Aoi/Holder Supplemental Name Links?

The selection that you make here determines whether all or none of the Supplemental Names linked to the selected Additional Other Interests/Holders are used to create certificates.

If you leave the default selection of No, Supplemental Names linked to AOI/Holders are not used in the creation of certificates. If you choose to display this option on the Policies Tab, you can override this original setting.

If you select Yes, all Supplemental Names linked to the selected AOI/Holders are used to create certificates. When you create certificates using the Attach or Reissue option, the Supplemental Names linked to AOI/Holders are used on the form(s) created.

The entry you select here determines whether the corresponding Use AOI/Holder Supp NAME LINKS checkbox is displayed in the "Other" section on the Policies tab of the Certificate Wizard.  

If you leave the default selection of No, this option does not appear on the Policies tab, and no one can override the original setting of the option. If you select Yes, the Use AOI/Holder Supp Name Links checkbox is displayed, and because it is, the user may override the original setting of the option.

The option is checked off by default. If you leave the checkmark, supplemental names linked to the selected AOIs/Holders are used in the certificate creation.

If you remove the checkmark, you can override and make additional selections on the Supplemental Names tab.

If your agency uses Role-Based Security to control Certificate access, these options work differently. See Role Based Security Page for more information.

Cancellation Section

Display option for Cancellation Section Amendment (XXX out wording)-certificates?

This option is applicable to older versions of theACORD25 Certificate.It is not applicable to theACORD24

The selection that you make here determines whether the Cancellation Amendment? option is displayed on the Template Preview page and Certificate Preview page when you create a Certificate Template and any certificates associated with the template.

If your agency uses Role-Based Security, and a users role is set to Display Only or No Access for the Cancellation Amendment, the assigned role takes precedence over the option set on this page.

  • No is the default. Use the default if you don't want the Cancellation Amendment? option to be displayed on the Template Preview or Certificate Preview page. If the option is not displayed, users cannot change it, including crossing out the wording in the Cancellation section of the Certificate of Insurance form, unless the user's role in Role Based Security Maintenance is set to Display Only or No Access. (In this case, the role overrides the option set on this page.)

If your agency uses Role Based Security, "Endeavor to..." wording is crossed (xxx) out only if the Cancellation Amendment field on a specific AOI or Holder page is set to Yes. If your agency uses Toolbar Maintenance instead, and the flag for display is set to Yes, you can set the flag to Yes to cross out.

Policy Selection Section

The first three options in the Policy Selection section determine what types of policies are displayed on the Policies grid on the ACORD Certificate Policy Selections Page - Policies Tab of the Certificate wizard and the Evidence of Property Insurance Policies - Policy Tab of the EPI wizard. The choices you make determine which policies are displayed and available for selection.

  1. Select Policy Where Policy # Begins with App? If you select Yes, policy numbers that begin with APP, for applications, are included in the grid. If you leave the default selection of No, applications are not included.

  2. Select Policy Where Policy # Begins with Binder? If you select Yes, all valid policy numbers that include BINDER, for binders, are included in the grid. If you leave the default selection of No, they are not included.

  3. Select Policy Where Policy Has Been Cancelled/Expired? If you select Yes, policies that were cancelled or expired, are included in the grid.

The system checks the CNR field and the Expiration Date fields on the Policies Data Grid List page and determines if a policy is inactive if the code in the CNR field on the grid list is "Cancelled" or "Not Renewed" and the policy expiration date is prior to the system date.

Continuous policies, which have a term of 'C', may have a CNR entry, such as C(ancelled), with no policy expiration date. Such policies are considered inactive because they have been cancelled.

If the CNR field for a policy is blank -- that is, there is no cancellation or non-renewal -- the policy will appear in the Policies selection grid on the Policies tab.

If you leave the default selection of No, the cancelled/expired policies are not included.

Description of Operations Section

The selections you make for the next four (4) options default to the questions on the ACORD Certificate Policy Selections Page - Policies Tab.

  1. Include All Associated Units/Coverage Information For AOI In Description of Operations? If you leave the default selection of Yes, the Associated Units/Coverage information for the AOI pre-fills to the Description of Operations section on the Preview Tab of the Certificate Wizard for the Certificate or Evidence of Property form.

If the flag is set to Yes, the following Associated Units/Coverage Information should pre-fill to the Description of Operations section:

  • Associated Locations, Building Description

  • Associated Vehicles and attached Drivers, Coverages

  • Associated Schedules, Items, Description

If you select No the information does not appear in the Description of Operations section on the Preview Tab.

Display This Field?

The entry you select here determines whether the Units/Coverage For AOI option is displayed in the Include on the Certificate Description of Operations section on the ACORD Certificate Policy Selections Page - Policies Tab. If you leave the default selection of No, this option does not appear on the Policies tab, and therefore, the user cannot override the original setting of the option.

If you select Yes, this option is displayed on the Policies tab, and because it is, the user can set it to override the original personalization.

  1. Include all locations specific coverage information for EPIS? If you leave the default selection of Yes, when the Evidence of Property form is created, all coverage information for the location(s) associated to the

  1. Include additional interests/holders description of operations? If you leave the default selection of Yes, Additional Interests/Holders information pre-fills to the Description of Operations on the Certificate Page - Preview Tab, when you create certificates.

If you select No, Additional Interests/Holders information does not pre-fill to the Certificate Page -- Preview Tab when you create certificates.

Display This Field?

The entry you select here determines if you want other users to view this flag on the Policies tab in the wizard.  If you leave the default selection of No, this option does not appear on the Policies tab, and therefore, the user cannot override the original setting of the option.

If you select Yes, this option is displayed on the Policies tab, and because it is, the user can set it to override the original personalization.

  1. Include Additional Coverage Information In Description Of Operations? If you leave the default selection of Yes, Additional Coverage information pre-fills to the Description of Operations on the Certificate Page - Preview Tab, when you create certificates.

If you select No, Additional Coverage information does not pre-fill to the Certificate Page - Preview Tab when you create certificates.

For Additional Coverage information to pre-fill to the Description of Operations, the Line of Business must be entered on the Certificate/EPI Other Lines Personalization page.

If you leave the default selection of No, this option does not appear on the Policies tab, and therefore, the user cannot override the original setting of the option. If you leave the default selection of No, user-defined information from policies does not pre-fill to the Description of Operations on the ACORD 25 Certificate Page -- Preview Tab, and the certificate itself, when you create certificates.

If you are creating Evidence of Property Insurance forms, user-defined information from policies does not pre-fill to the Description of Operations on the ACORD 27 Evidence of Property Insurance Page -- PreviewTab, or the ACORD 28 Evidence of Commercial Property Insurance Page -- Preview Tab and the EPI form itself, when you create EPI forms.

If you select Yes, user-defined information from policies pre-fills to the Description of Operations on the ACORD 25 Certificate Page - Preview Tab, and the certificate itself, when you create certificates. The user-defined information from policies pre-fills to theACORD 27 Evidence of Property Insurance Page -- Preview Tab,or the ACORD 28 Evidence of Commercial Property Insurance Page -- Preview Tab, and the EPI form, when you create EPI forms.

Other Section

Email Certificate/EPI to User?

The Email Certificate/EPI to User? option in the Other section gives you the ability to have a copy of Certificates and Evidence of Property forms emailed to a staff individual at the time of issuance. If you change the default selection to Yes, when the user creates Certificates or Evidence of Property forms for a holder with Preferred Distribution of (E)mail, the user’s staff email address will be included in the “To:” line in the email, so they will receive a copy of the emailed form.

When emailing a certificate/EPI to multiple holders, the user will receive an email for each holder.

If you leave the default selection of No, the user will not receive an emailed copy of the form.

Display This Field?

The entry you select here give you the option to override this flag -- by displaying the same flag on the Policy tab of the Certificates and Evidence of Property wizard.If you leave the default selection of No, this option does not appear on the Policies tab.

Allow Only Active Additional Interests/Holders To Be Displayed on the AOI Tab?

The Allow Only Active Additional Interests/Holders To Be Displayed on the AOI Tab? option  determines whether only Active Additional Interests appear on the ACORD Certificate Policy Selections Page -- AOI/Holders Tab, ACORD 27 Evidence of Property Page - Additional Interests Tab, or the

If you select Yes, only active Additional Interests and Holders are displayed for selection on the Additional/Other Interests Page -- AOI/Holders Tab when you create certificates.

If you leave the default selection of No, all Additional Interests and Holders are displayed for selection on the ACORD Certificate Policy Selections Page -- AOI/Holders Tab.

Display This Field?

The entry you select here determines whether the Only Active Additional Interests/HOLDERS option is displayed on the ACORD Certificate Policy Selections Page -- Policies Tab when you create certificates. If you leave the default selection of No, this option does not appear on the Policies tab. If you select Yes, this option is displayed, and because it is, the user can change it.

Suppress 2nd Page Print For Certificate of Insurance?

The final option in the Other section affects the printing of the second page of the Certificate of Insurance or Evidence of Property Insurance (EPI) form.

This option determines whether or not the second page of the Certificate of Insurance or EPI is printed when you print these forms. If you leave the default setting of No, the second page is always printed.

If you change the field to Yes, the second page of the Certificate of Insurance or EPI form is suppressed and does not print. This option does not apply to the ACORD 25 Certificate of Insurance (2009/09) version of the form.

The second page of the Certificate of Insurance and EPI form includes an Important section and Disclaimer section that is usually printed.

Display Section

Use the multi-value text boxes in this section to let users assigned to a specific Role or specific staff members to view a field, even if the field's Display this field? option setting on the Certificate of Insurance/Evidence of Property Personalization page is No. Both options have a Lookup so that you can easily find the staff member or role.

  • Roles to Display All Fields -- Use this field to add the roles that are allowed to view a field when the Display this field? options for the fields is set to No.
  • Staff to Display All Fields -- Use this field to add the names of staff members who are allowed to view fields when the Display this field? options for the fields is set to No.

If the user adds both the staff code and the role, the Role takes precedence over the Staff code.
