Certificate / Holder Selection Page

The Certificate / Holder Selection Page is for ACORD 24 Certificates, and ACORD 25 Certificates. It displays the Certificate grid; it is the "hub" for all Certificates activity. You can begin all Certificate activity here, including starting the Certificate Wizard.

All references to “older certificates”, “Master MS certificates” and “Master Print (MP) certificates” refer only to the ACORD 25 Certificate, not to the ACORD 24 Certificate.

Master Print (MP) certificates can only be viewed or printed. They cannot be Attached, Updated, Reissued or Revised. If an MP certificate is selected for any of these Attach, the error, Master Print (MP) may not be attached to is displayed. If an MP is selected for Update, the error, Master Print Certificate may not be updated will display. If an MP is selected for Reissue or Revision, the error, You may only View or Print this older certificate version will display.

From this page, you can work with both Active and Archived certificates. Most certificate tasks, such as adding a new certificate, or attaching, updating, reissuing, reprinting, revising, or archiving existing certificates and Certificate templates begin here.

The Certificate grid on this page lists Certificate Templates, older Master (MS) Certificates, older Master Print (MP) certificates, and 'blank' certificates.

The Template Description column displays the mandatory "Template Description” that you must complete on the ACORD Certificate Policy Selections Page -- Policies Tab as part of the Certificates Wizard. For older certificates, this column may display the text, '---Master Certificate---.'

From this page, you can:

  • View certificates;
  • Display certificates associated with the certificate record selected;
  • Display associated policies for the selected certificate;
  • Print a schedule of certificates;
  • Access the Certificate Wizard to add certificates;
  • Print a Description of Operations Detail for ALL certificates;
  • Print an AOI/Holder Listing for the certificate;
  • Attach AOI/Holders to the selected certificates;
  • Update, revise, reissue, or reprint the selected record;
  • Archive or delete certificates; and
  • View, unarchive, or delete archived certificates.

To access the Certificate / Holder Grids

  1. Look up and load the client associated with the certificates.
  2. On the Client Primary Navigation, click FORMS >ACORD 24 Certificates or ACORD 25 Certificates. The Certificate / Holder Grids appear.

Certificate / Holder Selection page has two grids

The Certificate / Holder Selection page is divided into two grids. The grid on the left remains static, while the grid on the right changes based on the row selected from the grid on the left. The grids are:

  1. Left side: Certificate templates grid and
  2. Right side: Holders or Policies grid based on the following
    1. CERTIFICATES/AOIs Attached to Selected Certificate Template if Show is set to Attached Holders; or
    2. Policies Attached to Certificate Template, if Show is set to Associated.

The Certificates Templates grid displays the certificates associated with the client currently selected. Those include current Certificate Templates, older Master Prints (MP), Master Certificate Holder (MS), and individual certificates. Think of this grid as the main grid.

If a Template was created using the Reissue, Revise, or Update process, a suffix appears at the end of the template description on the grid, to identify the process that created the Template Certificate. If the Template Description field is already full, then the last four characters are replaced by the appropriate suffix. Suffixes are as follows:

  • REI (for Reissue)
  • REV (for Revise)
  • UPD (for Update)

If a template description with a suffix is "maxed out (filled), and the template is reissued, revised, or updated again, a new suffix overwrites the old. For example, if a template is reissued, it has the suffix REI. If the same template is revised, and the description is

When the Show setting for the right side grid (Holders or Policies) is set to Attached Holders, the Certificates/AOIs attached to selected Certificate will display Certificate Templates and older Certificate Holders associated with the selected certificate.

When the Show setting for the right side grid (Holders or Policies) is set to Associated Policies, the Policies Attached to a Certificate Template displays a list of policies attached to the certificate selected.

Each grid has options on menu bars directly above the grid. Use these options to perform specific actions to the specific grid.

Certificate grids can display Active or Archived Certificates

You can view a list of active certificates, or a list of archived certificates, those which have been moved from active to archived mode because they are outdated.

From the Filter option, select Archived to view a list of archived certificates. Alternately, click Active to revert to the active Certificate list.

Certificates Certificate Options Menu Bar

The Certificates Certificate Options Menu bar displays a list of options you can choose to perform actions on certificates.

You must select a certificate from the Certificates grid before you click any of the options.

You can only View or Print older certificate versions.

Attach

Attach additional AOI/Holders to the Template or certificate selected. You are brought directly to the ACORD Additional Interest Group Code Selections Page -- Group Codes Tab of the Certificate wizard.

Attach additional AOI/Holders to the Template or certificate selected. You are brought directly to the Additional Interests Group Code Selections Page -- AOI/Holders Tab Additional Interest Group Code Selections page -- Group Codes Tab of the Certificate wizard.

You can create additional certificates for the newly-attached Holder/AOIs based on the Master Template selected.

The Policies tab is not visible and not accessible.

Attach (Holder) is not available for MP Certificates.

Update

Reissue a certificate with updated information and holders not previously selected.

The selected Template or certificate is displayed in the Group Codes tab of the Certificate Wizard.

A new Template that pre-fills with the changed information is created and is up-to-date for the new policy term. Holders are not pre-selected on the Additional Interests/Holders tab, and the Policies tab is not visible.

If you select an MP (Master Print) Certificate, the following error message is displayed: Master Print Certificate may not be updated.

Reissue

issue a new Template or Certificate that pre-fills with up-to-date, changed information and holder previously selected for the new policy term. The ACORD Additional Interest Group Code Selections Page -- Group Codes Tab of the Certificate Wizard appears, so you can change certificate information.

The previous holders are preselected on the Additional/Other Interests Page -- AOI/Holders Tab.

After you proceed through the rest of the certificate wizard, the certificate/individual certificate is displayed on the ACORD 25 Certificate Page -- Preview Tab.

The Policies tab is not visible or accessible.

If you select an MS Certificate and no policies are listed, when you click Reissue, the following message appears:

Certificate selected has no policies. Continue?

If you click Yes, you can continue with the process.

If you click No, the following message is displayed: Select Certificates to Load.

Reprint

Reprint the selected Certificate Template, MS, or MP certificate.

From the page you can:

Print (ALT+P)

display the Certificate Template in Adobe Acrobat. You can click the Print option to print the Template.

Print All (ALT+A)

print the certificates associated with the Certificate Template.

Quit (ALT + Q)

exit the page without making changes.

If you click either of the Print options, the certificate is displayed on the ACORD 25 Certificate Page -- Preview Tab, but you cannot change any of the information on the certificate.

 

The Print options vary for older versions of the MP (Master Print) version of the form. For the (08/01) version of the MP certificate, the Print option is Print and for the (07/97) version of the MP Certificate, the Print options are Print and Express Print.

Revise

copy and revise the selected certificate template selected to create a new template.

A copy of the selected individual certificate, or MS, is displayed on the ACORD 25 Certificate Page -- Template Preview Tab of the Certificate wizard.

When the ACORD 25 Certificate Page -- Template Preview Tab appears, you make your changes. You can make your change on the Template and Certificate Preview tab of the wizard. No other tabs are visible.

Certificates Grid Options Menu Bar

The Certificates Grid Options Menu Bar displays a list of options you can choose to perform on a certificate.

You must select a certificate from the grid before you click any of the options.

View the selected Certificate Template, MS (Master Certificate, Master Print (Master Print), or individual certificate on the ACORD 25 Certificate Page -- Preview Tab.

The Template, MS, or MP/Individual Certificate is displayed on this tab of the wizard.

Other tabs are not available.

The following options are available on the ACORD 25 Preview page:

Print the Template Certificate that is currently displayed.

Print All (ALT+A)

Print all of the MS Certificate Holders quickly without having to review each one.

Quit

Exit the Certificate Preview page and return to the ACORD 25 Certificate grid.

 

The Print options vary for older versions of the MP (Master Print) version of the form. For the (08/01) version of the MP certificate, the Print option is Print and for the (07/97) version of the MP Certificate, the Print options are Print and Express Print.

Add

To use the wizard to create a new Template and certificate(s).

The Policies tab on the ACORD Certificate Policy Selections Page appears.

Print

Create a schedule print based on your selection. When you select a template and click print, the Print Options dialog box displays the following options:

  • (5309) Print AOI/Holder Listing for Certificate# ####?

Select this option to print a list of AOIs and Certificate Holders for a specific certificate. (#### represents the certificate number.)

The list of AOIs/Holders for Certificate Templates and Master Sub Certs appears in alphabetical order. Lists of AOIs/Holders for Master Print Certificates are not.

  • (5308) Print Description of Operations Detail for ALL Certificates?

Select this option to include all Description of Operations Detail for all Certificates on the policy, on the Schedule of Certificates. This information appears in the "Type and Insured Name/Description of Operations" column.

  • (5607) Print Schedule of Certificates?

Select this option to print a schedule of Certificates on the policy. The Description of Operations Detail is not included, so this schedule may be shorter than others.

Archive

Archive the selected Certificate Template, MS (Master Sub Certificate), or Master Print (Master Print), and any associated certificates.

Archived

Display a grid that lists archived Template Certificates, MS (Master Sub Certificates), Master Print (Master Prints), and blank certificates, replacing whatever certificates were previously listed in the grid.

Certificates/AOI Attached to Selected Certificate Template Grid Options Menu Bar

View

View the selected Certificate on the Preview tab of the Certificate wizard.

If you select an MP Certificate in the Certificate Selection grid, the AOIs attached to the selected Certificate are displayed. You see only the Holders displayed for the associated certificate.

Other tabs are not accessible.

You cannot make changes to the Certificate in View mode.

Print

Print the selected form. Highlight the form to print.

Revise

Create a new certificate that is a copy of the selected Certificate.

You can make changes on the Certificate Preview tab of the wizard, but none of the other tabs are displayed or are accessible.

This option is not available for AOIs attached to MP (Master Print) Certificates.

Delete

Delete the selected Certificate.

You cannot delete forms, including Certificates, unless "Ability to Delete ACORD Forms?" on the SYS ACF File Record Maintenance Page is set to Yes.

If the option is set to Yes, when you click this option, the following message appears:

Are you sure you want to delete this record?

If you want to delete the certificate, click Yes.

If you do not want to delete the certificate, click No. You remain on the Certificate grid.

This option is not available for AOIs attached to an MP (Master Print) Certificate.

Redistr

Redistribute certificates that were previously issued, using the Preferred Distribution option currently set on the holder, client- or policy-level AOI.

This option is not available if the ASD Server has not been personalized.

OneDoc

Print one PDF document for all Certificate Holders attached to the template and ignores the Preferred Distribution option on theClient Additional / Other Interests Page(client-level) andAdditional/Other Interests Page(policy-level). The

This button is not available if the ASD Server has not been personalized.

Status Column on the Certificates/AOI Attached to Selected Certificate Template Grid

The Status column on the Certificates/AOI Attached to Selected Certificate Template Grid indicates the status of each Subcert.
 

Status

Indicates that the form

S (Stored)

Has been distributed and stored on the ASD server.

SubCerts with this status were created using Print All or OneDoc.

N (Not stored)

Has not been distributed and stored on the ASD server.

SubCerts with this status were created using Print All.

P (Pending)

Has been neither printed nor distributed. You can change P status subcerts later and then print or distribute them.

F (Failed)

Process failed.

Certificates Certificate Options Menu Bar and Archived Certificates

When you click the Archived option off the Filter on the Certificate Options Menu Bar, previously archived certificates are displayed in this grid.

There are four options you can use to act on the certificates.

If you select an MP (Master Print) Certificate, the following error message is displayed:

(5622) For the MP version of the Certificate, please use Schedule Print to view a list of the attached Additional Interests/Holders.

Print

Print a schedule of archived certificates. When you select an archived certificate and click Print, the Print Options dialog box displays the following options:

  • (5309) Print AOI/Holder Listing for Certificate# ####?

Select this option to print a list of AOIs and Certificate Holders for a specific certificate. (#### represents the certificate number.)

The list of AOIs/Holders for Certificate Templates and Master Sub Certs appears in alphabetical order. Lists of AOIs/Holders for Master Print Certificates are not.

You will not be prompted for Active Holders.

  • (5308) Print Description of Operations Detail for ALL Certificates?

Select this option to include all Description of Operations Detail for all Certificates on the policy, on the Schedule of Certificates. This information appears in the "Type and Insured Name/Description of Operations" column.

  • (5607) Print Schedule of Certificates?

Select this option to print a schedule of Certificates on the policy. The Description of Operations Detail is not included, so this schedule may be shorter than others.

Undo

To change an archived certificate to an active one, or to delete an archived certificate that you no longer need a record of.

When you click Undo, the following message appears:

Unarchive or Delete the selected certificate?

Clicking the link redirects you to the Active view of the Certificates grid.

Delete

Delete the certificate from the system.

Select Certificates to Load.

Load Archived Certificates again to proceed.

To toggle back to the Active Certificates list on the Certificates grid.

Certificates/AOIs Attached to Selected Certificate Template Grid and Archived Certificates

When you highlight an archived certificate in the master grid, all holder certificates appear in the sub grid.

Click Undo to change the status of an archived certificate to Active.

The following message appears:

Unarchive or Delete the selected Certificate?

Certificates may not be Unarchived. Select the Template instead. OK.

You cannot unarchive a certificate, unless you unarchive the Template and all its other certificates.

You must select a Template in the left grid in order to continue.

If you click OK, with a Template selected in the left grid, the following message is displayed:

Unarchive Process is finished.

Delete

The following message appears:

Delete Process is Finished.

Clicking the link redirects you to the Active view of the Certificates grid.

Certificate Issue Date Message received when attaching Certificates

When you attach certificate holders and click Preview, the following Sagitta message appears:

The original Certificate Issue Date is MM/DD/YY. If the Issue Date is changed here, the new date will apply to all Certificates in this process. Otherwise, the current date pre-fills to the forms.

The current date appears on the certificate. You can change it on the Preview page for the individual Certificate.
