Copy Policy/Submission

The Copy Policy/Submission feature allows you to copy a policy or submission from the same customer or another customer to create a new policy or submission. Once you have copied the policy/submission you can make any changes needed.

  1. Open the customer you want to copy to.

  2. From the Actionsmenu, selectCopy Policy. The Copy Policy/Submission data entry form appears.

  3. Select the Customer you want to copy the policy from. The field defaults from the customer you are copying to, but can be changed.

  4. Select the Policy # you want to copy from.

  5. Select the Effective Date of the policy you want to copy from.

  6. Enter/change the remaining fields for the new policy. For information on these fields, see the Copy Policy/Submission Selectionsection of this topic.

  7. Click OK. The Policy data entry form for the new policy appears.

  1. Open the customer you want to copy to.

  2. From the Actions menu, select New Submission. The Submission Group data entry form appears. See the Submission Group topic for more information about this form.

  3. Click the Copy Submission link. The Copy Policy/Submission data entry form appears.

  4. Select the Customer you want to copy the submission from. The field defaults from the customer you are copying to, but can be changed.

  5. Select the Policy # you want to copy from.

  6. Select the Effective Date of the policy you want to copy from.

  7. Enter/change the remaining fields for the new policy. For information on these fields, see the Copy Policy/Submission Selection section of this topic.

  8. Click OK. The Policy data entry form for the new policy appears.

Field/ Column

What is this?

Customer

Select the Customer from whom you want to copy the policy. This field defaults from the customer you are copying to, but can be changed. Use Search to locate another customer.

Policy #

Select the policy or submission you want to copy from. The customer's policies and submissions appear in the list.

Effective Date

Select the Effective Date of the policy or submission you want to copy from.

Policy #

The number assigned to the policy by the company, If unknown use TBD or another substitute. You can change the number when you receive the policy.

Effective Date

The date policy coverage begins or the proposed effective date of the submission.

Expiration Date

The date policy coverage expires. This date fills as one year from the Effective Date. You can select a different date.

Continuous

Check this box if the policy or submission is continuous and does not have an expiration date. When checked, the Expiration Date blanks out and becomes inactive.

Transaction

The Transaction type for the policy/submission. Select from the list.

Description

The Transaction pre-fills to this field. However, you can type a brief description that identifies the Transaction. This is especially important if you have multiple Transactions on the same day.

Insurance

Choose this option if the company providing coverage is set up as an Insurance company.

Brokerage

Choose this option if the company providing coverage is set up as a Brokerage company.

Subscription

Choose this option if multiple companies are providing coverage on this policy.

Coverage percentages and premiums are identified on the Policy data entry form.

Parent

Select the Parent Company from the list.

If Subscriptionis chosen as the company type above, "Subscription, Subscr" appears in this field and cannot be changed. You will identify the companies participating in the coverage on this policy, in the Policy data entry form.

Writing Company

Select the Writing Company from the list.

If Subscriptionis chosen as the company type above, "Subscription, Subscr" appears in this field and cannot be changed. You will identify the companies participating in the coverage on this policy, in the Policy data entry form.

Billing/ Payment Information

Bill Method

Choose Agency or Direct bill.

Pay Plan

Select Full Pay or an installment plan.

This is not a required field and can be added later if you do not know the payment plan at this time.

Include Policy Notes

Check to copy the Policy Notes attached to the original policy or submission, to the new policy.

Default From Current Customer

Checking one of more of these items causes the information to pull from the customer record as opposed to the policy or submission you are copying from.
