Activity/Suspense Setup

Use Activity/Suspense Setup to customize the list of Actions that appear on the Activity/Suspense data entry form. You can also specify the Checkpoints at which an Activity is required or a Suspense item is created.

    ClosedAccessing Activity/Suspense Setup

You can access Activity/Suspense Setup from any center or form that has a Toolbox menu. Select Toolbox > System Administration > Activity/Suspense Setup.

You must have proper authorization to access Activity/Suspense Setup.

    ClosedActions

You can edit Actions directly on the grid. Click a checkbox to check or uncheck an item. You can also click in the Suspense Days field and type a number.

Field

What is this?

Permanent

View Only. Displays an "X" for the permanent Activity/Suspense actions that come with AMS360

Action

Enter the Action that you want to appear in the list in the Activity/Suspense form. The action must be unique.

Active

When checked, the Action is active, and appears in the list in the Activity/Suspense form. To inactivate an Action (does not appear in the list) remove the check mark.

Inactivating an Action item does not affect previously entered Activities or Suspense that have used that Action.

Categories

Choose the AMS360 functions where this action is available. The options are:

Selection

Where is this?

Policy

Whenever logging an activity or suspense from the Policy data entry form or immediately upon closing the form.

Submissions

Whenever logging an activity or suspense from the submission data entry form or immediately upon closing the form.

Claims

Whenever logging an activity or suspense from the Claims data entry form or immediately upon closing the form.

Campaigns

Whenever logging a Campaign Response.

No. of Suspense Days

Enter the number of days to default for the suspense item using this action. This number automatically fills when the associated action is selected, but can be changed.

Example: For an action of Policy Change, you typically follow up two weeks after entering the change to see if it is received. So, for this action you enter 14 as the number of days to default for this suspense action in setup.

Once an Actionis saved it cannot be edited. You can mark it as inactive by removing the check from theActivecheckbox.

     ClosedPermanent Actions

Permanent Actions have an (X) in the Permanent column of the Action list. AMS360 uses these Actions for automatic Activity or Suspense logging. For instance, in download or sales campaigns.

AMS360 also uses these permanent Actions when logging required Activity. For example, after entering a new policy the Activity/Suspense form appears and the default Action is New Business. Vertafore suggests you do not inactivate these Actions.

    ClosedCheckpoints

Checkpoints are pre-set by AMS360 and cannot be added to by your agency.

What is this?

Checkpoint

View Only.

The name of the data entry form for which an Activity Checkpoint can be set. If set, this means whenever this form is accessed, an Activity is required.

Active

When checked the Checkpoint is active and the standard rules apply:

  • If the Prompt Type is set to Silent, then the Require Activity checkbox is checked and disabled.

  • If the Prompt Type is set to Prompted, then Require Activity is optional. You can check the checkbox or leave it un-checked.

  • If aCreate Suspenseis checked for anActiveandSilentcheckpoint, then theDefault Actionfor this checkpoint must have a valid number ofSuspense Daysset for it.

    To do this select the
    Actionfrom theActionsection and setup the appropriate number ofSuspense Daysfor it.  You can then setup your active/silent checkpoint, with an automatic suspense, using this particular action as the default action.

Default Action

Choose the action that appears for this checkpoint. All Actionsentered in theActionssetup appear in the list.

Prompt Type

Choose how you want the required activity logged. The options are:

Selection

What is this?

Prompted

Choose this option to have the user see the Activity/Suspense data entry form. The user can then make changes and add text, if desired.

Silent

Choose this option to have the activity logged automatically without any intervention from the user. The user does not see the Activity/Suspense data entry form.

Available only with Required Activity. If you choose this option, then Require Activity is checked and cannot be changed.

Require Activity

Select this option to require an activity be logged when performing the selected task. The user cannot close the Activity/Suspense data entry form without saving the activity.

Create Suspense

Select this option in conjunction with the Suspense Days set in the Actions section of this data entry form.

You can create a silent suspense logging, which uses the number of days entered in the Actions section to log a suspense automatically without user intervention.
