Report: Account Current Statement

The Account Current Statement is used to manage and report your company payables. Your agency will either be on an Account Current basis, or a Company Statement basis.

Account Current Basis

Your agency gathers agency bill policy transactions onto a report and submits this to the company with a check. Any adjustments and cancellations are handled on the next statement.

Company Statement Basis

Your agency reconciles each company account current with the company statement for the same time period.

ClosedPrerequisite

Before you can print an Account Current Statement, you must generate it first. For more information on creating account current statements, see Selecting Pay Account Current Modifiers.

ClosedAccessing the Account Current Statement

This report is accessible from any center or form with a Toolbox menu. Selecting Toolbox > Reports takes you to the Reports - All list, where you can make your selection.

Click Account Current Statement. This opens the Report - Account Current selection form. Make your selections, pull down the File menu and select to:

What is this?

Company Type

Select All (default) to include account current statements for the company types listed below:

  • Brokerage

  • Insurance

  • Fee

When All is selected, the CompanyandStatement fields are disabled.

When a specificCompany Typeis selected, only those companies matching that particular company type are included in theCompanylist.

Company

This field is enabled when the Company Type is Brokerage, Insurance, or Fee. Select one specific company or All companies in the Company Type group.

This field is disabled if the Company Type = All.

Division

Choose One or All (default) divisions.

The divisions appearing in the list are subject to division security. If the user has access to any of the departments in the division, then they have access to all of the account currents in that division.

If All divisions are selected for printing, the report includes account currents belonging to divisions for which the user has security rights.

Refresh. Click this button when you change the selection criteria. Doing so, causes the specific statements that match your criteria to appear in the list.

The Refreshbutton is only available when theCompany TypeandCompanyfields have a specific entity selected.

Statement

Statement Selection

  • The Statement combo is disabled when the Company Type = All.

  • If a specific company is chosen, then the Statement combo and the Refresh button are enabled.

  • Select Refresh to fill the Statement combo with only those statements belonging to the selected company and divisions.

  • You can select a specific statement or All statements.

Sort Order

The statements in the list are sorted by Statement Date (oldest to newest), then by Division, then by Payment Status (In Progress, Paid and Posted, Ready to Pay), and then by Description.

Statement Date Range

This Statement Date Range group is disabled if a specific statement is selected.

Options

What is this?

From List

Use this option to select a pre-defined date range from the list. The default option is Current Date.

Select Dates

Use this option to type in a specific date range not covered by the choices in the From List option.

Status

This field is disabled if a specific statement is selected. If you want to select only those statements with a specific status, select either:

  • In Progress

  • Paid and Posted (default)

  • Ready to Pay

  • Voided

You can also choose Allstatuses.

Report Format

The first page of the Mail to Company and Agency Reconciliation formats have the company and agency names, agency code, addresses, phone numbers, and email addresses in the header information.

What is this?

Mail to Company

Select this format if you are mailing the statement to the company.

Agency Reconciliation

Select this format if you want to include an A/R (Account receivable balance) column, an Inv # (invoice number) column, and an Inv Date (invoice date) column in the report.

This format should not be sent to the company. As a result of adding the columns to the report, there is a chance theInsuredandPolicynumber fields could be truncated.

Totals Only

Select this format if you want to print the account current statements with totals only (no detail).

Sort Order

This field gives you the opportunity to re-sort the account current before printing, by Customer Name, or by Policy Number.

Your first opportunity to sort was in the build process.

Include Invoices with 0.00 Pay Amounts

Include invoices on the printed account current statements that have a 0.00 Pay Amount to the company.

Filter Offsetting Items

When your accounts current includes offsetting rows (e.g., rows that offset to zero), check this box to hide these rows.

Description

Accept the default description, or enter a new one that describes the report you are requesting.

Print Cover Page

Allows you to include a cover page listing the selected options included in the report. This option defaults as unchecked.

ClosedReport Fields

The reporting columns appearing on an account current depend upon the Company Type and the Format selected.

The Company address printing in the upper right-hand corner of the report defaults from the Checks address as established in Company Setup. This is the case even if the default Checks address is overridden when creating a specific check.

As of v2.0, when we allowed company beginning balance journal entries (BJE) to be entered at startup on AMS 360, they now appear on the Account Current report:

  1. The LOB/Chg and Tran fields will be blank.

  2. The Agency Gross, and Agency Comm fields will be 0.00.

  3. The Rate has no percentage amount.

  4. The Net Payable will be the amount of the BJE.

Account Representative's name.

For a subscription billing, the company policy number assigned to that portion of the risk.

Broker's name.
