Report: Broker Aged Accounts Receivable

Use the Broker Aged Accounts Receivable report as a collection tool. It shows the amounts due your agency from your brokers, by age of the invoice. This report can be run for one broker or all brokers, and for functionality, can be limited by division, department, representative, and/or executive.

To run the report for customers with credit balances, choose the Credit Balance Invoices = Onlyoption. Then use the information on the Customer A/R tab to see if debit invoices exist that you can apply the credit balances to. You can also use theSmart Buttonsto take action on the credit balances.

ClosedAccessing the Broker Aged A/R Report

This report is accessible from any center or form with a Toolbox menu. Selecting Toolbox > Reports takes you to the Reports - All list, where you can make your selection.

Click Broker Aged Accounts Receivable. This opens the Report - Broker Aged Accounts Receivable selection form. Make your selections, pull down the File menu and select to:

Invoice Balances and Aging As Of

Option

Use this option to select a pre-defined end date from the list. The default option is Current Date.

Select End Date

Use this option to type in a specific end date not covered by the choices in the From Listoption.

All Ages

Select the All Ages (default) option if you want to include invoices of all ages as of the selected end date.

Age Greater Than ___ Days Old

Select the Age Greater Thanoption and key in the number of days in theDays Oldfield, if you wish to limited your report to just receivables that are a certain number of days old.

The age of an invoice is based on the later of the Invoice Date or the Invoice Effective Date relative to the report's As of Date.

If a customer has one invoice that is greater than the number of days entered in the Days Old field, then all open invoices for that customer are reported.

To exclude reporting for Advanced Invoices, select the Age Greater Than option and type 0 in the Days Old field.

Primary Sort

Select the primary sort for your report. Your choices are:

  • Broker

  • Division

Secondary Sorts

  • If the primary sort is by Division, then sort by Broker, by customer On Account transactions, by Policy Number, and by Invoice Number.

  • If the primary sort is by Broker, then sort by Customer On Account transactions, by Policy Number, and then by Invoice Number.

Description

Accept the default description, or enter a new on that describes the report you are requesting.

Credit Balance Invoices

Option

What is this?

Include

Select the Include (default) option if you want to include credit balance invoices on the report.

Exclude

Select the Exclude option if you want to exclude credit balance invoices from the report.

Only

Select the Only option if you want to include only credit balance invoices on the report.

To focus on customers with credit balance invoices that need to be cleared, run the report with the Only option selected for Credit Balance Invoices.

Then, go to the Customer Register view and consider doing one of the following where available:

  • Waive a small balance. Action = W

  • Cut a check for return premium. Action = CK.

  • Offset the balance of this credit invoice to a debit invoice. Action = A.

Broker

Select to include One or All (default) brokers on your report.

Business Unit

Click the link to open the Business Unit Selections form and make your selections.

Representative

Select to include One, Multiple or All representatives and executives on your report.

If a selection is made for a specific Exec or Rep, broker On Account invoices that do have an Exec or Rep, are reported whenever the business unit selection includes the division matching the On Account invoice division.

Executive

Report Totals Only

Check this box to report totals only (no detail). Unchecked is the default.

Print Cover Page

Allows you to include a cover page listing the selected options included in the report. This option defaults as unchecked.

Broker

This is the Brokerlast name, first name, or firm name.

Broker heading information is printed once per broker. If the information for a broker continues to another page, then the broker name plus the word 'Continued' is printed at the top of the page.

Contact

This is the contact person within the Broker's office.

Bus Phone

This is the Broker's business phone.

Res Phone

This is the Broker's residence phone.

Email

This is the Broker's email address.

What is this?

Customer Name

Print customer Last Name, First Name. If none, print Firm Name.

Res Phone

Customer residence phone and extension, if any

Exec

Print the executive's Last Name, First Name for the customer.

Last Pay

Print the date of the last payment posted to the customer account.

This date is determined from the open invoices reported.

Account Balance

The total of all invoice balances for the customer.

Account Number

The account number for the customer. Leading zeros are not printed.

Bus Phone

Customer business phone and extension, if any.

Rep

Print the representative's Last Name, First Name for the customer.

Last Amt

Print the last payment amount posted to the customer account.

This amount is determined from the open invoices reported.

Oldest Invoice Age

Print the age (number of days) of the oldest invoice for the customer. The age is based on the later of the invoice date or the invoice effect date.

Print the policy number from basic policy.

Invoice Number

Print the invoice number without the leading zeros.

ClosedOn Account

  1. Since broker On Account invoices do not have a department, they are reported whenever the business unit selection includes the division matching the On Account invoice division.

  2. Since broker On Account invoices do not have an exec or rep, they are not reported whenever a specific exec or rep is selected. Broker On Account Invoices are only reported when the Exec and Rep selections are both (All).

Policy Type

Print the policy type next to the policy:

  • BOP

  • Package

  • Line of Business or Monoline

If the policy is monoline, then the line of business (LOB) description prints here.  If there are multiple lines of business, then the first LOB input prints. If there are no lines of business, then "monoline" prints.

Balance Due

The balance due for each invoice on the report.

Inv/Eff Age

Invoice Age

Reported in the left column. The age of the invoice based on the invoice date. This number is always 0 or greater.

Invoice Effective Age

Reported in the right column. The age of the invoice based on the invoice effective date. This number could be negative due to advanced billing.

Effective Date

This is the invoice effective date.

Aging Categories

Print the invoice balance in the appropriate age column based on the later of the invoice date or invoice effective date.

Late Charge

Print the late charge component of the invoice balance.

If the agency has late charges turned off, AND there are no late charges posted to the general ledger, then this column does not appear on the report.

Policy Total

Print the total of all invoices for a policy if there is more than one invoice.

Broker Total

Print the total receivables for each broker on the report by aging category.

There are no report level totals.

Total Receivables Excluding Late Charges

Print the total of all receivables for the broker excluding late charges.

Total Receivables Including Late Charges

Print the total of all receivables for the broker including late charges.

ClosedTotals Only Report

The Totals Only report prints the following:

  1. Broker heading for each broker.

  2. Customer heading and total receivables with aging totals for each customer.

  3. Total Receivables excluding late charges.

  4. Total Receivables including late charges.

ClosedCalculating the Customer and Invoice Balance

Add up all debit amounts less credit amounts for all customers, where the general ledger transaction date is equal to or less than the report As Of date.

If the invoice total is not equal to zero, print it on the report. Then print totals at the invoice and customer levels.

ClosedCalculating the Invoice Age

Calculate the age of each invoice based on the later of the invoice date or the invoice effective date, relative to the As Of date. Then evaluate whether to keep an invoice based on the Invoice Age selection (All Ages or an Age Greater than a specific number of days old).

ClosedDetermine Invoice Balance Amount

Evaluate which invoices to include in the customer's total receivables, based on the Credit Balance Invoices choice (Include, Exclude, or Only) made on the selection form.

ClosedLast Pay and Last Amount

Is determined from the open invoices on the report.

There are page breaks by division when the primary sort is by division.
