Report: Broker Statement

Invoices are the primary billing document to your brokers. Periodically you may want to summarize all transactions from the broker receivable account onto a Broker Statement. This provides your broker the opportunity to reconcile their records with yours, and verify the amount still due your agency from the broker.

The Broker Statement includes transactions from broker policies, with postings to the broker accounts receivable.

ClosedAccessing the Broker Statement Report

This report is accessible from any center or form with a Toolbox menu. Selecting Toolbox > Reports takes you to the Reports - All list, where you can make your selection.

Click Broker Statement. This opens the Report - Broker Statements selection form. Make your selections, pull down the File menu and select to:

No CSV Export is available with this report. In Print Preview or Print mode, Broker Statements are sorted by broker name (LastName, FirstName). Within a broker statement, sort is on Customer LastName, FirstName or FirmName.

New Statement Batch

Select this option to create a new statement batch. This is the default.

Then make the following selections:

  • Activity as of

  • Broker

  • Business Unit

  • Broker Level On Account Option

  • Reporting Options

  • Message

  • Description

  • Print Cover Page

Existing Statement

Use this option to preview or reprint a statement that was previously created and saved. If this option is selected, choose the  desired Broker and Statement from the drop-down list.

Then, make the following selections

  • Broker Level On Account Option

  • Reporting Options - Invoice

  • Message

  • Description

  • Print Cover Page

Printing an Existing Statement reprints statements for all business units. The Business Unit link is disabled.

If statements are routinely printed by business unit generating a new statement batch generally produces better results than reprinting an existing batch.

Delete Statement Batch

Select the Delete Statement Batchoption to delete a previously printed batch. Then, select the appropriate statement from the drop-down list, and click the Deletebutton.

Option

What is this?

From List

Use this option to select a pre-defined end date from the list. The default option is Current Date.

Select End Date

Use this option to type in a specific end date not covered by the choices in the From Listoption.

Broker

The default is (All) or you may select a specific broker or multiple brokers.

Business Unit

Click the link to open the Business Unit Selections form and make your selections.

Broker Level On Account Options

What is this?

Balance Brought Forward

A detail level that reports the broker on account balance as of the previous statement. Then, the on account detail is reported to the selected end date.

Open Invoice Detail

A detail level that reports all open on account invoices, and on account invoices that reach a zero balance during the reporting period.

The customer detail on the broker statement prints according to the Balance Brought Forward or Open Invoice Detail option selected for each customer in Customer Setup.

Check or uncheck the boxes that apply. Not all options are available for all statement processes.

How does it work?

Open Invoice Detail

Checking the Include Zero Balance Customers option means that open transactions for customers, where the customer balance reaches zero during the reporting period, are included on the statement.

Reporting Period

One day greater than the last statement's end date, through the end date of the current statement.

Balance Brought Forward

The Include Zero Balance Customers option does not pertain to customers on the Balance Brought Forward receivable report option.

This is because the statement starts with a customer beginning balance as of the end date of the previous statement, plus all activity through the end date of the current statement.

Defaults as checked for New Statement Batch but can be changed.

Include Credit Balance Customers

Checking this option prints invoice activity for customers differently based on the Receivable Reporting Option set in the Option section of Customer Setup.

How does it work?

Open Invoice Detail

Checking this option prints invoices where the invoice effective date is within the number of days to bill in advance, which is set in the Accounting Options section of Agency Setup.

Balance Brought Forward

The Include Advanced Invoices option does not pertain to customers on the Balance Brought Forward receivable reporting option.

This is because advanced invoices are always included for Balance Brought Forward customers.

This option defaults as checked for the following Report Processes:

  • New Statement Batch

  • Existing Statement

This option can be unchecked, if desired.

Message

Type in a message to be printed on all statements in the batch. Examples might be, "Happy Holidays" or "Contact your Customer Service Agent with any questions."

Print a Cover Page

Allows you to include a cover page listing the selected options included in the report. This option defaults as unchecked.

Description

Accept the default description, or enter a new one that describes the report you are requesting.

Spool Div/Broker

Use this option only when you have a large number of broker statements to print and have been unable to process ALL statements as a batch. Checking this box will begin printing the statements immediately. AMS suggests using a dedicated printer as miscellaneous print jobs can be interspersed with the statements when this option is selected.

Using this option for a small number of broker statements can cause longer print times for the batch.

Report Selections

What is this?

To:

Broker name and address information pulls from the Broker Setup form.

From:

Agency name and address information pulls from Agency Setup > Name, Address and Phone Numbers.

Customer Detail

Group/Field

What is this?

Customer Name

Name of the customer.

"On Account" prints for activity that is NOT associated with a customer. This is the broker On Account information based on the report selection of Balance Brought Forward or Open Invoice Detail.

On Account invoices are reported whenever the business unit selection includes the division matching the On Account invoice division.

Account Number

The system-assigned account number for the customer.

This is blank for broker On Account.

Date

Transaction date.

Invoice

Invoice number assigned to the transaction.

Tran

Transaction type (invoice, pmt, comm).

Description

The description block includes the policy number and effective & expiration dates, the writing company name, transaction effective date, transaction line of business and type and any pertinent invoice Bill To information.

Amount

The line item amount.

Subtotal

This column displays the sub-total of each invoice on the statement.

Only reports invoice subtotal for customers with the Receivables Reporting Option of Open Invoice Detail. To verify this setting for a customer see Customer Setup > Options section.

Statement Totals

Totals are generated by invoice (for customers on Open Invoice Detail reporting option) and then by customer. Finally, statement totals are generated by broker and include the following:

  • Balance from last statement (if Balance Brought Forward reporting option)

  • Payments received

  • Payments to broker

  • Current charges

  • Commissions allowed

  • Adjustments

  • Amount due

  • Aging Categories to age the broker receivable detail.

The aging categories default fromAgency Setup>Accounting Options.
