Report: Open Invoices by Company

The Open Invoices by Company report provides information about invoices that still have a receivable balance, for each company selected by the user. You can use this report as a collection tool because it includes the customer’s name, telephone number, customer balance and information about how old the balance is.

Based on your knowledge of the company, you can also evaluate when to notify your customer that a policy will be cancelled for non-payment. It also includes payment information when an invoice is partially paid to the company.

You can run the report with invoice-level detail or totals only, summarized by company.

ClosedAccessing the Open Invoices by Company Report

This report is accessible from any center or form with a Toolbox menu. Selecting Toolbox > Reports takes you to the Reports - All list, where you can make your selection.

Click Open Invoices by Company. This opens the Report - Open Invoices by Company selection form. Make your selections, pull down the File menu and select to:

Invoice Balances and Aging as of

Option

From List

Use this option to select a pre-defined end date from the list. The default option is Current Date.

Select End Date

Use this option to type in a specific end date, not covered by the choices in the From List option.

Invoice Age

The aging categories are defined in Agency Setup. The age basis for distribution in aging categories is later of invoice date/invoice effective date, relative to the report "as of" date.

Choosing this option prints all agency bill invoices with open receivable balances, with amounts displayed in the appropriate aging category

Age Greater Than ___ Days Old

Choose this option and type in a number of aging days to define a cut-off point below which invoices are not included in the report.

Using this option helps to eliminate recently invoiced items, not yet due for payment, from appearing on the report.

Example:

Invoices greater than 30 days past their invoice date may be due to the company soon. Items appearing on such a report are high priority for collection.

Credit Balance Invoices

This is the default. It may be important to know if there are credit balances offsetting all or part of the invoice balance due.

Exclude

Select this option to suppress invoices with a credit balance.

Only

Select this option to list only invoices that have credit balances.

Use this report to help isolate credits that have not been refunded to the client but for which the net premium was already refunded by the company to the agency.

Company Type

Default selection is (All). Can also select a report for only Insurance companies or only Brokerage companies.

Company

Default selection is (All) or reports for a specific company can be created.

The companies identified in the list depend on the company type selected above.

Business Unit

Click the link to open the Business Unit Selections form and make your selections.

Representative

The default is (All) or you can print a report for a specific customer service representative.

Executive

The default is (All) or you can print a report for a specific executive.

Sort Order

Select a sort order for output. Choices include:

Primary Sort

Secondary Sort

Company

If Company is selected, records are sorted next by Division and then by Customer (LastName, FirstName, or Firm Name).

Division

If Division is selected, records are sorted next by Company and then by Customer (LastName, FirstName, or Firm Name).

Report Totals Only

Selecting this option produces a report showing totals, divided into aging categories, summarized by company.

Use this format of the report to help predict required future cash flows.

Print Cover Page

Allows you to include a cover page listing the selected options included in the report. This option defaults as unchecked.

Description

Accept the default description, or enter a new one that describes the report you are requesting.

As of v2.0, when we allowed company beginning balance journal entries (BJE) to be entered at startup on AMS360, they now appear in the Open Invoices by Company report for the payable totals (Net Payable and Payable Balance).

Customer account number without leading zeros.

Last Pay

Date of the most recent payment on the customer account.

Bus Phone

Customer's business phone number.

Account Balance

Total of all invoice balances for the company/customer.

Age of the oldest invoice for the customer, based on the later of the invoice date or invoice effective date.

The contact person listed on the customer account (first person in the list).

Inv/Eff Age

Number of days past the invoice date or the invoice effective date, whichever is later.

The number may be a negative if the invoice is not yet effective.

Business phone for the contact person.

Eff Date

Effective date of the invoice

Amounts by Aging Category

Receivable aging categories pull from settings in Agency Setup. Invoice balance amounts display under the appropriate category.

Type of Policy

If the Type of Policy is, then display:

  • Business Owners Package = BOP

  • Package = Package

  • Monoline= Display the first line of business input by the user.

    If there is no line of business then display Monoline.

 

Net Payable

Net payable amount of the invoice.

Broker

Broker on the policy. Field is blank if no broker exists.

Payable Balance

Net payable minus the amount already paid to the company on the invoice.

Totals

These totals are printed for each company and then report totals are printed for the sum of all companies at the end of the report.
