IVANS Download
The majority of companies download policy data using the IVANS Advantis network. The company provides you with the IVANS setup information to enter in Company and Agency Setup.
The following sections provide information about IVANS Download and are listed in the order they should be performed:
Setting up IVANS Download
The following sections represent IVANS Download requirements that must be completed before you begin using IVANS Download:
Licensing
Your agency must be licensed for Download. The license is purchased from Vertafore, Inc. and is applied by the Data Center.

Company Setups
The company that sends you data via IVANS Download provides you with the information you need to complete the following sections of Company Setup:
Billing Options Section
Select the appropriate Download Type. For more information on download types, see the Billing Options section in Company Setup.
Plan Assignments Section
Most companies use plans, therefore it is important for a successful download to set up and assign the applicable Plans to your company. For information on plan assignment, see the Plan Assignments section in Company Setup.

Writing Company Setup Section
Set up the Writing companies for each Parent company with which you download and assign the appropriate NAIC codes. For more information on setting up writing companies, see the Writing Company section in Company Setup.
IVANS Codes
Set up the IVANS codes. For more information on setting up these codes, see the IVANS Codes section in Company Setup.
Download Address Section
Set up the download Origination Addresses. For more information on origination addresses, see the Download Addresses section in Company Setup.
Download Options Section
Complete the Download option and the Upload option in the Download Options section of company setup. For more information, see the Download Options section in Company Setup.
The File Transfer Protocol Setup is specific to FTP download, so you do not need to complete this section in Company Setup.
Agency Setups
The company that sends you data via IVANS Download will provide you with the information you need to complete the following options in the System Configuration Options section of Agency Setup.

Download Session Nightly Pickup
When your licensing and setup are complete your company will begin sending data via the IVANS Advantis Network. To begin receiving the data you must set the Download Session Nightly Pickup to On.

Steps in IVANS Download
After you have completed the IVANS Download setup, the company begins to send you transactions via the IVANS Advantis Network. The following sections define the process involved in picking up and processing the data.
Scheduling IVANS Download Pickup
AMS360 Online
The Vertafore Data Center automatically runs download pickup for your agency each night.
AMS360 In-house
The Download pickup time, 1 am every day (default), is set up for you in SQL Server Enterprise Manager. If you prefer a different pickup time, contact Vertafore Support.
Notification that Download Data Has Been Received
AMS360 Online
When the Data Center has picked up Download transactions for you, the person assigned to received download suspense is notified. (See the General section in Employee Setup for more information on the Log Download Suspense option.)
Before you can assign customers and policies you must use Process Transactions to merge the download transactions you've received into your database.
- On the 360 Toolbox menu, click Integration > Download > Process Transactions.
- An informational message appears with your agency name. The message indicates that Process Transactions is pending. Click OK. The employee(s) set up to log download suspense receive a suspense when the file has been processed. (See the General section of the Employee Setup topic for more information on the Log Download Suspense option.)
The suspense will include one of the following two messages.

Store Transactions complete - Some transactions require manual customer/policy assignment. |
Occasionally, when the download file is merged into your database, AMS360 is not able to match the information with a customer. In these cases you must review the unmatched transactions and assign them to the proper customer and policy, if appropriate. For more information on this process see the Customer/Policy Assignment topic. Reports may be incomplete if viewed or printed before completing Customer/Policy Assignment and processing these transactions. After you finish assigning customers and polices you must run process transactions again to merge the newly matched transactions into your database. |
AMS360 In-house
When you have received download transactions via the overnight pickup, the employee(s) set up to log download suspense receives a suspense. (See the General section in Employee Setup for more information on the Log Download Suspense option.)
The suspense will include one of the following two messages.

Printing the Download Detail Report
When you have matched and merged all customers and policies in a download file print the Download Report. This report lists items that require further attention and may not have loaded completely. See Report - Download for more information.
