Convert Existing Policies to Benefits Policies - by Individual Policy
Use this feature to convert non-Benefit Lines of Business (LOB) to Benefit Lines of Business on existing Policies.
Access to this feature is only available if you are assigned to the Benefits security group in Employee Setup > Security Group Assignment. |

To initiate the policy conversion process:
- If a customer name is not displayed in the Customer field, search for and select the desired customer.
- Select the policy to be converted from the Policy list.
Only current or future policies are eligible for conversion. Policies no longer in force cannot be converted. - Click Refresh. The selected policy appears in a grid with a row for each non-Benefit Lines of Business (LOB) that is active as of the date of conversion or between the conversion date and the end of the policy period.
If the selected policy is currently open on the system, you'll receive a message indicating the login name of the user and the computer name of the workstation where the policy is open. The policy must be closed before the policy can be converted. - Select a row and click Edit on the section menu.
- If the selected row contains an LOB that you do not want converted, select the Delete Line of Business box and click Update.
- Select the Line of Business the policy should be converted "to" from the list. Only Benefit Type LOBs appear in the list.
- Select a Plan Type (Product Name). For a Plan Type to be available it must first be setup in Company Plan Setup and then attached to the Parent Company on the policy that is being converted.
Plan Types are attached to companies in Company Setup > Plan Assignments. - Enter a State Plan Type if it applies.
- Enter an appropriate Description or enter the plan type again in this field. This Description information pulls to the Dec Page View and the Policy in the Line of Business section.
- Click Update to complete editing the active grid row.
- Continue editing Line of Business rows for the policy until a Benefits LOB is selected for each row or the row is marked Delete Line of Business.
If you make an error and want to restore the form prior to editing, click Clear. - Click Convert. A message warning is displayed. Click Yes to continue or No to abort the conversion.
The utility evaluates each line of business selected for conversion against the criteria for conversion. When processing is complete, the form refreshes and the Conversion Results section appears. - After reviewing Conversion Results, click Clear to select another Customer with individual policies you wish to convert or close the form to exit the process.

Conversion Results is a view-only grid displayed only after conversion completes. You should review the Status/Exception result for each row to determine if conversion was successful.

Submission, multi-entity, or subscription policy | Policy could not be converted because it is a submission, multi-entity and/or subscription policy. Such policies are ineligible for conversion. Create a New policy selecting Benefits as the Type of Business. Terminate the existing policy according to your agency's rules for flagging duplicate policies that are no longer needed. | ||
Cannot delete LOB with Tran Premium row | Designated line of business, marked for deletion, could not be deleted because it has a corresponding transaction premium item. | ||
Policy billing item has different Income Group | Policy could not be converted because it contains a billing item that uses a line of business (LOB) from a different Income Group (Property/Casualty, Financial Services or Life & Health) than the 'Convert to' LOB. | ||
Cannot convert policy due to error on other detail row | Policy could not convert because one or more of the lines of business failed an edit. All lines of business on a policy must be converted or deleted at the same time. Use the Convert to Benefits by Individual Policy feature to convert such policies. | ||
Policy premium row has different LOB | The Line of Business (LOB) selected in the Transaction/Billings section of the policy cannot be different than an LOB selected in the Line of Business section of the policy.
