Renewal Management: My Expiring Policies View

Expiring policies are distributed from a Renewal List to the Home Center > My Expiring Policies view for assigned personnel.

 

You can customize your My Expiring Policies view so that it displays only the data relevant to your workflow by setting View Options. See Related Topics for more information.

These same policies also appear in the My Renewal Lists view, organized by list: you can work on your assigned expiring policies from whichever view you prefer.

An expiring policy appears on your My Expiring Policies view for one of the following reasons:

  • You have been assigned to the policy
  • You are designated as an Out of Office backup employee for another's expiring policies

Each row represents an expiring policy assigned to you. Each row includes active links to the Dec Page View, Policy, Customer Center, Submission Group, and  Re-Assign Expiring Policy forms.

Beginning with AMS360 Version 23R2, two new columns have been added to each view, where users can now see "Parent Company" and "Writing Company" information.

ClosedEnter Renewal Policy Comments
  1. To open the Renewal List - Policy Comments form, click the Comments icon in the Actions column.

    If no comments have been added yet, the "bubble" icon is empty. If comments exist, the icon includes a small letter "i".
  2. Enter comments in the text box.
  3. To log an activity for new or modified comments, click the Activity link. To log a note for these comments, click the Notes link. In both cases, the default center assignment is Customer Center.
  4. Enter information on the activity or note; save and close as normal.
  5. Click OK to save the comments and close the form. (Comments flow to the Policy > Basic Policy > Renewal Comments field.)

    You return to the Home Center. The Stage column message for this policy should be In Progress.
ClosedCreate Renewal
  1. Click the Create Renewal/Rewrite Policy icon in the Actions column. The Create Renewal/Rewrite Policy data entry form opens,
  2. Complete the fields on the data entry form as usual. More...
  3. Click OK to renew the policy and return to the Home Center. Note the following changes to the Home Center: the Renew button is no longer available; the Stage column changes to Renewed; and the Complete check box is automatically selected.
ClosedCreate Submissions
  1. Click the Submission Group icon in the Actions column. The Submission Group form opens.

    Your expiring policy appears automatically in the Submission Group form.
  2. View the submission based on your expiring policy. Click the policy name link to open the Policy.
  3. Click Save and Close to return to the Home Center. Note the following changes to the Home Center: the Marketing button is no longer available, and the Stage column changes to Marketing.
ClosedRe-assign Expiring Policy
  1. Click the employee name link in the Assigned To column. The Re-Assign Expiring Policies form opens.
  2. From the Assign To list, select the employee name to whom this policy will be assigned.
  3. Add any comments in the text box. (After you complete this re-assignment, your comments flow to the Renewal List - Policy Comments form.)
  4. Click OK to return to the Home Center. The expiring policy disappears from your My Expiring Policies view. When the newly assigned employee next refreshes their Home Center, the policy will appear on their My Expiring Policies view.  
ClosedMark a Policy as Complete

A Renewal List is not complete until each of its expiring policies are marked as complete.

The status automatically changes when the Stage of a policy changes to one of the following:

  • Cancelled
  • Expired
  • Nonrenewed
  • Renewed
  • Rewritten

You can also manually change the status to indicate you have completed work on this expiring policy. Follow these steps:

  1. Click the check box in the first column to enter a check mark.
  2. Click Change Complete Status in the toolbar. You receive a confirmation message.
  3. Click Yes. The message closes. The Home Center is refreshed, saving the data.

To remove Complete status for a policy, select the check box and click Change Complete Status.
