Data Schedule Import

Data Schedule Import allows you to import lists of items, such as vehicles and drivers, into new or existing policies. You can also import lists of certificate holders into the customer account. For an overview see Workflow: Use the AMS360 Data Schedule Import Export Feature.

Vehicle and Drivers

The Data Schedule Import form appears when you click the Data Schedule Import icon , or click Operation > Data Schedule > Import, from a Policy or Line of Business form that has the Data Schedule feature available.

Certificate Holders

Open the customer for which you are importing holders. Click Action > Certificate Holder > Import.

The fields on the upper portion of the Data Schedule Import data entry screen change depending on where you select the import. The fields available as well as the differences are noted in the following table:

For display only. If the Data Schedule Import form is invoked from a policy, then "policy" displays here. If this form is invoked from a line of business, then the name of the line of business displays here.

Group Name

Appears only when importing certificate holders.

If you have previously set up a name for this group of certificate holders you can select it from the list. To create a new group name, click Group Name Setup.

Data Schedule

The choices available in the Data Schedule list are determined by where you select Data Schedule Import.

Select Import File and a Data Schedule Template

Import File

Enter the file location and name of the .csv file you want to import.

You can also drag and drop the file onto the Import form.

Browse

Opens the Open dialog box so you can navigate to the file that contains the data you want to import.

By default, AMS360 will Look in:

C:\Documents and Settings\
User\Temp\AMS\Data Schedules\Import Files,

as shown in the example here.

Template

This field defaults to the permanent template that belongs to the Data Schedule selected above.

The list also contains other non-permanent template choices based on the Data Schedule selection.

The template used to export the data to the customer, is the template you should use when the data is returned for import.

New

New displays when there is no Template selected or a permanent template is selected. Clicking New opens the Data Schedule Template form where you can create a new Data Schedule Template.

Edit

Edit displays when you have selected a non-permanent template. Clicking Edit opens the Data Schedule Template form where you can modify the template.

Start import at row:

Review the file you are importing. Enter the number of the first row of data you want to import. The default is 2.

Typically this is the row following the header row.

Preview

Opens the Data Schedule Preview form which will display all of the assigned columns and data to be imported.

Import

Opens the Data Schedule Import Reconciliation form for the selected Data Schedule.

Cancel

Closes the Data Schedule Import form without saving changes.

Microsoft Excel auto formats numbers that exceed 11 digits to a scientific notation. We recommend you format all cells to Text or Number before entering data. See Microsoft Excel Help for more information.

Tips about importing data

If you receive the file in an xls (Excel Workbook format) you must first open it and save it as a csv file before you can import it into AMS360. Saving the file to a csv format eliminates only the formatting. You do not lose any data.
