Building Batch Statements in the Financial Center

If your agency's monthly work flow involves processing multiple company payables, commission and/or direct bill statements for multiple companies, employees and/or brokers, AMS360 offers Batch Processingin theFinancial Center to create more than one statement at a time.

ClosedAccessing Batch Processing of Statements

  1. Open the Financial Center.

  2. Click Actions.

  3. Select one of the following options, depending on the type of batch statement you are creating:

ClosedDirect Bill Statements

From the Financial Center, select Actions > Direct Bill Statement. The Direct Bill Statement form displays. This is the same form as if selected from the Company Center, except it has an additional section called, Company Selections.

A statement created by batch processing in the Financial Center is also available for action and viewing in the Company Center.

ClosedCompany Selections

The Company Selections grid lists all active insurance and brokerage companies.

Building a statement for a company flagged as Inactive is only available through the Company Center.

All rows in the grid, default as unchecked. The list can be narrowed by using grid filtering. For example, include only insurance companies by filtering on the Type column. For more information on filtering, see Grid Filtering in the Tables in Data Entry Forms topic.

At least one company row in the grid must be checked before the Create Statement link is clicked.

Company name.

Type

Insurance or Brokerage company.

Check All

Use to check all companies in the grid. You can then selectively uncheck companies you do not want.

Uncheck All

Use to uncheck all companies in the grid.

ClosedStatement Modifiers

This section operates the same as if selected from the Direct Bill Statement form, accessed through the Company Center. For more information, see the Statement Modifiers section of the Direct Bill Statement topic.

Complete the modifiers, as desired, and click Create Statement to build a statement for each company and division selected.

If only one statement is created during the build process, that statement is opened automatically. Otherwise, open the appropriate direct bill statement by clicking the Direct Billview tab in theFinancial Center, and selecting the statement. Then, begin the reconciliation process.

ClosedDirect Bill Statement View

Click the Direct Bill view tab in the Financial Center to view the list of statements returned in the Create Statement process. Click a link in the Type column to open a statement for reconciliation.

ClosedAccount Current Statements

From the Financial Center, select Actions > Pay Account Current. The Pay Account Current form displays. This is the same form as if selected from the Company Center, except it has an additional section called, Company Selections.

A statement created by batch processing in the Financial Center is also available for action and viewing in the Company Center.

The Company Selections grid lists all active insurance, brokerage, and fee companies with a payable balance.

Building a statement for a company flagged as Inactive is only available through the Company Center.

From the Financial Center, select Actions > Pay Commission. The Pay Commission form displays. This is the same form as if selected from the Employee and Broker centers, except it has two additional sections called, Employee Selections and Broker Selections.

The Employee and Broker Selections grids list all active employees and brokers with a payable balance.

Building a statement for an employee or broker flagged as Inactive is only available through the Employee or Broker Centers.

If only one statement is created during the build process, that statement is opened automatically. Otherwise, open the appropriate pay commission statement by clicking the Comm. Payable view tab in the Financial Center, and selecting the statement. Then, begin the reconciliation process.

Click the Comm. Payable view tab in the Financial Center to view the list of statements returned in the Create Statement process. Click a link in the Type column to open a statement for reconciliation.

Personnel (Employees/Brokers) that are flagged as Inactive do not appear in the Employee Selections or Broker Selections sections of the batch Pay Commissions form. Therefore clicking Check All does not create a statement for such personnel. To pay commissions to someone with Inactive status, locate the Employee/Broker by searching in the appropriate Center, making sure to select the Inactive radio button in the Include group. You can then open the Employee/Broker form and select Actions > Pay Commissions to build the statement.
