Workflow: Adding, Editing, and Deleting Profile Questions
Use Profile Question Setup to create a list of questions or statements that, when answered, build an account profile. When deciding what profile questions to set up, avoid duplicating information that is already being stored in other areas within AMS360.
Profile questions can be used as merge fields that pull the answers into Form Letters. You can also use profile questions to create Target Lists in the Sales Center.
Profile questions are accessed and answered in the Profiles section of the Customer data entry form.
You can access Profile Question Setup from any center or form that has a Toolbox menu. Click Toolbox > System Administration > Profile Questions.
You must have proper authorization to access Profile Question Setup.
You can Edit or Delete a Profile Question, after you add it to the list but haven't clickedSave.If you have already saved the profile question, consider inactivating it. SeeEditing a Profile Questionin this topic.

Click New. The Profile Question data entry fields appears.

Choose the Type of Business the Profile Question applies to:

In the Text field type the question as you want it to appear. You can enter a maximum of 20 characters.

The Active checkbox defaults as checked. This causes the profile question to appear in the list throughout AMS 360.

Select an Answer Type. The Type applies edits to the answer. See the following table for more information:

Nine digits. AMS 360 formats the number for you.

State

Select the state from the list.

Any characters including letters, numbers, and special characters.

|
Numbers separated by a colon. (HH:MM) Enter the hour and minutes and AMS360 formats the number for you.

Year (YYYY)

Four numbers only.

The answer can only be a Y or an N.

Five or nine digit zip code Enter the numbers and AMS 360 formats it for you

Click Add. The profile question appears in the list.

Click Save or Save and Close.
A Profile Question can be changed after you add it to the list, but haven't clicked Save. Once you click SaveorSave and Close, the question cannot be changed nor deleted. If the profile question is saved you can inactivate it.

Update the Profile Question.

If the profile question has not been saved, change the information as necessary and click Update.

If the profile question has been saved, inactivate the question by removing the check from the Active check box. This causes the profile question to not appear in lists throughout AMS360. Click Update.
Inactive Profile Questions still appear for customers where answers exist. The changes you make apply from this point forward when you use profile questions.

When you have finished editing profile questions, click Save or Save and Close.
A Profile Question can be deleted after it is added and before it is saved. If it has been saved then you have the option of changing the status to Inactive (hiding it in the list). See Editing a Profile Question in this topic.

Select the profile question that you want to delete and click Delete. A message appears asking you to confirm the deletion. Click Yes. The question disappears from the list.

When you have finished deleting profile questions click Save or Save and Close.
