AMS360 Version 5.5 Enhancements and Fixes

We are pleased to provide these AMS360 v 5.5 enhancements and fixes, including items researched and developed with assistance from your AMS360 Research and Development Committee, and from your NetVu PERS requests.

Major enhancements in this release include:

eForms Attachments

A new feature in eForms Manager allows you to attach an email, file, or Doc360 file to:

  • Applications

  • Integrated forms (Auto ID Cards, Binders, Certificates, Evidence of Property Insurance, Claims, and Loss Notices)

  • Individual Certificate Holders and Additional Interests on Binders and Evidence of Property Insurance

Attached documents appear in eForms Manager associated with the appropriate form.

You can email, fax, or print eForms Attachments and include the attachment in an Activity. When emailing an eForm Attachment the document is sent its original format. (Word doc, Excel file, JPEG file, etc.)

The eForm Attachments can be seen on the Document Tab in the Customer Center using a new checkbox in View Options.

A feature for searching eForm Attachments has been added to the following forms: Doc360 Search, Document Information, Attachments, and History.


 

 

Enhancements In Viewing and Handling Quote Transactions

On the Policy Tab in the Customer Center, Quotes now sort in reverse date order below policies.

View Options for the Policy Tab include the ability to exclude Quotes when viewing policies.

Changes in the handling of Quote transactions include:

  • Renewal quote transactions no longer create a new policy line each time one is downloaded. Instead, a separate quote transaction is created for the first Quote and each subsequent quote downloaded merges with this initial quote transaction. The status is "Quote."

  • To reduce the number of new policies created, Quote transactions merge with an existing transaction with a "Quote" status. (e.g., transactions sent from Rating and/or imported using Single Tran Import)

  • You will receive a warning if you attempt to endorse a Quote transaction.

  • Renewal Transactions now create a new policy line instead of overlaying the Renewal Quote.

  • If no "Quote" transactions exist for a policy, a downloaded Renewal creates a new policy line.

  • Policy Selection drop down lists now include the Policy Status. Statuses are:

  • A - Active

  • C - Cancelled

  • E - Expired

  • I - Include

  • N - Non-Renewed

  • T - Not taken

  • Q - Quote (new in v5.5)

  • R - Renewed

  • W - Rewritten

Additional Transaction Handling:

  • The Single Tran Import feature allows a Quote transaction to be merged with an existing active policy. However, the next transaction imported or downloaded that is not a quote, creates a duplicate active policy. Use Single Tran Import to confirm the transaction you want updated -- whether it is a Quote or the actual Policy. In addition, you can either Create New or Update. If you choose Update, you can select the transaction, the quote or actual policy, to update.

  • You can delete the Quote transactions.

The changes in handling Quote transactions apply only to policy transactions entered, downloaded, or imported after the v5.5 release has been applied to your system. Pre-existing Quotes aren't automatically updated, but you can change existing policies manually by choosing Quote in the Status field in Basic Policy.

ACORD Forms

Version 5.5 includes the following forms:

If your agency uses the Texas Insurance Liability Card 50, Vertafore suggests you select Toolbox > System Administration > Customer/Policy Setups > eForms Setup and then filter on Form No. and State to verify whether the 09/2003 version should be Active. Only Active forms are available to select when creating forms.

ACORD 23

Two versions of the ACORD 23 are available in this release. The name of ACORD 23 has changed twice since AMS360 v5.0.

Because only one form name can appear in drop-down lists or grids showing form names; the most current form name, "Vehicle or Equipment Certificate of Insurance," is shown for ACORD Form 23.

Instead of attempting to locate this form by name, Vertafore suggests you search by the form number, 23, which has not changed.

Certificate of Liability Insurance

"Get detail based on" now works correctly with future dated policies when you have selected multiple policies.

Certificate of Liability and Certificate of Property

When a Certificate of Liability or Certificate of Property is copied, the correct Certificate Number now flows to the ACORD Form.

Construction Type Codes

Construction Type codes have been updated to reflect the current ACORD standard values for construction types. Using these standard values helps in the smooth transfer of data with other products and or carriers. The following Permanent codes have been updated to match the AL3 description:

Construction type codes are managed in List Setup. Existing policy data is automatically updated to reflect the new descriptions. This change affects all data entry forms using Construction Type codes, as well as applications and reports populated from those forms. Construction Type codes are used on the following data entry forms:

When your agency upgrades to AMS360 version 5.5, existing codes are automatically changed. If your agency created Construction Types that match any of the new ones, the agency-entered description will be renamed. When you log in to AMS360 you will be ask to resolve the conflicts.

Form Letters

You can now select the .docx file type on the Form Letters Document Library form when choosing templates to use for Form Letters.

Invoice

Entering $0.00 in the Premium To Bill on Effective Date field now correctly bills zero for the first installment.(Resolves Solution #25308)

Reports > Claims Management Report

Loss Date (descending order) is now a secondary sort option for the Claims Management Report.

Direct Bill download statements now create as expected when the statement contains over 1500 items.

Employee Commission Statement

Invoices for agency and broker fees, where some or all of the fee is due the producer, now correctly pull to the Employee Commission Statement when you select the appropriate "Include" option.

A discrepancy in the display of Fiscal Years on the Income & Expense Report selection form has been resolved. This issue occurred for agencies using multiple divisions with different fiscal years. (This resolves Solution #25309).

AL3 Retrieval Utility (Customer Support)

A new utility to assist Vertafore Customer Care in retrieving AL3 files from a database is now available from the menu at Toolbox>Integration>AL3 Retrieval (Customer Support).

Customer/Policy Assign

The Customer/Policy assignment grid contains a new column and button used to remove a previous assignment.

Processing Quote and Renewal Transactions

Garaging Information

Garage rows are now created if the carrier sends at least one of the following values: City, State, or ZIP Code. Previously the data was rejected unless all three values were included.  

Updates to Construction Type Codes

Construction Type Codes have been updated to reflect current AL3 standards. This change corrects codes and descriptions for any Property, Commercial Inland Marine – Accounts Receivable Valuable Papers, Personal Inland Marine, Farm, Homeowners, and Dwelling Fire policies using Construction Type. Previously, some policies accessed via TransactNOW were displaying an incorrect code description. In addition, policies migrated from AfW to AMS360 will now map to the updated code list. For more detailed information, see the Construction Type Codes information in the Customer Service section of this topic.

TransactNOW Book Roll and Single Transaction Export

The full term premium amount from Basic Policy Information is now included when using Single Transaction Export and TransactNOW Book Roll.
