Connect Locations and Departments

Use the Connect Locations and Departments page to configure connections among locations and/or departments defined on the Locations and Departments page.

To open the Connect Locations and Departments page, from the Administration menu select Configure System, and then select Locations and Departments. Then, in the Related Pages section of the Locations and Departments page, click the Connect Locations and Departments link.

The Connect Locations and Departments page consists of the following sections:

Fields and controls include the following:

  • Maintain Locations and Departments: Click to open the Locations and Departments page, where you can configure and edit locations and departments among which you can configure connections on the Connect Locations and Departments page.

Fields and controls include the following:

  • Location: Select a location from the dropdown menu, either to connect to a department selected from the Department dropdown menu or to configure a location independent of a department. Values in the dropdown menu include locations configured on the Locations and Departments page.

  • Department: Select a department from the dropdown menu, either to connect to a location selected from the Location dropdown menu or to configure a department independent of a location. Values in the dropdown menu include departments configured on the Locations and Departments page.

  • Begin Date: Enter today's date or a prior date on which a configured location/department combination became active, using the mm-dd-yyyy date format. Or, click the button to open a popup calendar from which you can click to select a date.

  • Connect: Click to enable the currently selected configuration.

ClosedCurrent Location Department Connections

Fields and controls include the following:

  • Location: For each listed location/department connection, displays its corresponding location Name and Code.

  • Department: For each listed location/department connection, displays its corresponding department Name and Code.

  • Begin Date: For each listed location/department connection, displays the date on which it became active in the system.

  • Actions: Click the Edit Name button () to expand the record row corresponding to a selected location/department connection and transfer its information to edit fields, allowing you to update Begin Date information only. To edit the date on which a location/department connection became active, modify the existing value in the Begin Date field, and then click the Save Changes button (). To cancel an edit operation, click the Cancel button ().

Notes

Note: In the Locations and Departments section, once all possible connections have been exhausted for either a location or department, it will become unavailable in its respective dropdown menu.

Note: You cannot delete a location/department connection once it is created. You cannot modify the values of the Location or Department fields in the Current Location Department Connections section. The value of the Begin Date field in the Current Location Department Connections section cannot be null.

Tips

When establishing a producer's assignment to a configured location/department connection, an end user is permitted to enter a date that precedes the connection's Begin Date in the Locations and Departments section. Thus to avoid data conflicts between a system-configured Begin Date and a producer-level Begin Date we recommend that for each location/department connection you enter a Begin Date in the Locations and Departments section that is in the far-distant past.
