Maintain Producer Access Preferences

Outside agents working with your firm can apply electronically for a state producer license on their own through Vertafore online services. You can set up AgencyEDGE so that once they complete a license application, the application either passes directly to the state or is routed first to a specific representative in your firm for review. (For more information, see View License Apps Pending Review .)

You can also set it up so that costs associated with a license application are paid entirely by an outside agent, entirely by your firm, or shared between them (a.k.a., "split billing").

Use the Maintain Producer Access Preferences service to establish and configure special user account profiles for groups of outside agents working with your firm to obtain licensure or to set up a secure partner referral page (or "landing page") for agents to use Vertafore online services.

To use the Maintain Producer Access Preferences service, click the Administration link. The Administration page will open. Then, in the License Application Management group, click the Maintain Producer Access/Passwords link.

The Maintain Producer Access Preferences page contains the following sections:

Current Producer Access Preferences

Displays a table listing reusable outside agent account profiles that have been created and saved to the system.

You may choose a specific account profile with split billing or subscriber review configurations that apply to a specific outside agent and then email the account profile login information to the outside agent.

• Add New Producer Access Preference: Click to enable the data entry fields and controls in the Add/Update Producer Access Preferences section.
• [checkbox]: For each account profile listed, click to checkmark the checkbox to select it to delete from the system, edit in the Current Producer Access Preferences section, or email its login information to an outside agent.
• Service Type: For each account profile listed, displays the type of service enabled for outside agents to perform using online services, either License Application or Secure Landing Pages
• Subscriber Name: For each account profile listed, displays the name of the company subscribing to AgencyEDGE and working with the outside agent. (In most cases, displays your company's name.)
• Fee Preference: For each account profile listed, displays the fee combination that the company displaying in the Subscriber Name field will pay on behalf of an outside agent under the cost-sharing agreement between your firm and the agent. Any fee types not displayed are paid by the agent.
• User Name: For each account profile listed, displays the user name that all outside agents using the profile will enter when applying for a license through Vertafore online services.
• Password: For each account profile listed, displays the password that all outside agents using the profile will enter when applying for a license through Vertafore online services. If value of Service Type field is Secure Lansing Pages, password is masked.
• Cost Center Name: For each account profile listed, displays the cost center to which your organization's share of the costs of an outside agent's license application fees will be allocated.
• Access Type: For each account profile listed, displays the configuration details used in combination with a selected Service Type.
• Edit: For each account profile listed, click to move the account profile information to the Add/Update Producer Access Preferences to update it.
• Delete: Click to disable the producer access setting for any account profile whose [checkbox] field is checkmarked and remove it from the Current Producer Access Preferences section.
• Email selected login to producer: With the [checkmark] field of a selected account profile checkmarked, click to enable the Email Outside Agent Login Information section, where you can compose and send an email to notify an outside agent that he or she may use a selected split billing or application review account profile for the purpose of applying for a license using Vertafore online services.

Add/Update Producer Access Preferences

Use the Add/Update Producer Access Preferences section to set up an outside agent account profile and save it to the system.

There is a "many-to-one" relationship among outside agents and account profiles. For each Service Type and Access Type combination, you can set up a single account profile and then reuse it repeatedly for each outside agent for whom you want to set up split billing or application review.

• Service Type: Required. Select from the dropdown menu the type of service to enable for outside agents to perform using online services. Select from among the following:
  • License Application: Allows outside agents to submit license applications that are subject to review by your firm or to "split billing."
  • Secure Landing Pages: Enables outside agents to access a secure partner referral page (or "landing page") to use Vertafore online services.
• Access Type: Required. Select from the dropdown menu configuration details for use in combination with a selected Service Type. Select from among the following:
  • Create producer login only: Available only when Service Type value is License Application. Supports "subscriber review" of license applications, but does not support split billing. Requires your firm to review all license applications (if allowed by your state) before releasing them to the state and pay all license application fees, including Sircon fee, processing (credit card) fee, and state fee. An outside agent, when entering information on a license application submitted through online services, will select the appropriate option in the Processing Method section of the online form.
  • Create producer login and fee setup: Available only when Service Type value is License Application. Supports split billing between outside agent and subscriber, but does not support subscriber review. Does not allow a staff member to review an outside agent's license application before it is submitted to the state. Allows you to determine which fees are to be paid by the agent. An outside agent, when entering information on a license application submitted through Vertafore online services, will select the appropriate option in the Processing Method section of the online license application form.
  • Review: Default. Available only when Service Type value is Secure Landing Pages. License applications submitted through a Secure Landing Page will be routed to the selected subscriber representative for review.
  • Non-Review: Available only when Service Type value is Secure Landing Pages. License applications submitted through a Secure Landing Page will be submitted directly to license states.
• Subscriber Representative: Required. Available only when value of Access Type field is Create producer login and fee setup. Select the name of a AgencyEDGE user in your organization to be responsible for "split billing" license application fees incurred by outside agents.
• Fee Preference: Required. Available only when value of Access Type field is Create producer login and fee setup. Select from the dropdown menu the fee combination your firm will pay on behalf of an outside agent under the cost-sharing agreement between your firm and the agent.
• Cost Center Name: Available only when value of Access Type field is Create producer login and fee setup. Select a cost center to which to allocate your organization's share of the costs of an outside agent's license application fees.
• Subscriber Name: Enter the name of your firm (or the organization working with the outside agent to obtain licensure). An outside agent will be instructed in an email to select the subscriber name from a dropdown menu when applying through online services.
• User Name: Enter a login name for an outside agent to use when applying through online services. Maximum 72 characters.
• Password: Enter a password for an outside agent to use when applying through online services.
• Non-review Fee Preference: Available and required only when value of Service Type is Secure Lansing Pages and value of Access Type is Non-Review. From the dropdown menu, select the fee combination your firm will pay on behalf of an outside agent when the agent submits a license application via Vertafore online services through a secure partner referral page (or "landing page").
• Save: Click to save the information and display it in the Current Producer Access Preferences section.

Email Login Information to an Outside Agent

Use the Email Information section to notify an outside agent that he or she may use a special split billing or application review account profile for the purpose of applying for a license using Vertafore online services.

The Email Information section is available only if you have checkmarked to select a particular account profile and clicked the Email selected login to producer button in the Current Producer Access Preferences section.

• Email Address: Enter the email address of the outside agent you want to notify about the opportunity to apply for a license using Vertafore online services. Separate multiple email addresses with commas.
• Subject: Enter a new subject line for the email, or accept the default.
• Comment: Enter new body text for the email, or accept the default.
• Send Email: Click to send the email to the outside agent. The page will confirm the successful transmission of the email.
• Add New Producer Access Preference: Click to navigate to and clear the fields in the Add/Update Producer Access Preferences section.

To exit the Maintain Producer Access Preferences page, click the Administration link in the navigation bar or the breadcrumbs.

In AgencyEDGE, the Maintain Producer Access Preferences page is available only through Vertafore configuration. Please contact your Vertafore representative at 1-877-876-4430.

Each agent applying for a license using a split billing or application review account profile will use the same login name and password during the license application process.

"Subscriber review" of license applications submitted by outside agents must be configured by state and by subscriber representative. For more information, see Queue License Applications by State.

To establish a secure partner referral page (or "landing page") for outside agents to use Vertafore online services in cooperation with your company, contact your Vertafore representative.

If you are setting up an account profile for outside producers to access Vertafore online services through a secure landing page, do not enter values in the User Name and Password fields. Contact your Vertafore representative for assistance.

The From line on an email sent to an outside agent will contain the email address of the user identified in the Subscriber Representative field that was configured in the account profile chosen for the agent's use.
