Full Text Search

Full Text Search for ImageRight Desktop makes content within documents easily searchable. With Full Text Search implemented, you can search any keyword or phrase and receive results across documents (including images) that show every instance where the keyword is found.

Full Text Search can be used to search file notes, folder notes, annotations, and even text that appears in images. For example, you could search a claimant's name and every document containing the name will be returned. Searching in specific drawers is not supported at this time.

Below you can find the full list of file types supported by Full Text Search:

  • .ann (ImageRight annotations), .bmp, .csv, .dcx, .doc, .docx, .docm, .dot, .dotx, .emf, .eml, .gif, .htm, .html, .ico, .jpeg, .jpg, .log, .pdf, .png, .ppt, .pptx, .rtf, .tif, .tiff, .txt, .wmf, .xfml, .xls, .xlsx, .xml, .xps

Note that Full Text Search returns search results that contains text matching your keyword, so if you were to search 'test', you might get results that include 'tested', 'testing', and so on. Search results also only include documents that you have the access rights to view.

 

Full Text Search is an update from the existing Keyword Lookup functionality on ImageRight Desktop. System administrators should contact their Vertafore representative to receive help on updating to Full Text Search.

Initiating a Full Text Search

  1. To perform a search, open the ImageRight Desktop and click File in the top-left corner, then click Search on the drop-down menu.

  1. On the Search window, click the Look for drop-down menu and choose Page.
 

Page is the only file-tree level that is currently supported for use with Full Text Search. If Page is not selected, you may receive an error.

  1. In the Search keyword(s) field, enter the keyword or phrase that you want to search for (e.g., a client's name, SSN, specific policy information, etc.) and click Find Now.

  1. Once the search has finished, you can view the results at the bottom of the Search window. Results are automatically sorted based on a sophisticated search algorithm with the intent of providing the content that you most likely want to find. To sort search results according to your preferred criteria instead, click a column heading in the search results area (e.g., you can click File Name in the example image above to put search results in alphabetical order according to file name).
 

You are also not limited to the default columns in the search results area. If you would like to add or delete sorting options, right-click a search result and then click Customize Columns. On the Organize Columns window, you can choose which columns to display for search results via the Add/Delete Columns tab, and rearrange the order of the columns via the Sort Order tab.

Once the columns are in the desired order, you can right-click a search result again and click Save Column Layout to use the same layout for future searches. Alternatively, you can click Restore Default Columns if you would prefer to revert to the original order.

  1. Double-click a search result to open the content in the image viewer. To make it easy to find each match, the keyword is highlighted. In the example above, the search for "test" results in two highlighted matches on the page of a PDF. (For more information on the actions available in the image viewer, see Image Viewer Explained.)
  2. To perform another search, click Clear Search on the Search window and repeat the steps above.

Narrowing Search Scope

By default, Full Text Search returns results for keyword matches across all documents available to you. When you double-click a search result, the image viewer loads the content where the keyword was found.

You can easily narrow the scope of your search though. To do so:

  1. Follow the Full Text Search process outlined above as normal, but before actually performing the search, browse the File, Folder, and Document tabs on the Search window.

  1. On each of those tabs, there will be fields available to help narrow your search. In our example image above, you could enter information in the File type(s) and/or File number(s) fields that would limit the range of your search.
 

When the Search keyword(s) field on the Page tab has been filled, certain fields on the File, Folder, and Document tabs will be greyed out and made unavailable for the current search (e.g., the File name(s) field in our example image above). Even if information was entered prior to a search and was retained after the field has been greyed out, that information will not impact the search results.

  1. After you've entered the additional information in the available fields across all the tabs on the Search window, click Find Now to perform the search. The results returned to you should be narrowed according to the additional fields you used for the search.
