Add Appointment Profile

Use the Add Appointment Profile page to configure a set of pre-defined state, appointing company, and appointment type criteria that you can apply to frequently-requested appointment or termination transactions, saving manual data entry.

For example, if you frequently request Accident and Health appointments for three appointing companies in California, then you can create an appointment profile that will apply those criteria automatically whenever it is selected from the Appointment Profile dropdown menu on the Add Appointments page.

The Add Appointment Profile page uses a "wizard" process, whereupon you first identify the profile and select the appointment state to which it applies, and then select the appointing companies and appointment types that the profile will use.

To open the page, from Companies menu select Appointment Profile Maintenance menu, and then select Add Appointment Profile.

The Add Appointment Profile page contains the following sections:

ClosedAdd Appointment Profile

Identify the profile and select the appointment state to which it applies.

Fields and controls include the following:

  • Profile Name: Required. Enter a name for the appointment profile. The value will appear on the Appointment Profile dropdown menu on the Add Appointments page. Maximum 255 characters.

  • Profile State: Required. From the dropdown menu, select the name of the regulatory jurisdiction to which an appointment will be submitted or for which an appointment will be recorded through the use of the appointment profile. Once selected, value is displays-only.

  • Begin Date: Required. Enter the date on which the appointment profile was configured. Use the mmddyyyy date format. Or, click the Calendar button () to open a popup calendar from which you can click to select a date. Defaults to current date. Must be on or before the current date.

ClosedCompanies

Select one or multiple carrier group appointing companies to add to the appointment profile. List displaying is derived from Vertafore-configured company information, viewable on the Review/Update Company page. Click to checkmark the checkbox corresponding to a selected appointing company to add it to the appointment profile. Use of the appointment profile on the Add Appointments page will automatically include the configured appointing companies.

ClosedAppointment Types

Select one or multiple appointment types to add to the appointment profile. List displaying is derived from Vertafore-configured state appointment details (e.g., company authorized lines), viewable on the Review/Update Company page. Click to checkmark the checkbox corresponding to a selected appointment type to add it to the appointment profile. Use of the appointment profile on the Add Appointments page will automatically include the configured appointment types.

ClosedPage Controls

Fields and controls include the following:

  • Next: Click to open the second page of the wizard.

  • Save and Continue: Click to save the appointment profile to the system. The first page of the Add Appointment Profile wizard will open.  

  • Cancel: Click to open the Producer Manager Home page.

Notes

Note: The system will allow only a valid combination of appointment types, appointing companies, and state to be configured in an appointment profile.

Note: You may configure an appointment profile for any type of state: an appointment state that processes electronic appointment requests and tracks carrier appointments, a non-appoint, "record-only" state that does not track carrier appointments, or a state for which Vertafore offers appointment or termination outsourcing services (i.e., "paper" state).

Note: Do not confuse a user-configured appointment profile with a Vertafore-configured "enhanced appointment profile," or EAP. An EAP is used by PLM Producer Express to programmatically select valid combinations of appointing companies, appointment types, effective dates, and processing methods per state during an automated onboarding, maintenance transaction, or bulk processing workflow.
