Convert Existing Policies to Benefits Policies - by Line of Business
Use this feature to convert, by Line of Business (LOB), existing non-Benefits policies to policies that can be used inside the optional Benefits product.
An existing, or recently converted, AMS360 agency may have existing policies with non-Benefit LOBs. The Line of Business can be converted to a Benefit Line of Business.
Access to this feature is only available if you are assigned to the Benefits security group in Employee Setup > Security Group Assignment. |

Vertafore recommends that you run this process during a pre-determined maintenance period or during off-hours. This process affects policies and cannot run if any policies are currently in use.
To initiate the policy conversion process, do the following:

- Select the Line of Business from the list that will be converted.
- Parent Company defaults to (All) or you can select a specific Parent Company from the list.
- If a Parent Company is selected, you also have the option to narrow the conversion process to only those policies for a specific Writing Company. The default is (All).
- If desired, narrow the selection even further by choosing a specific Plan Type (Product Name). For a Plan Type to be available it must exist in Company Plan Setup and be attached to the selected company in Company Setup>Plan Assignments.
- When all "From" selections are made, click Create List. A list of all policies meeting the "From" criteria appearss with a check mark defaulting in the Select column on all grid rows. The check means that the policy is evaluated for conversion when you click Convert, and, if all conditions for conversion are met, the policy is converted to Benefits. If you know that certain policies in the grid should not be converted, click the Select box to clear the check for that policy row.
At this point you can abort the process, if desired.

- Select the appropriate Benefit Line of Business from the Convert to Line of Business list.
Only Benefit type LOBs appear in the list. This choice is for the LOB you are converting to. - Select a Convert to Plan Type (Product Name) to associate with the LOB, if desired.
For a Plan Type to be available it must exist in Company Plan Setup and be attached to the Parent Company (selected in the "From" portion of the form) in Company Setup > Plan Assignments. - Click Convert. A message appears. Click Yes to continue conversion or No to abort the process.
- After you click Convert, the pointer changes to an hourglass, indicating the process is running. The status bar in the lower left-hand corner of the form updates as records process.
- The utility evaluates all policies selected for conversion against the Criteria for Conversion, as explained below. Policies not meeting all conditions are not converted.
- When processing is complete, the View Conversion History form appears. Review the Status/Exception column for any results other than Processed Successfully. See the Status/Exception Messages section below for more information.
- After closing the View Conversion History form you return to the Convert Existing Policies to Benefits - By Line of Business form. Click Clear to clear all fields of the form in preparation to enter the next line of business to be converted or close the form to exit the process.

More than one LOB existed on the policy | More than one Line of Business (LOB) existed on the policy at some point, therefore the policy could not be converted using the 'by LOB' process. Use the Convert to Benefits by Individual Policy feature to convert such policies. |
Submission, multi-entity or subscription policy | Policy could not be converted because it is a submission, multi-entity and/or subscription policy. Such policies are ineligible for conversion. Create a New policy selecting Benefits as the Type of Business. Terminate the existing policy according to your agency's rules for flagging duplicate policies that are no longer needed. |
Cannot delete LOB with Tran Premium row | Designated line of business, marked for deletion, could not be deleted because it has a corresponding transaction premium item. |
Policy billing item has different Income Group | Policy could not be converted because it contains a billing item that uses a line of business (LOB) from a different Income Group (Property/Casualty, Financial Services or Life & Health) than the 'Convert to' LOB. |
Cannot convert policy due to error on other detail row | Policy could not convert because one or more of the lines of business failed an edit. All lines of business on a policy must be converted or deleted at the same time. Use the Convert to Benefits by Individual Policy feature to convert such policies. |
Policy premium row has different LOB | The Line of Business (LOB) selected in the Transaction/Billings section of the policy cannot be different than an LOB selected in the Line of Business section of the policy. Open the policy and change the Line of Business section to reflect only LOB's used in the Transaction Premiums/Billing section. |
