Billable Transaction Activity

Use the Billable Transaction Activity service to track the volume of license applications or renewals, address changes, affiliation management, or billable producer information lookups submitted by your entire organization or a single staff member during a specific period of time.

Use the following steps:

Getting Started

  1. In the AgencyEDGE navigation bar, click the Administration link. The Administration page will open.
  2. In the Transaction Activity Inquiries group, click the Billable Transaction Activity link. The Billable Transaction Activity page will open.

Enter Search Criteria

  1. Required. In the From Date field, enter the beginning date in a range of dates during which you wish to search for fee-based transaction or producer status lookup requests. Use the mmddyyyy date format. Or, click the popup calendar () to click to enter a date.
  2. Required. In the To Date field, enter the terminal date in a range of dates during which you wish to search for fee-based transaction or producer status lookup requests. Use the mmddyyyy date format. Or, click the popup calendar () to click to enter a date.
  3. If desired, you may narrow the inquiry to include only requests that include certain filter criteria. Select filter criteria from the following optional dropdown menu fields:
    • State: State to which a transaction or billable producer status lookup request was submitted
    • Activity Type: Type of transaction or billable status lookup
    • Company: Carrier group appointing company or service organization
    • Subscriber Rep/User ID: A specific staff member who submitted a transaction or billable producer status lookup request
  1. From the Sort dropdown menu, select a method for grouping results and sorting results within each group. Choose one of the following methods:
    • Group by activity type, and then sort by state name, producer name, and then by appointing company name
    • Group by activity type, and then sort by state name, appointing company name, and then by producer name
  1. Click the Submit button. The system will generate the results of the inquiry. If the system could not generate results based on the entered criteria, the following message will display: "There is no matching data."

View Results

The results display inline based on the search criteria you entered. Results are grouped by Activity and sorted in ascending order by date on which the activities were performed.

  1. Review the results of your inquiry. Results may include values in the following fields:
    • Submit Date: Date on which request was submitted for processing
    • Status: Current processing status, including Awaiting NIPR Validation, Error, Processed, or Pending State Review
    • State: State to which request was submitted
    • Company: Appointing company in your carrier group
    • Producer: Individual or firm producer name
    • EIN/SSN: SSN in masked format: xxx-xx-1234
    • NPN: National Producer Number
    • Action: Submitted transaction or billable lookup type
    • Inquiry Type: Billable producer status lookup description
    • License Type: License type description
    • Lines: License lines of authority description
  1. If desired, to print the inquiry result pages, click the Print button () or press Ctrl + P on your computer keyboard. Choose landscape printing orientation.
  2. Click the Revise Inquiry button to return to the Billable Transaction Activity search criteria page, where you can update selection criteria and resubmit the lookup.
  3. When you are finished, click the Administration link in the navigation bar or the breadcrumbs to exit.

You may not enter a date range that exceeds 60 days.

Billable producer information lookups include the following: Lookup Producer Status and PDB Reports.

We recommend using the Billable Transaction Activity service only to track fee-based activities in AgencyEDGE between billing cycles. The Download Billing File service automatically generates a much more detailed file at the end of each monthly billing cycle, which includes actual cost information and is formatted as a spreadsheet for easier analysis and data manipulation.
