Manage Responses/Actions

This feature allows you to record responses for participants in campaigns. You can also reprint documents or move participants to another step in a campaign.

You must have proper security authorization to access Manage Responses/Actions.

    ClosedAccessing Manage Responses/Actions

Access Manage Responses from the Sales Center in one of the following ways:

    ClosedAdding a Response

Do one of the following from the Sales Center to add a response to a participant in a campaign:

Option 1:

  1. From the Campaign tab click the title of the campaign for which you want to enter a response. The Campaign data entry form appears.

  2. Click the Participants Includedsection to expand it.

  3. In the grid, select the participant for whom you want to add a response. Click Manage Responses/Actions. The Manage Responses/Actions form appears.

  4. Click the New Response link. The Campaign Response data entry form (a modified version of the Activity data entry form) appears.

  5. Select an Action, validate the Date and Time, and enter a Description. Then, attach any Attachments, if applicable.

  6. When you have finished entering the response click the Save & Close icon on the toolbar or from the menu click File > Save & Close.

Option 2:

  1. From the menu select Actions > Manage Responses/Actions. The Manage Responses/Actions form appears.

  2. Click the Search for another Participant link. The Customer Search form appears.

  3. Find the participant for whom you want to enter a response, choose them from the grid, and click Select. The Manage Responses/Actions form appears with the customer name displayed in the Participant Name field. The Edit link takes you to the Customer Setup form.

If the customer is not part of a campaign, the name will not appear in the Participant Name field.

  1. Select the desired policy, if applicable. This list fills with all policies participating in the campaign for the selected participant. The Edit link takes you to the Policy form for the selected policy.

If there are no policies for this participant, participating in the campaign, then this field is unavailable.

  1. If the participant is a member of more than one campaign, from the Campaign Title list choose the one for which you are entering a response. If the participant is a member of only one campaign, it pre-fills to the Campaign Title field.

  2. Click the New Response link. The Campaign Response data entry form (a modified version of the Activity data entry form) appears.

  3. Select an Action, validate the Date and Time, and enter a Description. Then, attach any Attachments, if applicable.

  4. When you have finished entering the response click the Save & Close icon on the toolbar or from the menu click File > Save & Close.

    ClosedViewing a Response

Do one of the following to view a response added for a participant in a campaign:

Option 1:

  1. From the Campaign tab in the Sales Center, click the title of the campaign to open it. The Campaign data entry form appears.

  2. Click the Participants Includedsection to expand it.

  3. In the grid, select the participant for whom you want to view a response, and then click Manage Responses/Actions. The Manage Responses/Actions form appears.

  4. Click the View Response link. The View Responses selection form (a modified version of the View Activity form) appears.

  5. Use theRefine List Options, to narrow the Activity Responselist and find the response you are looking for.

  6. Click the Date link of the response you want to view. The View Activity form appears so you can view the selected response and any attachments, if applicable.

  7. When you have finished viewing the responses, close the forms.

Option 2:

  1. From the Actions menu in the Sales Center select Manage Responses/Actions. The Manage Responses/Actions form appears.

  2. Click the Search for another Participant link. The Customer Search form appears.

  3. Find the participant for whom you want to enter a response, choose them from the grid, and click Select. The Manage Responses/Actions form appears with the customer name displayed in the Participant Name field. The Edit link takes you to the Customer Setup form.

If the customer is not part of a campaign, the name does not appear in the Participant Name field.

  1. Select the desired policy, if applicable. This list fills with all policies participating in the campaign for the selected participant. The Edit link takes you to the Policy form for the selected policy.

  3. Use the Refine List Options, to narrow the Activity Response list and find the response you are looking for.

  4. Click the Date link of the response you want to view. The View Activity form appears so you can view the selected response and any attachments, if applicable.

  5. When you have finished viewing the responses, close the forms.

What is this?

Search for another Participant

Click this link to open the Customer Search form. Use this when you open Manage Responses from the Actions menu. Or to enter a response from another participant without closing the form.

Participant Name

View Only. The name of the participant you selected from the participants grid in the campaign form or the participant you selected using Search for Participantabove.

(Participant Name)
Edit

Click to open the Customer data entry form for the customer displayed in the Participant Name field.

New Response

Click to open a modified Activity data entry form so you can enter a response from this participant.

View Response

Click to open the View Responses form, which is a modified View Activity form where you can review responses previously entered for the selected participant.

Policy

The policy number associated with the participant and this campaign.

(Policy)
Edit

Click to open the Policy data entry form where you can view policy information or make changes to the policy.

Campaign Title

The name of the campaign that the participant is a member of. If you opened the campaign from the campaign tab in the Sales Center, this information pre-fills for you.

Open Campaign

Click to open the Campaign data entry form where you can view campaign information.

Current Action

What is this?

Step Description

View Only. The step description where the participant is in the campaign. This is the description entered for the action when the campaign was created.

The Print Documents or View Print Documents link. Available when the campaign action is one of the following:

  • Letters Only

  • Labels Only

  • Letters and Labels

If the documents have not been printed, you can print them using this link. If they have been printed, but Process Campaigns has not been run to move the participant to the next step you can use this link to reprint the document.

Use View Responses to see the document after it has been printed and the participant has moved to the next step.

Occurred On

View Only. The date the listed action occurred.

Participants are moved from one action to the next when the current action has been completed and Daily Process is run with Process Campaigns checked. Participants can also be moved from one action to the next manually.

Person Responsible

View Only. The person assigned to the action listed.

Ready for Next Action

The status of this field is determined by the entries made in the Initiate Next Action group when the campaign action was added. One of the following three scenarios apply:

  • When the Initiate Next Action is set to occur Automatically in a set number of days and a response to the action is not required, then the Ready for Next Action checkbox is hidden.

  • When the Initiate Next Action is set to occur Automatically in a set number of days and a response to the action is required, then the Ready for Next Action checkbox appears grayed/disabled until a response is entered for the action. At that time the checkbox becomes enabled and automatically checked.

  • When the Initiate Next Action is set to Manual the checkbox is enabled and unchecked.

When the checkbox is enabled you can check it to move the participant to the next step when Process Campaignsis run the next time. To prevent the participant from moving to the next step, remove the check from the checkbox.

Next Action

Group/Field

What is this?

Next Step Description

The description for the next action or step for the participant.

The description was entered for the action when the campaign was created.

Occurs On

The date the action is scheduled to occur. You can choose another date.

Person Responsible

View Only. The person assigned to the action listed.

You can change the Person Responsible before Process Campaigns is run that moves participants to this step of the campaign. Edit the step from the Campaigns data entry form.
