Additional Interests

Use this page to record information about an additional or other interest (AOI) specified on the policy, such as loss payee, mortgagee, leasing company, or certificate holder.

Information you enter here flows to ACORD forms, such as Applications, Binders, Certificates, Change Requests, EPIs, Loss Notices, and Schedules of Insurance. You must complete a separate Additional Interests page for each AOI specified on the policy.

Quick Entry Fields section

Your agency has the capability of personalizing this page to display the most frequently used fields in a section at the top of the page for completion.

Prerequisites

The client and policy must already be entered in Sagitta.

During Personalization, your agency sets up an Additional Interest File that includes the names, codes, addresses, contact names, phone and fax numbers of frequently used AOIs.

When you click the Search icon at the AOI code field, you can select an AOI from the codes stored in the Additional Interest File. When you select a code, the information associated with that code automatically pre-fills to the appropriate fields on the Additional/Other Interests page.  

How to access this page

  1. Look up and load the client.
  2. From the Client Details page, click the Policies tab to open the Policies Grid.
  3. Double-click the appropriate policy.
  4. Select Additional Interests (AOI) from the Navigation Panel. The Additional Interests page appears.

If you see the message "You cannot add records while in display mode," select Click Here to Maintain a Transaction or Click Here to Create an Endorsement and complete the subsequent dialog box.

Create a new AOI for this policy; then click Yes to the confirmation message.

Copy Access Client Additional Interest Selection to select a Client Additional Interest.

Date Off

Date off one or more Additional Interest records in the grid. You must highlight any record before you date it off. If there is more than one block of records, you must bring up each block and highlight the records to be dated off. A prompt asks you to confirm that you want to date off the records.

Activate

Activate one or more Additional Interest records previously dated off. You must highlight any record before you activate it. If there is more than one block of records, you must bring up each block and highlight the records to be activated.

Renumber

Opens the Renumber Page allowing you to "close the gap" and sequentially or manually number AOI's on the policy.

This option appears only if you have Personalized your system by selecting Yes to the Allow Renumber Options? on the Policy Flags Personalization page.

Mail Address, City, State and ZIP

Valid addresses will be displayed in a drop-down menu when the first two characters are typed into the Address field. Continue typing until the desired address appears. Select this address to pre-fill the Address, City, State and ZIP Code fields. A comma is used for delineating between Address #1 and Address #2. Address #2 does not typically populate from Melissa Data, but it can be added manually. For additional information, see the Address Validation page.

Fax Number

If you want to distribute certificates to a Policy-level AOI via fax, you must enter the fax number of the Policy-level AOI in this field.

Email Address

If you want to distribute certificates to Policy-level AOI(s) via email, you must enter the email address for each Policy-level AOI in this field. The field is a free form field.  If you have more than one email address to put in, click Enter to type in the next email address, or put a space between each one.

When entering multiple email addresses, you should not enter semi-colons between each one.

Once you have entered all the email addresses, click Tab. This field can be exported and imported via Client Schedules.

A copy of the form will be emailed to each email address in the field, but only one copy will be stored on the ASD Server.

Preferred Distribution Option

Use the Preferred Distribution option to assign a method for distributing Certificate/EPI(s) for the Policy-level Additional Other Interests.

SRC (Source) field

This field indicates the source of the Additional/Other Interests information. If it appears in the Audit section of this page, beside the Time field, and it displays CLT (Client), the Additional/Other Interests record was created by copying a "client-level" record.

If the field does not appear, the Additional/Other Interests information was entered manually by a staff member.

CERT No. Cancellation Days field (optional)

The number you enter in this two-digit field pre-fills to the Number of Cancellation Days field on the Certificate of Insurance if an AOI is attached to the certificate.

A Lookup option for this field lets you search for any agency-specific codes your agency might have created.

Your System Administrator adds these entries to a new file, CANCEL.NO. DAYS, on the Generic Code Maintenance Page.  

From this dialog, your System Administrator can add a specific number of cancellation days, along with a text description, for selection. The entries added might be made in accordance with state statutes, company policy, and the like.

These entries are not verified against the codes created, so you need not enter codes in Generic Code Maintenance before you can add it to the field.

When you load software, the Add button on the CANCEL.NO.DAYS lookup is disabled. You can make this button available by accessing Lookup Add Maintenance from the Other Transaction Maintenance Page.

If the number of cancellation days pre-fills to the Cancellation section of the form from the No. of Cancellation Days field, and you change it manually on the Certificate Preview page, the Certificate of Insurance form is printed with the number of days you changed to. However, the number of cancellation days entered in the No. Cancellation Days field on the Additional/Other Interests page appears on any certificates you print later.

Your System Administrator can click Lookup at this field to add the number of days from the Lookup dialog box.

EPI No. of Cancellation Days

The EPI No. of Cancellation Days field determines how many days before cancellation that the additional interest will be notified prior to the termination of the policy.

There is a Lookup for the EPI No. of Cancellation Days field. Entries in the Lookup field are not verified against codes created in Generic Code Maintenance.

Display of and access to the EPI No. of Cancellation Days fields is determined on the Role Based Security Maintenance Page.

If a user with Full Access is creating an EPI form for selected AOIs/Holders that do not have a number in the No. of Cancellation Days field, the user should enter the “No. of Cancellation Days” in the field that is located on the Template preview page. If there is a number entered on an AOI/Holder and the user does not have “Full Access”, the field AOI/Holder will be used on the form.

Cancellation Amendment field (optional)

This field may or may not appear on the page, depending on the selection made for the Canc Amend (Cancellation Amendment) AOI option in the Policy Level section of the Role Based Security Maintenance Page, and the role assigned to you.

The role assigned to you must have Full Access to this option, as assigned on the Role-Based Security page. Otherwise, the option is 'protected' so that you cannot change it, or not displayed at all.

The selection that you make determines whether there is Cancellation text on the certificate when it is issued for the specific AOI, and cannot be overridden.

No. Days for Non-Payment

The No. Days for Non-Payment field determines how many days before cancellation that the additional interest will be notified prior to the termination of the policy. If you enter a number in this field, the number entered in the field pre-fills to the certificate.

Display of and access to No. Days for Non-Payment field is determined on the Role Based Security Maintenance page.

The No. Days for Non-Payment field has a Lookup for agency-specific codes created in Generic Code Maintenance. These codes can be based on state statute, company standards, and the like, and entered, with a text description. The entries made in this field are not verified against the codes created, so you need not have made entries in this file to enter it on the field.

ACORD Line(s) of Business for eForms

Enter an ACORD Line of Business code in the multi-text box to display the AOI on the Vertafore eForm.

For monoline policies,

  • If no LOB is entered in the box, the AOI will prefill to the ACORD form as this is the default and the monoline takes the LOB from the policy.

  • If the LOB is entered in the box, the AOI will prefill to the ACORD form

  • If NONE is entered in the box, the AOI will not prefill to the ACORD form

For package policies,

  • If no LOB is entered in the box, the AOI will not prefill to the ACORD form

  • If a LOB is entered in the box, it will prefill only to the appropriate ACORD form. i.e. INMRC will prefill the AOI to ACORD 152 but not the ACORD 127

  • If NONE is entered, the AOI will not prefill to the ACORD form

Prefill 125/88?

Page Sections

The first section of this page provides information about the client and policy. You cannot add or change information in the first section.

You can use the Date Off field to make an existing AOI record inactive.

Associated Locations

Complete the Location and Building# fields.

A Search function for the Building# field appears in this section allowing you to find buildings attached to a specific location.

Associated Supplemental Names Section

Use this field to add a Supplemental name and link to the holder AOI here. You can use the Lookup to select from previously created Supplemental Names, or you can enter names manually. The Supplemental Name field is the only entry field in this section; other fields displayed are based on Supplemental Name selection

The selections made for Use Selected AOI/Holder Supplemental Name Links? on the Certificate of Insurance\Evidence of Property Personalization Page and Use Supplemental Names Links? on the ACORD Certificate Policy Selections Page -- Policies Tab determine whether Supplemental Names are used when you create certificates.

All other sections, Associated Vehicles, Associated Schedule Items, and Condo Owners Information are grid sections. Complete the sections as applicable.

If applicable, also complete the Description of Operations and Group Code fields.

In the Description of Operations field, you can display and select multiple descriptions at a time in the Lookup section. You can enter up to 108 characters.  

With the ability to select multiple codes, the actual code will no longer display in the Certificate of Description code field. Upon manual entry to selection of codes from the lookup, the description will pre-fill and the code field remains blank. “Dated off” codes are not displayed and cannot be selected. If the code is entered manually, the following message appears:

"(1903) This record was dated off mm/dd/yyyy and can’t be used."

Attachments

You can attach a PDF (Portable Document Format) file to an Additional/Other Interest (AOI). When you issue a certificate for the AOI, file is attached when a certificate is issued for this AOI.

Click Search in the Attachments field on the Additional Interests page. Select the desired attachment(s).

leave Maintenance (Edit) mode and return to View mode, re-displaying the Policy options. This option appears when you are maintaining a transaction, and appears on this page and all other Policy pages (e.g., Locations, Drivers, etc.)

When you select this option, the message "Do you want to save changes?" appears. Select:

  • Yes to save the changes.

  • No to exit without saving the changes, and to return to the Policy Detail page, which displays the Policy options at the top of the page.

If you click Cancel after selecting Audit, Cancel, Endorse, Maintain, Non-renew, or Reinstate, you return to the Policy Detail page, with the Policy options at the top of the page.

If you click Cancel after selecting Remarket, Renew, or Rewrite, you return to the Client Details page, which displays all policies.

This option does not appear on any client-level pages or in the Invoicing module. It does appear on the Payment Plan/Premium Trans page.
