Renew an Individual License

Use the Renew an Individual License service to submit a license renewal or reinstatement for an individual producer in states that accept electronic renewals and reinstatements.

The process involves the following steps:

Getting Started

  1. In the AgencyEDGE navigation bar, click the Transactions link. The Transaction List will open in the Home page.
  2. In the State Licensing Services group, click the Renew a License link.
  3. In the Is this renewal for an Individual or Firm? field, click the Individual link.

Select License Renewal Type and State(s)

You can search for a license that is available for renewal or reinstatement in a particular state, or you can let the system find any that are available for renewal or reinstatement in all states in which an individual producer is licensed.

  1. If you are renewing a license of any type other than adjuster, in the Are you renewing an adjuster license? field, click to select the No radio button, and then proceed to step 3

OR

ONLY if you are renewing an adjuster license, in the Are you renewing an adjuster license? field, click to select the Yes radio button, and then proceed to step 2.

  1. If you are renewing an adjuster license for a producer whose actual residence state does not offer adjuster licenses, and the producer has designated a non-residence state as his or her "home state" for licensing purposes, in the Do you have a designated home state? (Adjusters only) field, click to select the Yes radio button

OR

If you are renewing an adjuster license for a producer whose actual residence state offers adjuster licenses, in the Do you have a designated home state? (Adjusters only) field, click to select the No radio button

  1. To renew a license in a particular state, from the Renewal State dropdown menu, select the name of the state

OR

To allow the system to detect any license that is available for renewal in all states in which the producer is licensed, from the Renewal State dropdown menu, select All Available States.

The page will update to offer additional fields.

Search for Licenses to Renew

Enter basic identifying information about the individual producer for whom you wish to submit a license renewal or reinstatement in the selected state(s), so that the system can confirm the producer's existing license information prior to requesting license renewals.

  1. In the SSN field, enter the producer's Social Security Number.
  2. In the Last Name field, enter the producer's last name.
  3. If you are renewing an adjuster license, proceed to step 5

OR

From the Resident State dropdown menu, select the name of the producer'sresident license state.

  1. In the Resident License Number field, enter the license number from the producer's resident license state, and then proceed to step 7.
  2. From the Designated Home State dropdown menu, select the name of the producer's "home state."
  3. In the DHS License Number field, enter the license number of the producer's "home state" license.
  4. Click the Continue button. The system will search for license renewals based on the information you entered. When it is finished, it will display a list of licenses and qualifications (license lines or LOA) available to renew, sorted alphabetically by state name.

Select Licenses to Renew

After the system retrieves information about licenses that are available to renew or reinstate for the selected producer in a selected state, you can review the information and choose whether or not to proceed with renewal or reinstatement.

Also -- as a convenience -- the system may offer the opportunity to renew a license in another state that is available for renewal. You may decline the opportunity, if desired, and proceed with renewing the license only in the selected state.

  1. In each License Renewals for [StateName] section, carefully review details of the licenses that are available to renew, making special note of any blue instructional text related to state renewal regulations.

Note that if a license is available for reinstatement, the section heading is License Reinstatement for [StateName].

  1. By default the Renew checkbox corresponding to the license in the state you selected for renewal is checkmarked. The Renew checkbox corresponding to a license in another state that the system has offered for renewal is not checkmarked. Use the following steps:
    • To select a license for renewal, click to checkmark its corresponding Renew checkbox.
    • To unselect a license for renewal, click to uncheckmark its corresponding Renew checkbox. Be aware, however, that in most states you cannot renew a license's related qualification(s) without also renewing the supporting license. Therefore if you are choosing not to renew a license, you also must choose not to renew its related qualifications.

Note that for a license reinstatement, the checkbox is labeled Reinstate.

  1. In many states, qualifications (license lines or LOA) renew automatically with the license. However, in states requiring separate renewal of one or more qualifications, by default the Renew checkbox corresponding to a qualification in the state you selected for renewal is checkmarked. The Renew checkbox corresponding to a qualification in another state that the system has offered for renewal is not checkmarked. Use the following steps:
    • To select a qualification for renewal, click to checkmark its corresponding Renew checkbox.
    • To unselect a qualification for renewal, click to uncheckmark its corresponding Renew checkbox. Be aware, however, that in most states if you are renewing the supporting license you are required to renew at least one of the related qualifications.

Note that for a license reinstatement, the checkbox is labeled Reinstate.

  1. From the Cost Center dropdown menu related to a license, select a cost center to which to assign its renewal fees.
  2. Vertically scroll down the page to the Address Verification section, and review the address information that the system retrieved from the producer's resident state. If the address information is incorrect, discontinue the renewal process for any license marked with an asterisk (*). Update the address information with the producer's residence state department of insurance, and then return to the license renewal service in 5 to 7 days.
  3. When you are finished, click the Continue button to proceed.

Preview License Renewal Fees

In the License Fee Summary section, you can preview summary fee details of the license renewal transaction. Note that the fee totals at this point are preliminary, contingent upon answers to background questions -- some states assess higher fees based on certain background question answers.

  1. Review the fee totals for the selected state license renewal(s), including fees for renewing qualification(s), where applicable.
  2. If you are satisfied, vertically scroll down the page or click the Continue button to proceed.

Update Demographic Information

In the Demographics for the Uniform Application section, you may update required contact information where necessary for certain states.

  1. Enter information in all required fields, including Home Phone, Business Phone, and Business Email Address.
  2. In the Demographics for [StateName] section, review the contact information currently registered with each state.
  3. Enter updated information in the edit fields, if necessary.
  4. When you are finished, vertically scroll down the page or click Continue to proceed.

Answer Background Questions

In the Uniform Individual Renewal Background Questions or state-specific Questions or Warnings sections contain either uniform or state-specific questions, you are required to answer all of the uniform and/or state-specific background questions pertaining to the producer's personal and professional background and ethical conduct.

Use the following guidelines:

  1. Click to select either the Yes or No radio button to respond to each question. Depending on your response to a background question, a free text field may become enabled, allowing you enter an explanation or other related information..
  2. The NAIC/NIPR Attachments Warehouse question is available only depending on your answer to a uniform background questions requiring you to submit documentation in support of your license renewal to certain states. (For more information, see Upload Documentation to the NIPR Document Warehouse.)

If you need to submit additional documentation to support answers to background questions, you may either submit the documentation as an electronic attachment to your license renewal or mail or fax the documentation to the state department of insurance.

Click to select the Yes radio button if you intend to upload or have already uploaded supporting documentation to the NAIC/NIPR Attachments Warehouse, or click to select the No radio button if you will send supporting documentation separately.

  1. If you answered Yes to the NAIC/NIPR Attachments Warehouse question, and you have already uploaded documentation to the NAIC/NIPR Attachments Warehouse, you can associate your license renewal to the existing supporting documentation rather than upload new documentation.

If you wish to link your license renewal to previously filed documents, click to select the Yes radio button, or click to select the No radio button if you will be uploading new supporting documentation.

  1. When you are finished, vertically scroll down the page or click the Continue button to proceed.

Attest to the License Renewal

In the Attestation for the Uniform Application for [StateName(s)] section or Attestation for [StateName] sections, you must swear that the information you are submitting with the license renewal(s) is complete, truthful, and accurate. You must do so for states that use a uniform renewal form as well as for states that have state-specific requirements.

  1. Read the attestation carefully.
  2. Required. When you are finished, if you submit to the terms of the attestation, click to checkmark the Agree checkbox.
  3. Click the Continue button to proceed.

Enter Submitter Information

Only if you are submitting the license renewal(s) on behalf of a producer, you must provide information about the submitting staff member -- in many cases, yourself! Much of the information is obtained from information contained in the staff member's user account in Compliance ExpressAgencyEDGE. (For more information, see Edit My User Profile.)

  1. In the Submitter Information section, click to select the Authorized Submitter radio button if you are applying for this license on behalf of a producer. Or, click to select the Producer radio button if you are applying for this license renewal on your own behalf; the fields in this section will become unavailable, and you may proceed to the next step in the process.
  2. Required. In the Submitter First Name field, enter the submitter's first name.
  3. Required. In the Submitter Last Name field, enter the submitter's last name.
  4. Required. In the Submitter Firm Name field, enter the name of the submitter's company.
  5. Required. In the Submitter Phone field, enter the submitter's telephone number, including area code.
  6. In the Ext. field, enter the submitter's telephone extension.
  7. Required. In the Submitter Firm Address field, enter the first and second lines of the submitter's company's address.
  8. Required. In the Submitter City field, enter the city of the submitter's company's address.
  9. Required. From the Submitter State dropdown menu, select the state of the submitter's company's address.
  10. Required. In the Submitter Zip field, enter the postal or ZIP code of the submitter's company's address.
  11. Click the Continue button to proceed.

Submit the License Renewal

Review the summary details of the license renewal transaction in the License Fee Summary section.

  1. Review the fee summary information carefully for each license renewal you are submitting.
  2. If you need to return to update any information you entered earlier, or if you change your mind about renewing a particular license, click the Revise button at the bottom of the page. The system will re-open the license renewal data entry sections.
  3. Review the Total State Fee and Sircon Fee information at the bottom of the page.
  4. Click to checkmark the I understand that all license renewal fees are non-refundable checkbox at the bottom of the page.
  5. Click the Process button to proceed.
  6. The system will submit the renewal transaction to the selected state(s) for processing.

Complete the Process

Review the confirmation and receipt information for your license renewal transaction and perform follow-up tasks on the License Renewal Confirmation page.

  1. Review the confirmation details of each license renewal you have submitted. Note especially the values of the Confirm. ID field, which contains a tracking number for the license renewal, and the Messages field, which contains an initial status of the license renewal transaction.
  2. If desired, click the Print link at the top of the page to open a printable view of the License Renewal Confirmation page.
  3. If you need to send supporting documentation to the state department of insurance, choose one of the following:
    • Click the Attach Documents link at the top of the page to open a separate window with instructions on attaching electronic files to your license renewal and transmitting them at no charge to certain states. (For more information, see Attach Supporting Documents to Sircon States.)
    • If the Attach Documents link is not available, click the Click here to view additional state requirements link below the Fee Summary section to access the NAIC/NIPR Document Warehouse, where you may attach electronic files to your license renewal and transmit them for a fee to other states. (For more information, see Upload Documentation to the NIPR Document Warehouse.)
    • If you do not wish to transmit supporting documentation electronically, review the Additional State Requirements section of the page for information on where to mail or fax supporting background question documentation to the state department of insurance.
  1. Vertically scroll down the page to the Additional State Requirements section and review the state-specific details for each state to which you have submitted a license renewal.

Frequently this section contains important information about following up on continuing education requirements and background question documentation that is necessary to complete the license renewal process in each state. Prompt action usually is required.

  1. Click the View License Renewal Result Details link to open the License Renewal Result Details page to review additional information about the license renewal transaction. (For more information about the License Renewal Result Details page, see License Application/Renewal Status Inquiry.)
  2. When you are finished, click the Done button. The Transactions List page will open.

To renew a license in a state that does not accept electronic renewals, contact the state's insurance department office. Click the State Information link at the bottom of the page to find state contact information.

To submit supporting documentation for background questions to states where the electronic document attachment service is not available, or if you do not wish to use the service, you may mail, fax, or email supporting documentation to a state insurance department. Click the State Information link at the bottom of the page to find state contact information.

If a license is not available for renewal in a state that you have selected, the license will not be available to renew but the system may offer the opportunity to renew a license in a different state. If you decline the opportunity to renew in one of the listed states by clicking the Continue button, the system may display the following error message: "At least one license must be selected for renewal to continue." If you do not wish to proceed, click the Cancel button to abort the process and return to the Transaction List.

A license reinstatement is available in certain states to an agent or agency whose license has lapsed for failure to renew or non-compliance with CE requirements. An eligible license can be reinstated in AgencyEDGE anytime during the allowable reinstatement period, typically up to 365 days after the license expiration date. A license that has been reinstated will always show a break in licensure. During the reinstatement period, a licensee is not allowed to submit a new license application for that license type in AgencyEDGE. A message will be displayed indicating that the user must use the license renewal service to reinstate the license. However, once the license reinstatement period has expired, a license no longer can be reinstated using the license renewal service on AgencyEDGE. To reactivate a license after the reinstatement period has expired, the licensee must re-apply for the license using the license application service. The license is considered a new license, and the licensee must satisfy all of the licensing requirements of a first-time licensee.

If you are renewing a license in certain states, you may click the View and maintain individual associations in [StateName] link to view, maintain, or delete registered individual agent affiliations with the selected agency in the selected state. When you are finished, click the Manage Affiliations page to return to the Renew an Individual License workflow. (For more information, see Manage Affiliations.)

If a license renewal already has been submitted, a message will appear informing you of this circumstance. You then are given the option to submit a duplicate renewal by checkmarking the Resubmit checkbox for each license you wish to renew.

Background questions may vary from state to state. However, in states that are using the NAIC uniform renewal form, you need answer only one set of questions to satisfy the question requirements for all such states.

The Submitter Information section appears only if you are renewing a license in states using the uniform license renewal form.

Designating a cost center may be required by your company’s business rules. For more information, see Manage Agency Cost Centers.

To print a paper copy of your license, click the Print License button, available only for states in which the service is available. For other states, click the Why can't I print a license? link to display information on obtaining a paper license copy. For more information, see Print a License.

When you use the license renewal service you may review the producer's address information as recorded with the producer's resident license state. If you must update the address information, stop the renewal process, and use the Individual Address Change service to submit updated contact information to any or all of the producer's license states. Allow 5 to 7 business days for the address change request to accepted before reusing the license renewal service.

If you are renewing a Virginia resident or non-resident license, use the Pay a Virginia Continuance Fee service.

The system offers renewal services for certain non-resident license types in certain states where the producer's not required to hold an active resident state license. To investigate these renewal options, click the Don't have a resident license? Search for a specific license link on the first page of the service.

In many states, related qualification(s) will renew with the license automatically. Be aware, however, that in some states if you are renewing the supporting license you must choose to renew at least one of the related qualifications. Therefore, be sure to click to checkmark the related Qualifications checkboxes you wish to renew as well as the License checkbox.
