Distribution Group

The Distribution Group form is where you can add pre-defined groups to the distribution list. From this form you can also setup new distribution groups by clicking the Distribution Group Setup icon on the toolbar. There are two ways you can add a group to the list.

ClosedAccessing Distribution Group

The Distribution Group form is accessed from the Scheduled Reports form:

  1. Click NeworEdit, from the Scheduled Reports section heading.

  2. Scroll to the bottom of the form to display the Electronic Distribution List section.

  3. Click Select Distribution Group. The Distribution Group form appears.

ClosedSecurity Access to Distribution Group

Access to the grid on the Distribution Group form is filtered based on the logged in user’s security access granted in the Distribution Group Setup form.

When you first install AMS 360(v2.0) the default security access is set to Full Access for those users in the Owner security group. All other security groups, including agency-defined groups, are set to No Access. You can change these settings. For more information see Security Group Setup.

Level

What is this?

Full Access

This security will behave like the Color Setup Agency option.  If Full Access is given, users will be able to Create/Edit Agency Distribution Groups, and their own User defined Distribution Groups.

User View Only

Users with this Security will be able to View/Create/Edit only their own Distribution Groups, and View Only any Agency defined Distribution Groups.

If a user who has this security is trying to delete an agency level group, the following message displays:

"You have "User View Only" access to the agency level distribution groups.  Delete is not allowed."

No Access

The icon and the menu item will be hidden on the Scheduled Reports and Recipient List forms.

Use to close all sections of the data entry form at once.

Explorer

Use to open the Section Explorer in a frame to the left of the data entry form. Exploreris a similar format to Windows Explorer, and can be used to quickly move between sections.

Switch Explorer/Winform

Once the Explorer is open, Switch Explorer/Winform changes the focus of your cursor from the explorer to the form and vise/versa.

Keyboarding:

This feature enhances keyboarding. If your current focus is in the form and you want to switch sections, you can Alt +S and X to open the Explorer, arrow to the section you want to open and Alt +S and S which returns focus to the form and opens the desired section.

You must check a box to make the change to the Distribution List.

Name

Name of the Scheduled Report. Displayed as links which will open the report in Distribution Group Setup edit mode.

Group Level

Displays the corresponding group as Agency or User level.

Add as a group

  • Default selection.

  • The group is added as one record to the distribution list.  Any future update to the group will update the schedule report which it is attached to.

  • The Group Name will display in the Name column of the grid found in the Electronic Distribution List section of Scheduled Reports.

Add as individual

Choosing this option adds each member separately to the Distribution List. Any changes to the group do not update the distribution list.
