Recipient List

The Recipient List shows you which Scheduled Reports you need to approve for distribution. The appropriate security access lets you modify the Distribution List or recipients for the report. See Distribution Group Setup for more information.

ClosedAccessing Recipient List

The Recipient List form is accessed via the User Center > My Reports tab > Scheduled Reports to Distribute section. Click this icon in the Recipient List column. The Recipient List form appears.

This menu provides access to Integration functions such as Import, and Export; Launching New Centers, Launching Programs, Out of Office Assistant, Reports, and System Administration functions.

ClosedFields on Recipient List

What is this?

Select Recipients from Contacts

The form that appears when you choose Select Recipients from Contacts is a modified version of Contacts. You see only a limited number of items in the name list.

Select Distribution Group

Opens the Distribution Group form where you can add pre-defined Groups to the distribution list. You can also access Distribution Group Setup from this form.

This link is disabled if the logged in user has No Access to Distribution Setup.

There are two ways you can add a group to the list.

  • Add as a group – When chosen the group appears as one row on the Distribution List with a link that opens Distribution Group Setup with the group members listed. Any changes to the group automatically updates the distribution list.

  • Add as individual – Choosing this option adds each member separately to the Distribution List. Any changes to the group do not update the distribution list.

Add New Email

Opens the Add New Email form where you can manually enter a name and email address.

Grid

If you as the approver do not have security access to particular distribution group on the list, the group is displayed as one row and the group name is in text format in the Name column, not a link.

If you do have security access to the distribution group on the list, all members of the group are displayed as individual rows.

Recipient's or group's title.

Email Address

Any Email entry requires the correct email syntax. Correct syntax looks like: name@address.com.

When using this option you can also select an Email Method, see below.

Use for Employees only.

To Email

Confirm an Email address appears on the Email Address column when choosing this option.

PDF Format

Report is sent using .PDF format for viewing. Report is sent using .CSV (Excel) format for viewing.

You can choose one or both formats.
