Process Statement

Opens the Custom XLS to AL3 Utility where you can convert an Excel Direct Bill Statement ( XLS)file into an AL3 file.

Assign Customers/Policies

Use Assign Customers/Policies to view downloaded policy or direct bill statement transactions not matched to a customer/policy and to assign them to the proper customer.

Use Assign Customers/Policies to view downloaded policy or direct bill statement transactions not matched to a customer/policy and to assign them to the proper customer.

FTP File Retrieval

Use FTP File Retrieval for companies who support download via the Internet using FTP.

Move Download Files

Opens a Move Files form, where you can identify the download files that need to be moved to the data center for processing.

Use this option with Company Direct Download.

Process Transactions

Schedules download processing in the data center. Any items received, but not yet processed, are processed and your agency is notified when complete.

Select this option after you assign customers and policies.

Store Transactions

Schedules the download file to be validated and moved to your agency database in the data center. Generally used for Company Direct Download.

This process occurs automatically for IVANS and FTP download.

Import

Import a file from an integration partner, such as QuoteWorks or AMS Producer Plus, to create a client/policy entry in AMS360.

Export

ExportAMS360 client/policy information to an integration partner's software, such as QuoteWorks or AMS Producer Plus.

TransactNOW Book Roll

Opens the TransactNOW Book Roll data entry form.

AL3 Retrieval (Customer Support)

Opens the AL3 Retrieval Utility to view an AL3 file associated with a policy that his loaded into the AMS360 system.

This utility is primarily used by AMS360 Customer Care.

Opens the Prevail Network form. The Prevail Network is your premium finance marketplace for all policies.  This utility enables you to directly finance your premiums with real time access to your customers' premium finance contracts and more.

Launch

Opens the Prevail Network web site. See the Prevail Network Setup link in the Prevail Network form.

    ClosedRenewal List Tool

Opens Renewal List Tool to select specific renewal criteria.

The  Renewal List Tool is a paperless means of tracking your agency's renewal workflow. Use the Renewal List Tool to set up and assign a list of renewals, as well as the expiring policies themselves, to responsible employees.

    ClosedReports

Opens the Reports - All form where you can view, print or export the report of your choice.

    ClosedScheduled Reports

TheScheduled Reports data entry form can be accessed in two ways:

  1. If you are interested in setting up a new scheduled report, we suggest you open Scheduled Reports from any center with a Toolboxmenu. ClickToolbox>Scheduled Reports.

  2. If you want to edit an existing Scheduled Report, open the report from the User Center > My Reports tab > My Scheduled Reports section. Click a date in the Next Occurrence column to open the Scheduled Report form you want to Edit.

Setup Assistant

Your successful transition to AMS360 depends largely on defining your management system goals and entering the setups needed to achieve those goals. Setup Assistant is an automated feature that guides you through this process.

Bank Security View

Use Bank Security View to see bank security information for all banks and employees.

Billing Charges and Credits

Billing Charges and Credits are invoice transactions available for use during the billing process. The system ships with a permanent set of charges and credits that cannot be edited or deleted.

You can add additional charge types, such as state-specific taxes/fees or unique agency fees, if needed.

Chart of Accounts

AMS360 includes a default Chart of Accounts listing. Use this setup feature to add agency-specific accounts to the general ledger that are not included in the default chart.

Payment Plans

Use Payment Plans to create the desired number of installments when invoicing the premium and/or non-premium items on a policy. AMS360 contains a default list of permanent payment plans.

You must have appropriate security authorization to add new or edit existing payment plans.

Activity/Suspense Setup

Use Activity/Suspense Setup to customize the list of Actions that appear on the Activity/Suspense data entry form. You can also specify the Checkpoints at which an Activity is required or a Suspense item is created.

Agency

Correctly completing the Agency Setup form influences the success of many system and accounting processes. Use Agency Setup to select your agency's default options for all users and customers.

Alert Setup

Use Alert Setup to identify the types of notifications or Alerts for incomplete tasks or extraordinary circumstances that you want your staff to receive.

Color Setup

AMS360Color Setups are available on a user, agency and system basis, and ships with three predefined system color schemes. Use Color Setup to create additional color schemes.

Additional Interests

Use Additional Interest Setup to identify banks, loss payees, mortgage companies, and certificate holders that apply to multiple insureds. For example, GMAC, Toyota Motor Credit Corporation, the county building department, cities, and municipalities.

You can also import a list of additional interests or certificate holders using this feature.

Company Plans

Company Plan Setup allows you to define programs or plans offered by your insurance carriers.

Coverages

AMS360 includes ACORD standard Coverages and Endorsements that are associated with specific Lines of Business. Use this setup feature to add state or company-specific coverages and endorsements.

eForms Setup

Use eForms Setup to inactivate or activate forms for use in eForms Manager. If you have forms that you don't use you can inactivate them so they do not appear in lists.

This is especially useful in hiding state-specific forms where you do not do business.

Line of Business

AMS360 includes ACORD standard Lines of Business (LOB). Use Line of Business Setup to add company-specific or other LOB's you want to appear in Line of Business lists.

Notations

Notations are important comments about your customers and their policies and/or submissions. Use Notation Setup to add items to the Notation lists that appear in Customer, Policy, and Submission data entry.

When selected for a customer, policy, or submission, the Notation appears in the Customer Center View.

Profile Questions

Use Profile Question Setup to create a list of questions or statements that, when answered, build an account profile. Profile Questions and answers can be used in Form Letters and to create Target Lists in the Sales Center.

Speciality Data Entry Setup

Specialty Data Entry Setup allows you to define the data entry fields and questions that appear when you choose the Specialty System Data Entry form for a line of business when entering policy data.

State Specific Co. Requirements

Use State Specific Co. Requirements to collect DMV Insurance Company Numbers as well as a Medical Notification Name & Address by carrier and state.

Text Setup

Use Text Setup to enter passages of standardized text to include on your agency certificates.

Once you have entered text in Text Setup, you can then select which entry you would like to include as the default text on the certificate.

TransactNOW Setup

Opens the TransactNOW Setup form.

TransactNOW allows you to inquire on policies, billings, and claims and submit endorsements in real time on the company's web site. Use TransactNOW Setup to configure this feature for each company that offers the service.

X-References

Use X-Reference Type Setup to create cross-reference types to use in theX-Referencesection of the Customer data entry form.

Customize User Center

AMS360 provides a feature where you can customize the look of and information appearing on the User Center for your agency.

Daily Process

Daily Process executes one or more date-driven accounting, customer/policy, or sales tasks. These tasks are:

Security Group Setup

Security is one of the most important features of your system.AMS360 comes with the permanent security groups: Admin, Owner, Book, Exec, Rep, S247Admin, and S247User that allow access to the system elements (found in the Secured Items List) required by most job functions in your agency.

If needed you can setup more security groups through Security Group Setup.

User Options

User Options is a tool that allows each AMS360 user to specify their individual preferences for Display Options, Center Tab Order, and Integration Partners. When set, these options apply whenever and wherever the user logs into AMS360.

What is this?

Application Locks

AMS360 creates Application Locks on policies or processes to prevent multiple persons from editing the same data entry form. Use this feature to unlock policies or processes that are no longer needed.

Billing Options

The Default Company Settings section of the Agency Setup form and the Billing Options section of the Company Setup form contain important information critical to successful billing in AMS360.

The Billing Options Utility allows you to set these options on existing unposted policy transactions based on the setups. This feature provides global changes for groups of policies vs. manually changing individual policy transactions.

Change Password

Change Password allows you to change your password in AMS360.

Code Maintenance

Access to this feature is only available if you are logged into AMS360 as Administrator or Owner.

The Code Maintenance Utility enables you to choose when to resolve conflicts found in your system as a result of permanent codes which are added during an AMS360 upgrade.

Company Code Import

Use the Company Code Import Utility to copy all non-duplicate codes into your database. For more information see the topic.

Create BenefitPoint Files

Use the Create BenefitPoint Files feature to export Customer and Policy data out of AMS360 and import it into BenefitPoint.

Data Schedule Template

Use Data Schedule Template to open the data entry form where you can create agency-defined templates for exporting and importing data schedules.

Download Statement

Use Download Statement to open the Download Statement Utility form where you can convert a previously downloaded direct bill statement to Direct Bill Entry.

Dx360 (Diagnostic Utility)

Opens the Dx360 form, the AMS360 Diagnostics tool.

Add a desktop shortcut to the Dx360 Utility.

Choose Change Configuration under the Dx360 >Workstation Utilities group, then select Create a shortcut to Dx360 (this utility) on this workstation's desktop.

File Delete

When you delete a document in AMS360, you remove it from system access. However, for Doc360 documents that are stored in a shared folder, you must purge the documents using File Delete Utility in order to remove them from your system. Until this last step is completed, the files are retained.

Global Change for Personnel

Global Change for Personnel provides the ability to change agency personnel associated with customers, policies, suspense, personal notes and alerts throughout the system in a time-efficient manner.

Login Monitor

The Login Monitor is designed and only available for In-House agencies. Use Login Monitor to track the number of concurrent users logged into AMS360 at any given time.

Merge Field Editor

The Merge Field Editor is a tool for creating and editing Merge Templates (merge field lists). Use these templates when creating or editing Form Letter and Schedule/Proposal/Summary main documents.

Undelivered Notification Messages

You must have security rights to access this utility.

Use Undelivered Notification Messages to research the reason the message cannot be delivered and re-send it. You can also delete messages from this form.

Update 360 Shortcut Versions

The Shortcut Utility allows you to update your Favorites and shortcuts to point to the most current version of AMS360.

Update Agency License

The Update Agency License feature is useful for AMS360 Online (Hosted) agencies who want to manage the availability of their user licenses.

The form allows you to easily change the maximum number of licensed users in your agency. When you save your changes to the system, notification is sent to the AMS Data Center so that your contract terms are updated accordingly.

Web Service API

Opens the Web Service API Setup form.

Use this feature to set up a Web Service API user name, password and assign permissions.  This user name and password will be used to access the Web Service API allowing for third-party applications to send, receive, and/or update data directly with your AMS360 database, while still preserving data integrity and AMS360 security.

This is a secured menu item. Available by default to Owner.

Web Service API
may also refer to the Web Service SDK (Software Development Kit).

  • If you plan to write a program using the Web Service API, you must purchase the Web Service SDK from Vertafore Sales.

  • After purchasing the SDK, log into My Vertafore and enter Doc31 in the Ask a Question field for instructions on programming for this feature.

  • If your agency acquires an existing program written using the Web Services SDK purchased from Vertafore Sales, you only need to set up a user name and password to use the program. There are no additional fees. The Web Services SDK is only required to code the program, not to use it.
