Distribution Group Setup

Distribution Groups are an efficient and easy way to send Scheduled Reports to multiple employees, and non-employees, using a choice of delivery methods.

The ability to view and edit the form depends on the logged in users security access, see below.

ClosedSecurity Access to Distribution Group Setup

Each user has their own Security Access for Distribution Group Setup. This is setup via the  Security Group Setup form.

There are three security levels for Distribution Group Setup. The menu and the Select Distribution Group link on the Scheduled Reports and Recipient List forms will both be secured by this feature.

When you first install AMS 360 (v2.0) the default security access is set to Full Access for those users in the Owner security group. All other security groups, including agency-defined groups, are set to No Access. You can change these settings. For more information see Security Group Setup.

Level

What is this?

Full Access

This security will behave like the Color Setup Agency option.  If Full Access is given, users will be able to Create/Edit Agency Distribution Groups, and their own User defined Distribution Groups.

User View Only

Users with this Security will be able to View/Create/Edit only their own Distribution Groups, and View Only any Agency defined Distribution Groups.

If a user who has this security is trying to delete an agency level group, the following message will display:

"You have "User View Only" access to the agency level distribution groups.  Delete is not allowed."

No Access

The icon and the menu item will be hidden on the Scheduled Reports and Recipient List forms.

This menu provides access to Integration functions such as Import, and Export; Launching New Centers, Launching Programs, Out of Office Assistant, Reports, and System Administration functions.

Opens the Add New Email form where you can manually enter a name and email address.

When you select PDF Format, the report is sent using .PDF format for viewing (e.g., Adobe Acrobat Reader).

When you select CSV Format, the report is sent using .CSV (Excel) format for viewing.

You can choose one or both formats.

You can create a Distribution Group from scratch by selecting the criteria; or you can create a Distribution Group by copying the criteria from an existing group and then changing specific items.

  1. Click New from the Distribution Group Setup section header.

  2. Enter a Name and Description for your new group.

  3. Select the Group Level.

Agency Level Distribution Group

When chosen the group appears as one row on the Distribution List with a link that opens the Distribution Group Setup with the group members listed. Any changes to the group automatically updates the distribution list.

User Level Distribution Group

Choosing this option adds each member separately to the Distribution List. Any changes to the group do not update the distribution list.

  1. In the Group members section, click Select members from Contacts. A modified version of the Contacts form appears. You see only a limited number of items in the name list.

  2. Highlight your recipient selections in the grid, click Add to Distribution Group List for each one.

  3. Close the Contacts form.

  4. Use Add New Email if the recipient has not previously been added to Contacts.

  5. Click Add on the Distribution Group Setup section bar. The new group name appears in the Distribution Group Setup grid.

  6. Click Save and Close.

ClosedCreating a Distribution Group by Copying an Existing Group

Do the following to create a Distribution Group by copying an existing group and changing specific criteria:

  1. In the Distribution Group Setup grid, click the Group to be copied.

  2. From the menu, click File > Copy Distribution Group, or click the Copy Distribution Group  icon. The Distribution Group Setup form opens in edit mode.

  3. Enter a Name, Description, and choose either the Agency or UserGroup level.

User Level Distribution Group

  1. In the Group members section the copied group members appear in the grid. To add additional members, click Select members from Contacts. A modified version of the Contacts form appears. You see only a limited number of items in the name list.

  2. Highlight your recipient selections in the grid, and click Add to Distribution Group List for each one.

  3. Close the Contacts form.

  4. Use Add New Email if the recipient has not previously been added to the Contacts form.

  5. Click Add on the Distribution Group Setup section bar. The new group name appears in the Distribution Group Setup grid.

  6. Click Save and Close .
