Policy Menu and Toolbar

When you create a policy and open the Policy data entry form, the Policy Menu and Tool Bar appear at the top of the form. Each menu item or icon is an action to perform within the Policy or launches another part of AMS360. The following sections provide detailed information on the menu items:

Save

Saves the information you have entered on the data entry form without closing the form.

Save & Close

Saves the information you have entered on the data entry form and closes the form.

Sign Off & Close

 

Closes the form you are currently working in and all other AMS360 centers and forms.

If you have entered data and not yet saved your changes, you will see a message that you have unsaved data and are asked if you want to save before closing.

Close

 

Closes the data entry form without saving the information you have entered.

View

 

This option is only available if you are in the Policy data entry form in Edit mode. Use this selection to change from Edit to View mode.

Compare Policies

Choose this feature to view a comparison of policy changes from one term and/or transaction period to another. Changes can include additions, deletions, and edits. Use the form to copy the differences to the clipboard and paste the changes to a Word  document or include as email text.

You must have proper authorization to compare policy information.

Copy Policy

 

Use to copy a Policy or Submission from one policy/submission or customer to another.

Delete

Use to delete a Policy that has not been suspended or billed.

Explorer

Use to open the Section Explorer in a frame on the data entry form. This format is similar to Windows Explorer.

Use Explorer to quickly move between sections.

Switch Explorer / Form

Use to move the focus of the keyboard between the Explorer window and the policy data entry form.

 

    ClosedTransactions

Function

Endorse

Launches the Endorsement data entry form with a transaction of Policy Change. Use to record any type of mid-term change.

Example Increase in limits, adding or removing coverages, or updating exposures.

Renew

Launches the Create Renewal/Rewrite Policy data entry form with a transaction of Renew Policy. Use to copy existing policy information to the new term.

Rewrite

Launches the Create Renewal/Rewrite Policy data entry form with a transaction of Rewrite. Use when the policy is rewritten with another company at renewal or for a mid-term reinstatement when there was a lapse in coverage.

Cancel

Launches the Cancellation Request data entry form with a transaction of the same. Use this transaction to indicate the company has been notified that this policy is cancelling.

Quote TNOW

This menu item is available on the Policy form from the Transactions menu in Policy and Submission mode.

Use Quote TNOW to open the TransactNOW form to request a quote for a policy already entered in the system. For example, it could be used for a renewal quote.

On the current policy, the parent company may or may not be a TransactNOW company. However, the parent company from whom you request the quote must be set up as a TransactNOW company.

To perform the TNOW quote, do the following:

  1. Open the policy.

  2. Click Quote TNOW from the Transactions menu. The TransactNOW form opens.

  3. Check the Quote Request checkbox, if not already checked.

  4. Select the company you want to quote the policy from the Company list. The list includes only those parent companies that are set up to support Quotes in TransactNOW Setup.

  5. Fill in or use the date picker to select the appropriate Tran. Eff. Date (transaction effective date), the Effective and Expiration Dates for the quoted policy.

  6. Click Submit.

If the parent company you are coming from is a TransactNOW company, or if you pick another parent company from the Company list (which must be a TransactNOW parent company), you may also be able to do an Inquiry from the same form, if the company is set up for that certain type of inquiry. However, the quote and inquiry processes are mutually exclusive, and only one can be done at a time.

Activity

New

Opens the Activity/Suspense data entry form so you can enter a new Activity for the current (selected) customer/policy.

View

Opens the View Activity form and lists Activities for the open customer and policy for the past 30 days.

Contacts

Opens the Contacts feature where you can look up names, addresses, phone numbers, and email addresses for a customer, company, additional interest, claims contacts, bank, employee, email contacts, master certificate holder, members of a target list, vendor, or other individuals entered throughout AMS360.

DocManagement

New

Launches the Doc360 Check Out Status form.

Use Doc360 Check Out Status to keep track of the documents that are checked out under your name, or under anyone else's name for whom you are authorized.

This form provides you with the option to cancel editing (Undo check-out) for one or multiple documents by checking the document(s) back in without changes.

Distribute Documents

Launches the Document Distribution form.

Use the Document Distribution form to distribute electronic files to other employees in your agency. You can enter additional information about the document file before you send it, including comments, system center assignment, and searchable index keywords.

You can also select the document's security classification.

Find Documents

Launches the Doc360 Search form.

You can search for a specific Doc360 document in AMS360 using the Doc360 Search form. This form provides many selection criteria to help you narrow your search.

Get Documents

Launches the Get Documents form.

In the front-end scanning workflow, the Get Documents feature is a means by which agency employees import electronic files into AMS360.

Match Pending Attachments

Launches the Doc360 Match Pending Attachments form.

If your agency utilizes the back-end Scanning workflow, then the Doc360 Match Pending Attachments form plays the essential role of attaching scanned files to their proper placeholders in the system.

Form Letters

Initiates the Form Letters data entry form.

Notes

New

Opens the Notes data entry form so you can enter a new Note for the current (selected) customer/policy, or to enter a Personal note.

View

Opens View Notes for the open customer.

Suspense

New

Opens the Activity/Suspense data entry form so you can enter a new Suspense for the current (selected) customer/policy.

View

Opens View Suspense and lists Suspense items for the customer and policy that are not completed and due within 30 days.

eForms Manager

Launches the eForms Manager where you can create, edit, view, print, or delete applications, electronic laser forms, loss notices, and supporting forms.

Claim

Launches the Claims data entry form where you can create a Claimrecord by entering information about the loss.

Data Schedule

Export

Opens the Data Schedule - Export form where you can export lists of items, such as vehicles and drivers, into a .csv file, which you can send to your insured for review and revision.

Import

Opens the Data Schedule - Import form where you can import lists of items, such as vehicles and drivers, into new or existing policies.

Pro Rata Wheel

Opens the Pro Rata Wheel data entry form where you can calculate either the Pro Rata or Short Rate unearned factor on a cancelled policy.

Schedules/ Proposals

Opens the Schedules and Proposals data entry form where you can combine the power of the AMS360 database and Microsoft Word© to create customized documents for companies, customers, prospects, and others.

 

    ClosedToolbox

This menu provides access to:

  1. Integration; Import, and Export.

  1. Launch new centers, programs, and reports

  2. Out of Office Assistant

  3. System Administration

    ClosedWindow

Tile Horizontally

Use to arrange the open windows of the policy in a row.

Example After opening the Line of Business data entry form from the Line of Business section of the Policy, from the menu click Window > Tile Horizontally. This allows you to see both the policy and the LOB at the same time.

Tile Vertically

Use to arrange the open windows of the policy in a column.

Example After opening the Line of Business data entry form from the Line of Business section of the Policy, from the menu click Window > Tile Vertically. This allows you to see both the policy and the LOB at the same time.

Cascade

Use to arrange the open windows of a policy so the title bars of the open windows line up in a descending diagonal column.

Arrange Icons

Use to arrange icons of minimized windows.

Open Windows

Each currently open policy window appears in a numbered list. The active window has a check mark next to it. Use the list to move between open windows.

When asked by Vertafore Customer Care, use this option to email the Event Log to Support for review.

Web-Based Training

Takes you to the web-based training website.

Shows you the current version information for AMS360.

Import Data Schedules

Opens the Data Schedule - Import form where you can import lists of items, such as vehicles and drivers, into new or existing policies.

App Preview

Opens eForms Manager in view mode so you can see how the form will look when you create it in eForms Manager. You cannot make edits in this mode, although from the preview you can choose to create the form in eForms Manager. When the form is created you can make edits.

Prevail Network

Launches the Prevail Network integration so you can quote or set up premium financing for this policy.

Endorse

Opens the Endorsement form where you can endorse the currently selected policy.

Renew

Opens the Create Renewal/Rewrite Policy form where you can renew or rewrite the currently selected policy.

Cancel

Opens the Cancellation form where you can cancel the currently selected policy.
