Submission Menu and Toolbar

When you create a submission and open the Submission Group data entry form, the Submission Menu and Tool Bar appear at the top of the form. Each menu item or icon is an action to perform within the Submission or launches another part of AMS360. The following sections provide detailed information on the menu items:

    ClosedSubmission Menu

Save

Saves the information you have entered on the data entry form without closing the form.

Save & Close

Saves the information you have entered on the data entry form and closes the form.

Sign Off & Close

 

Closes the form you are currently working in and all other AMS360 centers and forms.

If you have entered data and not yet saved your changes, you will see a message that you have unsaved data and are asked if you want to save before closing.

Close

 

Closes the data entry form without saving the information you have entered.

Copy Submission

 

Opens the Copy Policy/Submission form.

Quote TNOW

 

Use to open the TransactNOW form for a policy in which the parent company on the policy may or may not be a TransactNOW company, to get a quote from another parent company that must be setup as a TransactNOW company.

This could be used for a renewal quote. To perform the TNOW Quote do the following:

  1. Open the policy.

  2. Click Quote TNOW from the Transactions menu. The TransactNOW form opens.

  3. Check the Quote Request checkbox, if not already checked.

  4. Select the company you want to quote the policy from the Company list. Only parent companies setup on TransactNOW appear in this list.

  5. Fill in or use the date picker to select the appropriate Tran. Eff. Date (transaction effective date), the Effective and Expiration Dates for the quoted policy.

  6. Click Submit.

If the parent company you are coming from is a TransactNOW company, or you pick another parent company from the Company list (which is a TransactNOW parent company), you can also do an Inquiry from the same form (depending on the types of inquiry the company is setup for). However, the quote and inquiry processes are mutually exclusive, and only one can be done at a time.

New Submission

 

Opens the Create New Submission form.

Delete Submission Group

Select the submission you want to delete, and click Delete Submission Group from the File menu. You will get the following message:

Click Yesto the confirmation message. The submission group is deleted.

New

Opens the Activity/Suspense data entry form so you can enter a new Activity.

View

Opens the View Activity and lists Activities for the open customer and policy for the past 30 days.

Contacts

Opens the Contacts feature.

DocManagement

Check Out Status

Launches the Doc360 Check Out Status form.

Use Doc360 Check Out Status to keep track of the documents that are checked out under your name, or under anyone else's name for whom you are authorized.

This form provides you with the option to cancel editing (Undo check-out) for one or multiple documents by checking the document(s) back in without changes.

Distribute Documents

Launches the Document Distribution form.

Use the Document Distribution form to distribute electronic files to other employees in your agency. You can enter additional information about the document file before you send it, including comments, system center assignment, and searchable index keywords. You can also select the document's security classification.

Find Documents

Launches the Doc360 Search form.

You can search for a specific Doc360 document in AMS360 using the Doc360 Search form. This form provides many selection criteria to help you narrow your search.

Get Documents

Launches the Get Documents form.

In the front-end scanning workflow, the Get Documents feature is a means by which agency employees import electronic files into AMS360.

Match Pending Attachments

Launches the Doc360 Match Pending Attachments form.

If your agency utilizes the back-end Scanning workflow, then the Doc360 Match Pending Attachments form plays the essential role of attaching scanned files to their proper placeholders in the system.

Form Letters

Initiates the Form Letter data entry form.

Notes

New

Opens the Notes data entry form so you can enter a new Note.

View

Opens View Notes for the open customer.

Suspense

New

Opens the Activity/Suspense data entry form so you can enter a new Suspense.

View

Opens View Suspense and lists Suspense items for the customer and policy that are not completed and due within 30 days.

eForms Manager

Launches the eForms Manager where you can create, edit, view, print, or delete applications, electronic laser forms, loss notices, and supporting forms.

Claim

Launches the Claims data entry form where you can create a Claim record by entering information about the loss.

Data Schedule

Export

Opens the Data Schedule - Export form where you can export lists of items, such as vehicles and drivers, into a .csv file, which you can send to your insured for review and revision.

Import

Opens the Data Schedule - Import form where you can import lists of items, such as vehicles and drivers, into new or existing submissions/policies.

Pro Rata Wheel

Opens the Pro Rata Wheel data entry form where you can calculate either the Pro Rata or Short Rate unearned factor on a canceled policy.

Schedules/ Proposals

Opens the Schedules/Proposals/Summaries data entry form where you can combine the power of the AMS360 database and Microsoft Word© to create customized documents for companies, customers, prospects, and others.

 

    ClosedToolbox

This menu provides access to:

  1. Integration; Import, Export, Update Carrier Contacts

  1. Launch new centers, programs, and reports

  2. Out of Office Assistant

  3. System Administration

Check Out Status

Opens the Data Schedule - Export form where you can export lists of items, such as vehicles and drivers, into a .csv file, which you can send to your insured for review and revision.

Import Data Schedules

Opens the Data Schedule - Import form where you can import lists of items, such as vehicles and drivers, into new or existing submissions/policies.

Endorse

Opens the Endorsement data entry form where you can make changes (new transaction) to the submission/policy.

Cancel

Opens the Cancellation data entry form where you can enter the basic cancellation information on a policy.
