Types of Activities
In SalesTrack there are many types of activities; some of the most commonly used types include Tasks, Phone Call, Email and Meeting. You can also add Notes to these activities to record important information bits about the customer requirement.
Most often, you'll want to add an activity that is associated with a contact, opportunity, account, lead, or other type of record to help you keep track of all the communication history you have with a customer.
As your organization's relationship with a customer builds over time, you and other people on your team can look through the activity feed as you work with the customer, and see the history of your interactions. Activities can be included in reports to track your ongoing progress.
- Open the record you want to add the activity to. (For Example – An Account, Contact, Lead or Opportunity).
- In the Activities section click Add Phone Call.
- In the open space area, provide a summary of the conversation with the customer. You must fill in this area before you can save the phone call.
- The Call With field is automatically populated with the customer name you select in the account or contact field. You can select a different contact, account, lead, or user record if required.
- By default, the direction is set to Outgoing. Click on Outgoing to change to Incoming.
- Check mark Left voice mail if you made a call to a customer and left a voice mail. You can also select this check box if a customer leaves a voice mail message when they call you.
- Choose OK to save the activity.
By default, every phone call activity you add in a record is marked Completed when the record is saved at least once. However, if you add a phone call activity to an unsaved record, or if you create a new activity and then set the Regarding field of the activity to another entity record, the activity is set to an Open state. You can choose the Complete link to close the activity as Completed. The Complete link is available only after you save the case record at least once. |
- Open the record you want to add the activity to.
- In the Activities section click Add Task.
- Enter the Subject and Description.
- Select the Due Date.
- Select the Priority from Low, Normal or High.
- The Owner is set to the current user by default. If you want to reassign the task, choose the lookup icon, and then select another user or team.
- Choose OK to save the task.
To add an email activity to a record, you must first save the record you are adding the activity to.
- Open the record you want to add the activity to.
- In the Activities section, click … More Commands and select Email.
- To save the record, choose Save.
- To add an attachment to the email, under Attachments, on the right, choose +.
- To use a template for the email body, in the email editor, choose Insert Template, and then select the template.
- Choose Save.
To add meeting activity to a record, you must first save the record you are adding the activity to.
- Open the record you want to add the activity to.
- In the Activities section click on ... More Commands and select Meeting.
- Subject, Start Time and End Time are required fields for SalesTrack.
- On the command bar click the Recurrence to setup recurring appointments. The set recurrence page appears.
- Complete the Appoint Time, Recurrence Pattern and Range of Recurrence sections and click Set.
- To save the record, choose Save or Save & Close to leave the page.
A recurring appointment is an activity that occurs at a regular intervals. You can directly add a recurring appointment from within the Activities list page. Or you can also add a recurrence from within the activity.
- On the top navigation click on the Vertafore logo and select Sales.
- Click Sales and then select Activities. The my activities list page appears.
- On the command bar click the Meeting drop-down list and select Recurring Appointment. The new recurring appointment page appears.
- Subject is a required field. Complete all other appropriate fields.
- To add the recurrence, on the command bar click the Recurrence. The set recurrence page appears.
- Complete the Appoint Time, Recurrence Pattern and Range of Recurrence sections and click Set.
- To save the record, choose Save or Save & Close to leave the page.
You can also easily add notes in the activities area.
- Open the record you want to add the activity to.
- In the Activities section, click the Notes tab.
- In the field enter your note.
- To add an attachment click Attach.
- When complete click Done. The added notes will appear below.
All Notes will integrate to AMS360 Notes section. Any corresponding attachment will integrate to the AMS360 Documents page. |
If the Notes originate from SalesTrack, the CreatedBy/EnteredBy column within the Notes grid in AMS360, will now list the SalesTrack owner of the record. |
